KidKare Software Review

Customer service in fantastic. I was originally running a state certified daycare and utilizing KidKare with the CACFP food program and then decided to start doing daycare from home and run it as an unregulated daycare. When I closed my daycare in town and quit the CACFP program, my sponsor automatically withdrew me from the program but I was still being charged for it each month even though I was not able to log in and use the program. I contacted customer service and asked if they could get me back into that account or credit the money that had been auto-paid out of my bank account to the new KidKare account that I had created when I started doing daycare at home. They weren't able to reconnect me to the original account, but added credit to the new one that I had created, no questions asked. They've been very helpful with anything else that I have contacted them with as well.

Pros

I like that everything is in one place. I can track pick-up and drop-off times, keep track of my daycare finances, plan meals, etc. all in one place. I don't need a hundred different apps/programs to run my daycare business.

Cons

I really wish that the Check-In/Out times would transfer directly over for each child when you pull up their name to create invoices at the end of the week. It would make creating invoices A LOT quicker! And maybe there is a way to do this and I just haven't figured it out yet!

Someone is making money hand over fist with this software and problems are still not being...

Pros

I like that it is a web-based program so it is accessible from any device when it is working correctly.

Cons

Accounting stuff never migrated over from Minute Menu when I was told it would. I don't trust that the program is adding up all my reports correctly so there fore I have to put extra time in entering it all into a program that is trust worthy. I have never been so scared to print reports for taxes as I am this year and I have been in the business for 15 plus years. When you do run reports it is 30 pages long when in Minute Menu it was at least half that. Consistently bumping me out and making me log back in every time I leave it sit idle for a little bit. Can not enter 2017 invoices or expenses after December 31, 2017. It will not let you change the date to a date in the previous year. Print button for reports is not available in all web browser. When you do get a report to print it prints a message on the top of the report about some kind of discrimination-which does not pertain to any report in KK. The program assumes when a child turns 5 years old that they are in school, which indeed they are not. So then we get disallowed meals because we claim them for all meals during the day. If you don't go back into child information and change it you are not being paid correctly from your food program. Never had to double check all of this stuff in Minute Menu. Can't run emergency numbers/pickup reports to have sitting by our phone like you could in Minute Menu. You get a spinning wheel many times when trying to enter things. No choice but to log out and come back in w/ problems

KidKare.com

Pros

I'm completely computer illiterate!! I have no problem entering all of my information daily. It's super easy to follow and there's always help a phone call away.

Cons

I think the thing I like least is that you can't enter information the next day without assistance. Some days are so difficult to do everything required for life and the time is up to enter your meals. Very stressful.

KidKare saves the day

Pros

The programs are constantly improving and building to improve record keeping with an ease for the user. The platform requires minimal training, which saves a tremendous amount of time/effort in onboarding new staff. The accounting features have greatly improved our management.

Cons

Using the software the past year and a half, I have not run into any issues. A few questions which have been swiftly remedied/supported by their customer care team.

Not a 1 stop shop

Only positive of Kidkare for me is I do not have to mail in my Food program paperwork it can all be done online. Otherwise Kidkare is not useful.

Pros

Aligning with the food program is a positive and convenient part of the software.

Cons

It's doesn't align with any other state standards: Paperwork, assessments, no uploading, loggin of daily activities, no parent/teacher communication, just billing/accounting & food program alignment. It needs to go much further to be comparable to others.

Great way to save paper!

Not having a ton of paper claims to keep and store has been extremely helpful. I log in everyday to enter my meals and it's a lot faster as I can type faster then I can write!

Pros

I like that it's so easy to use and go back to check your work. I'd been doing paper claims for 18 yrs and finally went to KidKare last year and wondered why I waited so long

Cons

I haven't come across anything yet that has frustrated me about this software.

Dragging and Kicking

There has been some problems but to be honest, they have been due to my inexperience of doing online reporting . I feel like a pro now and have not had many problems since.

Pros

I refused to go online to do my reporting. I like a pen in my hand and a page to write on. Boy was I wrong. Once I was forced to join and ask myself "what took you so long to wise up." Reporting online is the best.

Cons

The time line constraints. Life happens. I usually report at the end of my day. One day towards the end of my day my father was taken to emergency with a small stroke, I called my backup, licensed helper and rushed down to the hospital. I got back home in the early hours of the next day. There has been a few similar situations that have come up and I was not able to report my day. I feel that there should be some arrangement where you could be given a grace period, for instance five times a year.

Love this program

My overall experience I love KidKare and I intend to keep using this system!

Pros

What I love most about this program is that i can keep track of all my business expenses. It’s makes filing my taxes so easy. It separates the expenses in the areas they need to be for doing taxes and it tallies up the total for you. I also love that I can make my menus on there and save them for future months.

Cons

My only con is I am unable to use it for my clients to sign in and out without them altering their times. So therefore I use a different system for that. Along with not being able to have a live feed for the parents to see how the children’s day are going.

A-1 child care home accounting program

Great.

Pros

I like the ease of entering my expenses as well as all of my income. At the end of the year, I simply print the various reports for my tax man. I also print professional W-10s for the parents showing the income which they paid me.The computer program does the various calculations for me! This saves me time and effort, and hopefully money when it comes to our taxes.

Cons

There is a learning curve to best utilizing the program. Most is intuitive, but some is not. I did have a problem with the program entering AM when I was entering PM for a departure time. Hopefully we have that resolved now.

KidKare

It is very easy to keep track of all meals served. It is helpful in keeping a count of days that kids come and the meals they are served. The reports allow you to see a child's attendance at a single glance.

Pros

It is not a cluttered program. Not too many items on each window. Easy to see what you are looking for.
Very easy to put in meals and attendance.

Cons

You have to use military time for PM or put pm after each entry. Ok as I know military time. Not so good for others.
Also in the infant menu you have to click twice to put in food name or number. In the non infant portion, the pointer goes straight to the line to put in food name/number.

It is not possible to go straight back and forth between meals served and child's in/out time. This would be nice to check to see if you put a child in or forgot. Not too big a deal but you do have to go out to a different window and then back again to the previous page you were using

great program

saves time, I can go back and review. Receive updates current. Great Great. If their is something I don't understand, our rep is great.

Pros

the best and easy program for daily use. I am not the smartest computer person, I have no problems using the site. And it is free. Daily meals are entered and my end of the month is submitted with a blink. I don't have the best hand writing, I know the people on the end that would have to read my hand print is happy also. Thank you so much.

Cons

sometimes the site is slow. Nothing I can say Least about the software.

15 years of change for the better

On the business side of KidKare, we experience less calls on how the software works and it has eased the process for the providers for day to day entry. They like being able to add pics of the daycare children to the enrollments. That is a nice feature.

Pros

That we now have the Sponsor view mode which limits keystrokes and saves time when assisting providers with navigation around the screens. A lot of providers just like for someone to talk them through the steps.

Cons

Not that I dislike it but i think the screens could use a little more color.

Overall, I like it.

I like the bookkeeping features, and the ability to key in receipts. I wish it had the ability to set reminders to click in meals at the end of the day, and reminders to add receipts for any money spent that day. Sometimes it would be helpful to have a reminder to set up the invoices on Fridays.

Pros

I like the diversity of this program. I have several families that split payments between mom and dad, and this program allows for that, as well as billing DCS for the foster kids I sometimes take care of. I like the ability to make different menus for each infant.

Cons

I had some problems with double counting on payments, when using the "apply credit" feature. After getting it sorted out, I haven't had any more problems with the software. I also have a problem keeping up on my books, so entering past months receipts can be a bit cumbersome, but it is able to be done.

Terrible system since switching from Minute Menu--They can't seem to get things to work...

only headaches thus far.

Pros

I like that this is a web-based program so it is accessible from any device & because of this, I especially like that my parents can check their child in very easily on a designated tablet.

Cons

This is the same company that owned Minute Menu. They tested this program for many months before completely discontinuing Minute Menu. Because of that, one would assume the program actually worked. Where do I start on the "Cons"? ... For starters, the program randomly doesn't save data that was previously saved, such as the meals & times entered for the children in care (a requirement necessary to submit to the USDA Food Program), the forms & reports this program offers are a slim selection from what the MM program offered which most often results in significantly more time added to my work load. Don't expect an actual receipt to give to parents after posting payments to accounts. All you will get is a statement of account, not an itemized receipt which is common practice when receiving payments in a business. Plan to add time in having to hand write on every statement what payment was made, the form of payment, etc. Beware of this ridiculous program.

KidKare

It is way better than the paper menus. I have had some items not save in the menu. When I have tried to contact help/customer service, the response is absolutely terrible or nonexistent. But overall, I am satisfied with its function.

Pros

fairly user friendly, the software has improved continually.

Cons

the save reminder button is annoying. It appears when you have not entered anything. And sometimes (rarely)it does not save what you entered. The whole grain tab is not good. It should just be included in the drop down food.

Saves time

Excellent! Saves, time, money, and paperwork.

Pros

I save a lot of time being able to use my phone, laptop, or tablet to enter meals and other day care information on KidKare. It is user friendly. At the end of the month and it is time to turn in menus KidKare makes it so easy to do. Saves time and paperwork. I definitely recommend KidKare to other providers at our meetings. I would recommend providers to at least try it and see for themselves.

Cons

Sometimes the internet is out and you can not use, but that rarely happens. All you have to do is write down and then enter it later.

Taxes

I'm hoping that I will have some ease with taxes this year thanks to the program. If all turns out as expected, I will be helping fellow providers to use the program.

Pros

The ease of preparing for taxes has been amazing!

Cons

I dislike the colors on so many levels. The light blue is difficult to see even when the brightness on my lap top is 100%. Also, there's been several questions asked and the answers that came back were not helpful. I had to google answers. I should also have the option to leave as long of a comment on a bill/statement as I need to. I have to scroll to the bottom comments area to leave a lengthy comment.

KIDKARE FOOD PROGRAM

Overall, It is a easy program to operate. I enjoy working this program when it is operating smoothly. I wish there was a easier and faster way to record baby meals, rather than going to a separate screen. This is really time consuming.

Pros

The program is easy to use and can be learned quickly. There is more than one way to accomplish the same thing. I like when the program is flowing smoothly, without any issues.

Cons

Sometimes when I've worked a long day and there is issues with the program or it is running slow, I get irritated, as I am tired and am ready to take a break.
