Easy to Use Popular CRM for Small Businesses

Hubspot CRM is an awesome CRM that I have set up for many of my clients with small businesses. It is easy to deploy, implement and maintain. It is also easy to teach to clients and there is low learning time. While not the most powerful CRM, it is surely the best CRM for small businesses. I highly recommend Hubspot CRM to every small business.

Pros

The best thing about Hubspot is that it's a very popular CRM software so if you run into any problems - you can easily find someone to help you. Also, there are a lot of tutorials available online from where one can easily learn Hubspot CRM. Another thing that I like very much about Hubspot CRM is that it has a free plan which can be highly beneficial for small businesses and startups. Even the free plan is competitive with paid plans of other CRMs. Another pro about Hubspot CRM is its intuitive workflow and user interface that makes it very easy to learn and use. Hubspot CRM is the easiest CRM I have ever used - even someone with below-average knowledge can use Hubspot easily with proper training. Also, there are a lot of integrations available like WordPress integration which is very useful for small businesses.

Cons

There aren't many advanced features available with Hubspot CRM so it may not be very useful for large businesses. Also, there is a free plan and there is quite an expensive plan - I wish there was something in the middle as not everyone can afford it. However, one can start with a free plan and move to a paid plan when needed so that's a plus.

The Best CRM for the Tech-challenged businesses

Of all the CRMs I've used, it's definitely the most intuitive. The marketing hub is really well made and the integration of the entire CRM is really well.

Pros

HubSpot CRM is really user-friendly. Without having to learn complicated code or processes it will connect the information of your leads interactions from emails to texts to phone calls to landing pages. It allows to keep each contact information updated with it's prompts to leave notes in every interaction. You will take your leads to clients without missing a beat.

Cons

HubSpot, like many other CRMs, takes time and effort to learn and implement if your employees are not familiar. Giving your team the necessary training is imperative for the correct implementation of the platform.

Hubspot: keeps track of our leads!

We are able to remember all the contacts we make and we needed one spot to do this. And we share it. My sales manager uses it too.

Pros

We like entering all the leads we meet at trade shows. Gives us one place where we store all the info and allows us to see our communications with them.

Cons

Sadly I think I may be missing out on some of the features, I need to take a deeper look at this.

Excellent platform for business growth and success

It's great for making a sales funnel and following up with leads until they become paying customers. Easy reporting on clients' journeys through the sales process is not a strong suit. All bundled up by making it easy to make and keep track of contacts all the way down the sales funnel from lead to customer.

Pros

Hubspot manages our sales, marketing, and customer success strategies throughout the complete go-to-market plan. It serves as the basis for all that we do and provides insight into the inner workings of the company.

Cons

HubSpot's appointment calendar is lacking in two key areas: the ability to send SMS reminders, and enable prospects to independently cancel or reschedule their appointments.

Easy, adaptable and scalable

Overall love it. I have used various CRM's (Sales Force, Netsuite, ActiveCampaign, Piper Drive and Cooper) and hands down I love HubSpot the best.

Pros

Bottom line it can work for a solopreneur all the way to a global enterprise. The ability for it to scale with you as your business grows is a big plus. Don't all CRM's do this? Some do but the difference with HubSpot CRM is it is made simple and built in away that you can use it out of the box without overwhelm but can also scale it to complex scenarios that work for your organization. Many CRM's I personally find are too complex initially and don't enable the user to get the most out of the features they should be using. As my title says "easy, adaptable and scale." HubSpot delivers on these and are the key aspects of what I like the most about the software.

Cons

Let's be clear there is no perfect product out there and they all have their pros and cons. Some of least favorite parts about HubSpot CRM:

- Contacts vs. Company data and not being able to sync information across all properties (I have written many complex workflows to try and solve for this its just a lot of work and you have extra properties that don't make sense to have).
- Not being able to sync data to a dropdown property from a single-text field or vice versa. Here is an example you have an individual that you don't know there Country. You have set up the country property to be a dropdown to use in forms on your site to keep it clean and the naming accurate as you can pull in HubSpot preloaded country list. An individual comes into your database where you don't know the individuals country but based on their domain HubSpot populates their company country. You can cross reference this with the IP country code as well. You can't copy the Company country to the Contact country because they are not the same property type. You go to create a list of contacts from the United States and it becomes a difficult process to keep up to date. The easiest solution is export import which shouldn't be the solution.
- Opt-in and subscriptions for GDPR is a little clunky and could use more work for simplicity

Hubspot has been there every step of the way as we have grown our business from 5 employees to 35.

Pros

Hubspot has a ton of amazing features. From sales to marketing to customer success, it can really support all the key aspects of a growing business. My favourite part other than the great UI/UX is that Hubspot seems to be constantly evolving and they tend to stay about 6-12 months ahead of us on many of the features they release.

Cons

Pricing per contact starts to get pricey if you grow a lot. We have had to "cut down" the size of our database because of all the outbounding we do.

What's Not to Like!

I was able to incorporate using the application for hr/hiring practices, clinical long term tracking of patient success, business development, and revenue development.

Pros

Hubspot is an incredible product which incorporates every aspect of sales and marketing and has so many integrations, that your success is unlimited. The CRM is fully customizable, the email marketing application has endless templates, you can import your entire website, do paid media and track all your campaigns and track all of your social media efforts as well. Don't even get me started on the reporting capabilities because they are endless. I want to see all contacts who have opened five web pages, completed a lead form, within the last three months, boom done. Segmentation, lists, snippets, automation, sequences for any process. Can you tell I'm a big fan!

Cons

The biggest problem you will have is getting your team to understand the full depth and functionality of the application. I wish I had more by in from the entire team, which is not the applications fault.

Nothing compares to HubSpot

The overall experience with HubSpot is such that I've tried to get it implemented company-wide! I preach HubSpot whenever the opportunity arises! It's all so very smooth, connected and automatic, and it saves me time every day so I can focus on selling and not as much on administrating.

Pros

Aside from the overall ease of use, I love that HubSpot connects with my Outlook and automatically logs and tracks emails. And that I get notifications on my phone when an email is opened. I can then call that person at that time while I'm on their mind, and my HubSpot app automatically logs the call and gives me a chance to jot a few notes too. Or perhaps they open the email and click the link to my HubSpot meeting scheduler...even better! It's all so blessedly interconnected and automatic!

Cons

I wouldn't say the task manager is bad, but sometimes I wish I had the ability to prioritize tasks..

Better than others I tried

It has provided a central place to enter my contacts.
It has helped me somewhat track activities, IF I remember to mark them correctly.

Pros

I use the free version. It probably has the most ability of any of the free versions I tried, if you can figure it out.
It's easy to load new contacts, fairly easy to upload contacts from a spreadsheet and great for easily loading business cards to your contacts.

Cons

_It is not intuitive to use. You have to hunt and find "how-tos" for most tasks.
_I tried using the marketing mail feature and due to some triggers they have set up am now permanently locked out from ever using that function again; because their system estimated that legitimate emails I had on my list were not valid or would bounce back. Frustrating to put it mildly.
_I am sure there is more I could use this software for but the costs are too high for me to buy and I won't spend that kind of money only to find out it really doesn't work for the purposes I need it for.
_I have not found a way to categorize that will put the potential clients I need to continue to engage with on top of my list. The options offered don't cut it for my business. There may be a way but like I said, you have to hunt around to find how to do most of the options, which I don't have time to do.
_It does NOT auto-save! I have had to re-do entries, notes, etc. more than I care to think about. Otherwise, you snooze - you lose!
_All the instructions I have found so far are videos. I prefer step-by-step instructions so I don't have to search each time I need to do something I don't do every day. If they have them, they are located somewhere that is not clear or intuitive and I haven't found them yet.
_In some areas it is very forgiving, with options to change what you entered, while in others, not so much.
_You have to remember to check the box for auto-posting a follow-up, rather than auto checking.

Basic plan is best value

Overall, HubSpot is our go-to, all day every day. The most important aspect to us is that it allows us to keep all of our information and updates in one place easily organized and accessible across our organization.

Pros

We've had both the premium and basic plans of HubSpot and for what we need/use, the basic level is more than sufficient. It's a fantastic value and gives lots of options with a very clean interface and usability.

Cons

The single only premium feature we would utilize for our structure would be having multiple pipelines, however, for something this relatively small I couldn't justify the huge cost difference of upgrading just for that essentially.

Hubspot CRM offers the most complete free Customer software for startups and professionals!

After you get used to the workflow of Hubspot, it is a breeze to use. Contacting new clients and adding them to Hubspot in no time becomes second nature. I also have Hubspot open during a Zoom call. I add some notes that I want to discuss, and report the full call just after we closed the call.I can then directly send an email with all the details to the other party.

Pros

The ease of use and many features that Hubspot CRM offers. Especially considering it is free software!I have tried out a few paid variants online, but I still fallback to Hubspot. That is saying something!

Cons

This might sound weird, but sometimes the options are just to many. In my opinion, a solid and simple workflow helps with productivity. With Hubspot, you often have too many options for your needs. Great free tools, with great additions in Sales Starter

Using Sequences has saved a huge amount of time when it comes to following up leads. We can set an automated sequence of 5 personalised emails to send at different times if that customer doesn't get back in touch with us. This has increased our sales success and potential for sales, whilst saving time due to the automated process. The free knowledge transfer and recommendations from HubSpot are also really influential, especially for inbound marketing.

Pros

Keeping track of the customers that we deal with is the best thing in Hubspot for us. Each customer has a contact card created where we can add all their details, but also customise our own fields like the product prospects we have (what we are trying to sell to them), then the products they have bought (hopefully). This helps us to better understand our clients and keep on top of current users and potentials. In the Sales Starter, being able to use sequences saves a huge amount of time with email follow ups and has lead to more sales as it can automate different messages going back out to the customers if they don't reply.

Cons

The full integration with calendars and email is simple if you have a Gmail account, but is trickier if you have independant emails. We can get our emails synced up and use the Outlook integration well, but you can only get the Calendar integration to work if you create a full Gmail account.

Alternatives Considered

A solid tool to get started with CRM

Using HubSpot CRM in my business has been crucial because it has enabled me to have a better understanding of what's happening.

There's a database of contacts I can nurture, a sales pipeline that shows me what's happening and tasks that make sure that no more leads fall through the cracks and that no more deal opportunities are lost because they aren't being pursued.

I highly recommend HubSpot CRM to someone who's just getting started with Customer Relationship Management or even a small business owner that want to leverage a sale to manage leads and the sales pipeline and who wants to do so on a shoestring budget (since the tool is mostly free).

Pros

I really liked the fact that HubSpot CRM is relatively easy to use. The navigation between its different sections and features is smooth.

The sales pipeline section lets you visualize what's happening at each of your stage pipeline, while sale forecasting shows you how much you'd be making if you were to close X deals.

Plus, there's the smartphone app: an excellent way to keep track of things and carry out tasks even when you're on the go.

Cons

The main con of HubSpot CRM, which is also true to other "freemium" tools, is the fact that certain features are only available in the paid plan(s).

That's not an issue itself but the fact that the paid plans don't cost $10 or so each month but much more than that, may lead a user facing the question 'Do I want to invest that kind of money or should I look for a more inexpensive option?'

A user-friendly and efficient CRM

Having been in both an admin and sales role in this tool, HubSpot really is a great product overall. As mentioned, when comparing with Salesforce (it's hard not to), HubSpot misses some functionality that is more powerful.

This being said, the efficiency gains from such a clean UI for sales are probably worth it over Salesforce. When evaluating this platform, keep in mind if your team has complex process needs or integrations with ERP systems for finance. If so, it might be worth looking elsewhere. This being said, HubSpot can TOTALLY handle being an enterprise level CRM, but you're going to want to configure appropriately and keep in mind some very minor platform limits.

Pros

The UI HubSpot's worked on here is incredibly intuitive, which can't be said for most CRMs. They've made huge strides in the past few years on the functionality as well.

The fact that the CRM is tied so closely with their marketing automation platform makes sales enablement a breeze. Sales automation features like meetings links and email integrations built right in are super convenient.

Cons

HubSpot CRM still has some work to do in order to get to the granularity of reporting that is expected for enterprise-level customers. It's the only reason I didn't give 5 stars to the functionality piece. There are some basic SDR type reporting needs that take a little bit of finessing in HubSpot CRM, and nuances from an admin perspective like comparing date fields can be tricky. At times, the user friendliness may have come at a cost of greater complexity, but sometimes it's better to keep it simple anyway.

I hate HubSpot so much, it made me loose a lot of money!!!

The worst experience with a piece of software in my life. I have lost thousands because of HubSpot. Avoid with all your means!

Pros

I really wanted to be fair and find something that I like about HubSpot but, to be honest, when I tried to do so, I was unable. It has so many bugs, its control panel UX is so bad, the learning curve is so big and it lacks so many features, that this is the first review I make in Capterra where I cannot find anything I like of a piece of software.

Cons

Oh, god. I have TONS of things that not only I dislike, but HATE of HubSpot. 1) The learning curve is ridiculously big, as a result of a very badly designed UX and the constant bugs when using it. 2) You will need hours, days, weeks and sometimes months of hard work to design by yourself a decent landing page that will still lack many functionalities and look not so good. Their visual editor is really really bad, and coding in HubL is frustrating. And if you look for predesigned templates, most of them are terribly badly designed. It has issues every now and then, and you will lose contacts, automations will not work... a disaster. Their support chat works sometimes, sometimes not, just when they decide to make it available! Very careful with the Advanced Code Snippet box in your landing pages settings, don't place your tracking codes there: sometimes this doesn't work and you will lose retargeting opportunities. Also, email templates are terrible. Oh! And this one is the worst: if you tag your ads' URLs with UTM tags, HubSpot receives these tags but will not show you this info for all interactions, only for the interaction preceding the creation of the contact. TERRIBLE!!! I think this has to be the worst CRM ever in history!!!

User-friendly software with great resources. I am a big fan

I use it every day, and I am still constantly learning new things and finding new ways to use it and make my work easier. I am definitely a Hubspot champion.

Pros

Hubspot is user-friendly, attractive, and useful for different levels of expertise. We use it for the website, blog, social media, email, and CRM.
The content around the software is fantastic, with active blogs for different user groups, detailed guidance for how to use functionalities and what you could use them for, and templates to help you tackle projects. They provide a lot of resources to help you get the best out of Hubspot, and if you're stuck, the customer support is responsive and helpful.
Something I particularly like about Hubspot is how actively they are developing it. It seems to be every month that we receive an update of new features, functionality or integrations. They have recently added the ability to manage multiple currencies, which people had been really actively asking for on the community forum, and I was so pleased to see this added. Hubspot clearly listen to the feedback and suggestions from the community.

Cons

There are some things which are a bit inflexible. For example, the Industry field for Companies is very large and has a lot of industries which would never be relevant to us. I would like to be able to delete or at least hide features and information which we never use and would never use.
Our email is on Outlook Exchange, which unfortunately means we are unable to use some of Hubspot's functions, like being able to email from within the platform and the Meetings function, which I would love to be able to use.
