Only limited by your time and creativity

We have about 10 different business processes that we track in Airtable. It's amazing how flexible it is, and the overall experience has been extremely smooth. It's especially easy to get new users up to speed quickly because of how intuitive the Airtable is, which is an especially difficult feat given how extensively you can customize everything. They have a great online help and video training as well.

Pros

Airtable brings actual structure to our working environment. We use for a team of 15 to track tasks, projects, and even for lightweight documentation of work done or where stuff is. I really like the flexibility and the ability to create just about anything with it and still make the finished product look nice. The UI is what people first comment on when I invite them to our shared set of bases--either "it looks great" or "this is easy" or something like that. I especially love the integration with Zapier so that if you need to go outside an Airtable base, you probably won't have to do manual entry--it can sync with your other app.

Cons

With the free version, you will hit the record limit will pretty easily. I wish they had a lower-priced plan that was above the free version, but below their much more expensive tiers.
A second huge miss is that there was really no way to do rich text. That severely limits the usefulness for using Airtable as any kind of repository for content or anything like that. Basically you convert everything to HTML markup and store it as plain text in Airtable, but like I said they have promised to fix this . . .

Airtable: A Powerful Tool For Streamlining All Your Projects

Overall, I have been very pleased with my experience using Airtable. It has helped me to stay organized and keep all my projects in one place. The features offered are very useful and make it easy to collaborate with my team. The user interface could be improved, but I still find Airtable to be an excellent tool for streamlining my projects.

Pros

Airtable is a powerful and intuitive tool that makes it easy to streamline my projects. It offers a wide array of features such as data organization, collaboration, form building, and more. With Airtable, I can easily keep track of all my projects in one place, and make sure everyone is on the same page.

Cons

Although Airtable is a great tool, there are some areas of improvement. The user interface can be a bit confusing at times, and I have found the search function to be unreliable. Additionally, there are some features that I would like to see added, such as more customization options and third-party integrations.

The best cloud-based software platform

Overall, Airtable is a versatile tool that can be used for a wide range of purposes, from project management to inventory tracking to content creation. Its customizable tables, collaboration features, and integrations make it a popular choice for teams of all sizes.

Pros

Collaboration: Airtable allows teams to collaborate in real-time, providing a shared workspace where team members can add and edit records simultaneously. You can also assign tasks and deadlines, leave comments, and tag team members to keep everyone on the same page.Integration: Airtable integrates with a wide range of third-party apps, such as Slack, Dropbox, and Google Drive. This makes it easy to import data from other sources and keep everything organized in one place.

Cons

Data Security: Since Airtable is a cloud-based tool, there are concerns about data security and privacy. While Airtable uses SSL encryption and other security measures to protect user data, there is always a risk that data could be compromised in the event of a security breach.Cost: While Airtable offers a free basic plan, more advanced plans can be expensive for larger teams. Depending on your needs, you may need to pay for additional features or upgrades to access the full range of Airtable's capabilities.

Airtable is my Favourite Project management tool Ever.

Overall,Airtable is an excellent tool for managing and organizing data.I absolutely trust the service and it helps me accomplish fantastic job.

Pros

If you're on a tight budget, Airtable is a fantastic free option to try out. It has a lovely interface and a great project management tool. It's a crucial tool for online teamwork. There are great premade templates that give awesome insight on how powerful the software really is. I'm constantly amazed by its capabilities.

Cons

If you haven't used it before, it could be a little challenging to comprehend how it operates. The only thing about Airtable I don't like is that some of the more sophisticated features can be difficult to use, especially for individuals who are unfamiliar with this software. The number of records, attachments, and revision histories are limited on their free plan.

Airtable connects all our project data together.

In our department, we rely on Airtable for streamlining workflows, task delegation, and data centralization. By utilizing Airtable, every member of our team can efficiently access all of the necessary project data, thus creating a single source of truth for team projects and making it easier to execute specific projects.

Pros

Airtable offers advanced reporting and tracking capabilities. Through its reporting extensions, such as base schemas, pivot tables, and bar charts, I am able to easily extract and analyze data from my dashboard. This allows me to maintain a comprehensive record of project modifications, including who made them and when.

Cons

Airtable is primarily a database, that we have adapted for project management purposes as well. Its database design leaves very little room for note-taking while using it for project management.

Good product with bad support

Pros

It is an easy-to-use and versatile database, perfect for handling all the information your business needs. Its user-friendly interface allows you to create custom fields and filters to organize and view your data.

Cons

We had a terrible experience with Airtable support recently. They restricted our workspace, which prevented us from using our base for more than two weeks. This was a huge problem for us, as our business relies entirely on our Airtable information, which is tied up with all of our websites, day-to-day operations, and payments. We were extremely frustrated with the situation and the lack of support we received from Airtable. To make things worse, their support team only answered our inquiries after 1-2 days, which made the situation even more unbearable. It was also tough to upgrade our plan and unlock our base, which made us lose valuable time and money.

My backend for work

Airtable serves me in many ways. On the one hand, I use the tool as a reliable database that I can easily edit (and it serves as the backbone for several projects). On the other hand, I use it as a kind of "Excel on steroids" spreadsheet. Additionally, it's a collaboration tool for working with freelancers on task statuses and settlements.

Pros

Ease of use, flexibility, API, exporting databases to JSON, integration with Make, and the ability to share databases with others.

Cons

Limits on the number of records in the database and a large entry threshold between the free version and the first paid plan.

Airtable is very powerful for building internal tool or back-offices, UX could be more...

We use Airtable in several ways:
- Internal ticketing system + reporting (works great)
- Custom apps for our customers, synced with our own software (back-office logic is great, end-user UX is not, we should have used a third-party app builder to make it more user-friendly)
- CRM extension (good for one-off analytics)
- Database for some automations using Make.com (having structured data really helps)

We are overall satisfied, we manage to do everything we want and integrate Airtable with our other software. We hope that Airtable Interfaces will get better, along with some improvements in formulas.

Pros

Airtable is very powerful. It makes database logic accessible to non-developer profiles.
Being able to view your data in so many different ways is great.
Usecases are endless.

Cons

I was disappointed by the inability to create easy-to-use apps for the final user. You can either share the entire database with them - which can be overwhelming - or cherry-pick views you want to share with them - which is impractical, especially because those views aren't editable.

This makes Airtable great to build internal tools for tech-savvy teams, but in order to make it usable by other people you'll have to use a third-party app builder (Airtable will then be used as the database / back-office of your app).

In addition to that, I sometimes get frustrated with some formulas, especially "datetime" formulas and recursive logic. These can become overly complicated in Airtable.

Literally Use It For Everything - And LOVE It!

Pros

I own 3 different businesses, an instrument manufacturing business, marketing agency, and automotive wheel repair business - very different I know haha. Airtable is completely vital for every single one AND for all the clients I manage in there as well on top of personal use.

I literally use Airtable for everything from lead management to production management and tracking to home projects. Here are a few key things I love,

1. How easy it is to use. I can create a custom database/spreadsheet/whatever so incredibly fast even on my phone!

2. The capability of Airtable is amazing. The fact that I can use it for a simple to do list with some more advanced ability all the way to tracking inventory for thousands of items, building quotes, tracking where different drum kits are in the production process and what still needs to be done or ordered then creating a purchase order from that all within 1 table - for FREE - is absolutely amazing to me.

3. The referral credits and program is awesome!

4. Collaboration is very easy and I love how you can have a conversation with the team even on each record. it makes creating new advertising campaigns or taking with my team about a specific drum kit etc. so easy.

5. It updates everywhere so fast so I can keep tabs on my different teams in real time and see if they need anything.

I can't say enough good things about Airtable.

Cons

The only con for me is the price. Once you move to paid forms its not expensive at first but once you add team members and add more bases it can get out of hand very fast. I have been able to run everything for free for years but I do wish we could utilize things like their app market or different colors etc. but I just cant justify the price.

Longtime Airtable User

I hands down would not be able to track my incoming flow of client work without Airtable. It was a final solution to a really big problem. It's easy on the eyes and easy to compartmentalize my project workflow.

Pros

The simplest form of using Airtable is still so much better than using Excel Spreadsheets. Airtable is fairly easy to use, however, does take a bit of time to learn about so many of the features it has to offer. I could probably apply more time in learning how it could further benefit the way I use it every day in my business.

Cons

I do find there are SO MANY great features, it might be nice to have an onboarding specialist... heck I've been such a long-time user maybe they have this. Their customer support is top-notch and quick to respond to any requests.

Reasons for Switching to Airtable

I had seen these other products about a year into using Airtable and was pretty content with my current situation, I took a look at ClickUp and it just seemed too bloated for what I needed. Forget Excel and use AirTable instead!

Airtable is a game changer! Since we can create views on the fly, especially ones that link to our calendars, we're able to track projects really easily, and communicate changes across our entire team. We even started using it to tracking employee training hours, and it's saved us countless hours per week.

Pros

Airtable combines really advanced features with and easy to use interface, allowing some members of the team to set up a base, and allow others to maintain/update it. This has allowed us to store complex data, but make it accessible in different views, depending on the business need.

Cons

Airtable could be improved with some better formula functions. For example, if you wanted to calculate formulas based on some type of filter, such as an aggregate function, it is very difficult or impossible to do. We usually have to extract the data through their API and then process it for more complex needs.

Alternatives Considered

ProofHub

Reasons for Switching to Airtable

Airtable seemed like the entrance to learning was a lot easier, and it was generic enough where we could make it exactly what we wanted it to be. Also, our devs team was very familiar with the Airtable API, which is well documented and makes it easy to integrate with our third party products.

Our Content Calendar!

Amazing, I use it everyday. It’s been so helpful!!

Pros

Flexibility! I love being able to have a calendar, kanban, timeline, visual gallery all in one.

We use this for all our content planning and management. We tried so many solutions and this is what finally worked for us.

Cons

It has many features but at times it’s hard to know the best way to build things out, none of the templates for workbases were close enough to build off from.

Wish it was easier to link information within different tabs in bases.

Our Team Went From Zero Organization to Project Pipeline Wizards

By using Airtable we are able to communicate with our clients better using the "Calendar" base. We are able to show our clients what we are doing for them the entire month. Being transparent with them and having this very cool interactive Calendar that shows our reports and ad creative really puts us at a whole new level in their eyes.

Pros

This software is super easy to use and has so many different options for "viewing" which allows something for everybody. There are so many different connections as well and the Block features allow our team to be very efficient with our client projects.

Cons

There is no way to reach out to somebody on customer support. I wish there was a chat option for customer support. There really isn't any training that comes alot with it. There are some videos but if there was a way to setup a webinar with an account manager there to help us learn more ways we could be using it, that would be ideal.

Why I use Airtable to store my data

I run a site called Wikihospitals, and display international health technology services. This data all needs to be linked together, so I can see information like country of origin, founder's details, technology used and medical specialty covered.

Airtable was a great discovery for me. I can shared my data easily, embedded it into my website and am now transforming it into a fully fledged directory site.

Pros

Before Airtable, pre formatted databases were costly platforms to subscribe to, and extremely difficult to create from scratch (for the non coder).

Airtable is just dead easy to use. It looks like a spreadsheet but behaves like a database. You can import or export data as a CSV file. You can share a link or embed a view into you website using iframe code.

It is also lightning fast. You can link any number of different 'sheets' together. You can selecting different types of 'fields' ie numerical, date, multiple select, calculations, upload document etc.

You can also display your data in a range of 'views' from maps to calendars to gallery views of pie and bar charts.

Cons

When using the embed code option, it doesn't show that well on a mobile device. Apart from that, it's really the perfect software for people with a large amount of data and no code skills.

So close to perfect!

Overall I appreciate and enjoy my use of Airtable. I really like its capabilities for tracking projects and tasks. If it was FERPA compliant it would be my one-stop shop for project management at work!

Pros

Airtable is fantastic for project management, especially if you need to share your work with others. I recently used Airtable for a week-long event at my workplace with many moving parts - several events per day, many catering contracts, many chaffeurs and cars to keep track of, etc. I love that Airtable gives you the option to categorize entries and sort by category. Using Airtable helped me keep track of all my tasks involved in coordinating the events.

I also like how easily you can share it with others and work on it with others. The interface is clean and works well for me both on my desktop and tablet.

The last thing I like most about this software is the ability to have an attachment field. When coordinating travel for myself and others, I appreciate being able to attach our flight itineraries, travel approvals, and any other important documents directly to the table. It's a great way to keep it all in one place.

Cons

Airtable does have a bit of a learning curve that took me a while to navigate. I did not find their introductory templates or videos as helpful as I would have liked, so it took me longer than anticipated to get used to the software and really start using it on a daily basis.

Lastly, I really wish Airtable was FERPA compliant. I work in higher education and so I cannot manage ALL my projects and tasks in Airtable, just the ones that don't involve student data. This splitting of softwares depending on which project I'm working on is kind of a pain and interrupts my work flow.

A Comprehensive Review of Airtable: Key Features, Common Critiques, and Overall Recommendation

Overall, I've found Airtable to be a powerful and flexible platform that has greatly improved my productivity as a small business owner. Its customizable fields and views, integration with other tools, and collaboration features have all been invaluable in helping me manage my work and stay organized.

Pros

As a small business owner, there are several key features of Airtable that I have found particularly helpful in managing my work and staying organized. One of the standout features for me has been the ability to create custom fields and views. With Airtable, it's easy to create a database that is tailored to my specific needs, and the views feature allows me to see and interact with my data in a variety of different ways. This has been especially helpful in keeping track of important information, such as client details, project milestones, and team schedules.Another key feature that has been helpful is the integration with a wide range of other tools and platforms. I've been able to easily connect Airtable with my other work tools, such as my email client and project management software, which has made it much easier to manage my workload and stay organized. The collaboration features have also been very useful, as I've been able to share my databases with my team and work together on projects in real-time. This has greatly improved our efficiency and has allowed us to stay on top of our work even when we're not all in the same location.

Cons

I have mixed feelings about Airtable. On the one hand, I have found the platform to be extremely helpful in organizing and managing my work. The customizable fields and views, integration with other tools, and collaboration features have all been invaluable in helping me stay on top of my workload and stay organized. However, there are a few common critiques that I have encountered as a user of the platform. One issue I've had is the limited free plan. While I appreciate that Airtable offers a free version of the platform, the limitations on the number of records and attachments can be a drawback for small businesses like mine that need to store a large amount of data.Another issue I've encountered is the complexity of the platform. While Airtable does offer a wide range of features, I've found it to be somewhat difficult to learn and use, especially for someone like me who is new to database management. The learning curve has been steep, and I've had to spend a lot of time trying to figure out how to use the various features and tools. Finally, I've been disappointed with the price of Airtable. It's a premium product, and it can be expensive compared to other database management tools on the market. As a small business owner, I have to be careful with my budget, and the cost of Airtable is a significant investment.

This may be a consideration for teams and individuals with limited budgets.

A good organizer.

That's the one app I am using all day. Restrictions, everywhere, as it's a kind of pseudo-database, but something like an improved excell sheet with database in it.
Its my preferred app because of the easy fast way to organize my work.
Sharing tables with colaborators may be tricky because charge may come higher than you thought.

Pros

This is the case, when I can only tell cons, however I am using Airtable every day, organizing all my business with it.
It's not a powerful database like Caspio for example, there are lots of things don't work as should. BUT it's a handy, internet based database, allowing you to easy create views, and see information sorted, to hide fields ot group by a field it's probably the best way in my opinion, you can view the information the way its most productive for you.
check boxes, multi-select or single select fields, autonumbering and a range of colors you can use to see information , easy way to introduce colaboration with "Make" - ex- Integromat , and Zapier and Jotforms and more makes Airtable a handy tool.
I would not give 5 starts to any of its features. And still is the application I use everyday to plan my jobwork.

Cons

Deduplication fields. Guys, please: I need to deduplicate all lines, pressing one button. Why can't you include the option 'dedup all' - on my own risk and I have to do it one-by-one and ask me if i agree?
And the 'merge option' is buggy.
Automations are buggy. It's a feature supposed to run javascript code, that's not exactly working here.
Also, to combine tables and fields, as they say it's handy but doing many things here one by one, and can't press to apply some rule to all , is really missing.
However, if you do small tasks, it's probably the best app.

Review about Airtable

I love using Airtable for managing my projects and organizing data. It's so easy to use and highly customizable, which makes it the perfect tool for projects of any size. I can easily customize fields and views, import data, collaborate with team members in real-time, and keep track of task lists with the included project management features. The app is also great when I'm on-the-go - its mobile app makes it easy to keep up with my projects even when I'm away from my desk. I especially like the visualizations such as kanban boards and calendars, which make it easier for me to keep track of tasks. In short, Airtable is an excellent cloud-based relational database tool that offers a lot of useful features and great usability. Highly recommend!

Pros

Versatility: Airtable is a highly versatile tool that can be used for a wide range of applications, including project management, content management, customer relationship management, and more. Its customizable fields, views, and workflows make it easy to adapt to different use cases and workflows.Ease of use: Airtable has a simple and intuitive interface that is easy to navigate and use, even for non-technical users. It also offers a mobile app for on-the-go access and collaboration.Collaboration features: Airtable's collaboration features allow teams to work together in real-time, with the ability to share tables, assign tasks, and set up notifications. This helps teams stay organized and on track.Project management features: Airtable's project management features are highly effective, with the ability to create custom task lists, assign tasks to team members, and track progress in real-time. It also offers a variety of visualizations, such as kanban boards and calendars, to help users stay organized and on track.Integrations and templates: Airtable offers a wide range of integrations with other tools, such as Slack, Trello, and Google Drive, making it easy to integrate with existing workflows. It also offers a variety of templates to help users get started quickly.

Cons

Not really a con, but I would like to point out for those who use a lot of formula-based fields, the coding/formula platform on Airtable is not really the best, it is a little clunky and you really cannot get as much out of it as in some cases you would expect, but it is reasonably good nonetheless.

Airtable is great at organizing complex data that you need to interact with dynamically

Airtable saves us time, but it also saves us money. We're able to better manage resources when we can see how everything connects. That's what Airtable is great at. We had the data, but we were missing the lenses to put it in perspective. Having a column of dates in a spreadsheet is useful; being able to see those entries distributed on a calendar with a single click is a game-changer.

Pros

We've migrated several of our Operations Office processes to Airtable and couldn't be happier. Not only is Airtable easy to use, it's easy to integrate. It might not do everything we need, but by linking tools, like Zapier, it's so simple to manipulate data and let the data trigger actions in the other software that we use every day.

For example, we've built a base to track key distribution for our 210,000 sq. ft. facility. We have a table with records for each of the 858 unique keys in our inventory, which links to a table where we track all of the keys issued to individuals. With filtered views, it's easy to see who has past due keys or which rooms are at the greatest security risk. And because it's all web-based, we don't have to worry about who checks in a key because everyone's base is updated in real time.

As a relational database, Airtable lets you establish connections between two complex tables. We can click on a person to see all of the keys they've been issued, or we can click on a key to see all of the people who have it.

Not only are our processes more efficient, they're actually more productive. Working from a standard spreadsheet, the type of reporting we're doing now would not be feasible. With Airtable, getting the answer is almost as easy as asking the question, and with the mobile app, I can ask the question wherever I am in the building--or outside of it.

Cons

Airtable has a great feature set as a relational database, particularly for the price and ease of use, but there are some limitations--not enough to cost a star in any one category though. The nine bases we've built so far were all things that we migrated from a spreadsheet system. From that perspective, Airtable is missing the ability to use conditional formatting and it's a little lean on available functions in the formula field. So far I've managed to find workarounds for almost everything, but they're not always the most elegant. Despite these limitations, we recently upgraded to an annual paid plan after six months on the free plan.

A spreadsheet is a spreadsheet, right? Wrong!

I love it so much I support it financially, which is a big deal for me. I'm a very small business and a monthly subscription is always viewed suspiciously. But I love how they are constantly building in new features that make it more and more usable. Things I didn't even know I wanted until it existed. And there is a free option! I just wanted access to the premium features.

I'm currently using it for:
-production queue
-development outlines and goal setting
- inventory tracking linked with vendor management
- galleries of photos incorporated on my website and on Facebook
- managing home chores and tasks
- keeping track of any number of personal and professional lists

Pros

I like this software so much that I pay for it monthly, and I don't consider 25 a month "cheap" for me. But it has been so useful that I can't imagine not having access to all the features.

It's complicated to say what I like most because that entails an explanation of what it does. It basically combines spreadsheets with databases and then allows you to view your data in a multitude of customizable ways. And share just the parts you want to share, or all of it. You can also add collaborators or have clients input information directly through forms. You can take all of this and embed it on your website or on facebook.

The various views can be a gallery of photos, or a more standard spreadsheet, or you can output it to lists like an address list, or set it up to print labels of just the records you want to include.

You can use it for project management and production queues, keeping track of vendors or clients, sorting and updating inventories. It's really brilliant to the point that I've moved away from other spreadsheet programs, task management systems and photo gallery software in favor of using Airtable.

Cons

It's not perfect! There are a few things I haven't figured out how to do or it's fairly clunky still. But much of that is my own lack of skill in certain areas. I'd love to utilize API but I'm still too much of a novice to really figure it out. Once I do, though, I feel like it will take my website to another level.

One of the features is the ability to take a group of records and output it into a format you create. It would be great if there were some templates available for this sort of thing, but I'm not even sure how that could be implemented. It could just be my own laziness!

Airtable is one to watch in the future

Airtable has very specific uses that would be hard to replicate anywhere else with another piece of software. It has many flaws and drawbacks, but once you accept them (and find ways to circumvent them) it can be quite a handy and interesting piece of software.

Pros

When I first started to use Airtable, I came away deeply frustrated with it's usability. It's sometimes slow, straightly obtuse to use and has many "pending features" that would be extremely helpful for some of the simplest of tasks.

However, there came a time when I had to organise a league table for a tournament over the internet, and all of sudden, Airtable clicked.

What Airtable is good at is creating a database of entries for a specific use, so for example, making an internet registration form where a user can enter data and "register" their interest in a particular thing is so quick and easy to do.

I created an application form which auto stored the data into a highly organised table that I could then use however I wanted (I created a league table from the registered users with ease and shared the results of the league as the scoring progressed) - all via the internet, I don't know of a way that I could have achieved this without AirTable, Google Docs would have been a possible solution, but Airtable allows you to add attachments easily (so images, etc) as well as allowing you to manipulate (And hide) data in any way you can think of using Rollups and Lookups - two of it's most powerful features.

Once you get used to it, Airtable becomes useful, and I can see myself using it again and again when I want to organise a very specific and distributed task on the internet.

Cons

Don't think this is Excel in a different disguise, it's not, it's not as adaptable and not as powerful as Excel. You couldn't use it to track a project or manage a holiday system or anything like that, but creating a full customer list for a newsletter? Yep, easy, that's the kind of thing it DOES do really well.

It could use a few more features on the free tier of the software (the paid tier unlocks "blocks" - which is a strange name for plugins, which allow you to view the data in different visual ways but ultimately it's not as well integrated as it should be and therefore has a limited use)

Another thing is that Airtables mobile interface is woeful compared to it's desktop version, and for some reason you can't access the desktop website via mobile. I have no idea what compelled them to make this decision but it's something they need to address in the future. The mobile layout is next to useless.
