Enhancing Project Management with BigTime

Pros

Tracking time and being able to in real time look at where we stand on each project from a billing standpoint.

Cons

We are in the early implementation stages of BigTime, everything currently is an improvement over how we previously operated. No known "cons" at this time.

Easy entry of time and expenses using Bigtime

Companies who bill their customers by the hour and have different hourly rates for different types of work can benefit greatly from using BigTime. Time and expenses can be entered by employees and reviewed by managers before being sent to the client for billing. It's convenient that you may log your time and expenses from any device, be it a desktop computer, laptop, or mobile phone.

Pros

BigTime is the program we use for tracking time, managing expenses, and sending out invoices. Using QuickBooks as our primary accounting software has its advantages, and one of those is that BigTime can sync up with QuickBooks during the day to make sure that the two are always up to date.

Cons

The approval screen does not currently allow for invoices to be filtered by Team Lead, so all Team Leads have access to all invoices rather than just their own. It's not easy to modify your own report, therefore we typically have to contact support for assistance.

Bigtime

Overall this is for big company's with employees over 100 plus to time manage them but need a better system for invoicing.

Pros

I like that you are able to create your own engagements per client.

Cons

I least like the invoice part as it does not function how it is suppose too. There are to many steps for it to be integrated into QuickBooks.

Review of BigTime

Pros

BigTime has a wide range of resources that are useful for the different types of healthcare projects we are exposed to. Reporting, expense entries, billing invoices are some of the relevant options that make it appealable for users.

Cons

Some reports are hard to customize. It may require someone who is technically sound to incorporate it within the platform for regular use.

BigTime helps with expense and project management

We are using BigTime to handle our expenses and our projects. We've been having some money problems, and our finance department had been using Divvy before they found BigTime. While Divvy did provide us with a bird's-eye view of our spending, BigTime provided us with a glimpse as well as other, more in-depth insights into our expense management challenges.

Pros

You'll be able to teach your coworkers how to use BigTime in no time at all thanks to its straightforward design and user-friendliness. In addition, they sent us materials that taught us how to use the program.

Cons

It's possible to spend a lot of money on BigTime. Since the plan we could afford for BigTime didn't include most of the capabilities we required, we had to cancel certain low-priority projects in order to use BigTime to its full potential.

Both the interface and the customer service are excellent

Through the BigTime Wallet, sending and receiving invoices is a breeze. BigTime has improved the speed with which we are paid. The fact that it integrates with Quickbooks makes billing a breeze. Using BigTime wallet, you can get paid much more quickly.

Pros

It's simple to use, and the help desk service is excellent. Brittany U. and I got on a Zoom session to discuss the problem, and we were able to address it quickly. You can count on an immediate response from the support team, or at least a prompt reply.

Cons

Until the features are explained in greater detail, they may be difficult to use. Is there a way to add files or links to external files to a project? Not yet, at least.

Cons

slow to add some features that would be helpful for payments. Adding feature to charge client service fees for ACH and credit card payments, allowing us to edit payment post if entered incorrect or if Client over pays to track credits.

New to Big Time

The implementation process was time consuming but thorough and we had plenty of assistance along the way. There are various way to learn the systems which is great for a team that may not be able to commit to learning at the same time.

Pros

Big Time is so easy to use for time entry, project tracking and reporting. The capabilities of the system are very impressive and the team is committed to continuing to product enhancements.

Cons

The amount of time required to get through the data conversion preparation, reviewing data, training and learning to setup the system.

Great Customizable Software

In our month of using BigTime, our experience has been wonderful! Our Customer Success Manager is AMAZING! We ran into some logging in issues for a team member and she jumped right on getting it fixed for us! The software has been so beneficial for Project Management in the month we have been using it. We still have a training session left with our CSM at BigTime to learn more features it offers and we cannot wait to learn what else it has to offer!

Intregrates with QuickBooks.

All of the report options and customizations
Project Management and tracking on all aspects of a project.

Cons

That you cannot change the Project Fee to say Project Budget. This is just a preferred naming system for our company though, so not the end of the world that we could not change this.

Excellent time management and customizable invoicing system

We were looking for a solid time management and invoicing system and were hard pressed to find something that was really specific and tailored and not a huge SAP system. BigTime was an amazing find! The system is easy to configure, easy to use and the support has been amazing. We're very happy with the system.

Easy to use, easy to configure, brandable and great support

Cons

Wish the documentation for the custom invoices was stronger.

Lots of Options

Support team is quick to respond and has multiple options to contact them. Account managers follow up frequently.

Pros

Ease of timekeeping and expense module.

Cons

There are lots of different options to set things up and you need to fine tune what works best for your organization and the other softwares you implement into. Still fine tuning 2 years later to find the best ways to set up projects and tasks for quality reporting. Would like to see white labeling and SSO integrations in the future.

First Impression of Big Time

My experience with Big Time has been pretty positive. We hope Big Time will help save us time with manually entering items and help atomize this process by being able to export data to import into our accounting system. The mobile app will help our employees turn in expense reports and time sheets on time and be able to snap a picture of their receipt for future input.

Pros

Product is very user friendly. Many options to customize fields, invoices, and reports. Communication with support and representatives is great. So far it is very easy to use.

Cons

There are a couple of features that are missing pertaining specifically to my company. There is not a direct vendor bill field or a way to create a contract for clients that have billable rates/fees that could vary month to month. But there is a work round to achieve this.

Experience was rough in the beginning. It would be VALUABLE for onboarding to be completed by...

full integration with our financial software - invaluable... there are many great software solutions out there that do what they do fantastically, however they lack full detailed integration with financial software... not Big Time! BigTime allows you to manage workflow and not miss deadlines. You can quickly reassign work, monitor deadlines, track phone calls/messages, assign tasks, view work in progress, allocate work, and also track all financial functions related to this work inside your financial software. No more having to track accounts receivable and client payments in two systems. After spending 8 months with 2 people trying and testing multiple practice management solutions, Big Time was the best and satisfied all of the "critical" requirements.

Pros

The ability to communicate in detail with QBD and QBO. FYI to all who job cost... You CANNOT job cost in QBO. It is not a limitation of BigTime, it is a limitation of QBO. Which is what i mean by my partial experience answer above... (allow more text there).. if onboarding is completed with a premeeting checklist about the firms existing workflow and time management and by someone intimately familiar with the industry that is using BigTime the cons below could be addressed upfront. The team at BigTime were difficult to get a hold of but once they were aware they worked like crazy to get us setup and working in the time frame we had. We moved our QBO file back to QBD (we had to do the testing on our own because the team at BT didn't know why job costing wasn't working in QBO) Once we moved back to QBD the job costing, invoicing, payroll work like a charm inside QBD. Hands down, it is the best integration with QBD of any practice management software out there... We had 2 people who spent 8 months testing many software solutions... most were lacking at least 1 "critical" requirement... Big Time was not. As we become aware and work through things like "terminology" we are becoming more and more confident in the workflow and keeping track of what is due when and who has what and what state the work is in. This is key as we go into tax season but also something we cannot live without on a day to day basis as 95% of our work is recurring on various time schedules. Thank yo

Cons

The wide range of terminology used in the software is confusing and causes errors to be made during implementation. Examples: Start Date and End Date... without these terms being defined you would think that start date is the day the work should begin and that End Date is the DUE DATE. Not so within Big Time. For recurring tasks, Start Date means Due Date in Big Time language. Another example: Completed vs Archived. Completed in most software solutions means that the job is finished or done; and archived means done and sent to storage with no recurrence nor future work is expected. In Big Time the term Archive means Completed or Finished or Done and removes the task from the workflow list and generates the next task in the reccurence. In BigTime the term Completed means something different... still unsure what it means because even when you update a task/project status to "completed" the task remains on the workflow list.

BigTime is great for consultants working in a remote office environment.

I haven't worked with other programs, but overall my experience with BigTime has been very good.

Pros

BigTime time and expense entry for specific job/tasks is easy for users. Invoice creation using the time and expenses entered is seamless, yet flexible. Once invoices have been emailed to my clients I can easily track my client's activity to ensure that the invoice has been viewed. If my email transmission has failed I get a notification.There are plenty of webinars available to use for self-guided learning. Also, there are live webinars for new users to gain knowledge about BigTime. Reading the blog posts is helpful too.BigTime support has been very helpful if I reach out with any issues. I recently worked with [sensitive content hidden] for over an hour to solve an issue. He was very patient and was determined to solve my problem during our call.

Cons

There are a few hiccups with taxation for Canadian users. BigTime has been working on improving these features.I would like to see more options for invoice PDF templates so that the invoices are better looking.I really struggle with customizing BigTime reports when any of the standard reports don't meet my needs.There are a few issues with syncing to QBO, but BigTime support staff have been helpful in trying to resolve these issues.

Flexible Project SetUp and QBO Integration

Pros

We support many different kinds of projects and contracts. We have T&M, Fixed Fee, Recurring and some Fixed Fee with a T&M Element. We like BigTime because it is easy to set up a project with tasks (line items) that match our contracting terms. Also, it is possible to set Cost and Bill rates at the Company, Project or even Task Level. This kind of flexibility makes it easy for us to produce invoices that match our contract setup. We also needed something with fairly tight QuickBooks Online integration. BigTime deliveres here also. Lastly, the reporting facility in BigTime is very usuable.

Cons

There is not really anything that I find I don't like. From time to time, I have a feature request for the BigTime team. They communicate very well regarding their roadmap.

Cloud Based Time & Project Tracking for CPA firm

Does what I need - staff have no problems at all entering time and it does all we need to track returns and who has what

I chose this software since cloud based access and integration with Lacerte and Quickbooks, my staff has found it easy to use.

Cons

Reports are very, very generic and lacking compared to other programs I have used

BigTime saves the time in timekeeping!

If you want to have the confidence in the accuracy of how many hours you bill your client for a certain project or if you want your employees to save time in creating their timesheet, choose BigTime!

Pros

BigTime saved us from doing biologs, logging out and also the need of us to keep track by ourselves the time we spent for a single project. It is an online application where you can input how many hours did you consume just to create or to lead a single project versus the other projects that you are doing.

BigTime saved me more time in logging in and logging out, and also keeping track with how many hours of work I did for the day.

Cons

What I don't like about BigTime is that sometimes when you submit your timesheet, it creates duplicates times. So instead of just sending 40 hours of work in a week sometimes it gets doubled or tripled.

Big Time Switch from Timeslips after 20+Years

Pros

It is bendable once you figure out exactly what you need it to do. Customer Support works with you to get to your end goal. I am particularly pleased with the ongoing support have received from [SENSITIVE CONTENT HIDDEN], who handles every support ticket with Support, Satisfaction and Complete Competence . Her knowledgebase is clearly an asset to her customers and what she is unsure of, she escalates and does not spin her or your wheels wasting time, which is a precious commodity in the World of REMOTE WORK Space.

Cons

Its inability to perform some task that I am used to which is to be expected in a switch form one system to the next.

One of the things I liked most about BigTime was its comprehensive project management features. It helped streamline my project workflows and improve overall productivity.

Cons

Review of BigTime After a Month

After reviewing four options for Time and Expense Tracking software we decided on BigTime for two reasons: Ease of Use and Invoice Templates. The Time and Expense entry for the engineers in our office was intuitive and easy to learn. The mobile app works very well and is used more than we anticipated.

From the administrative aspect the setup is relatively easy and the user interface is easy to follow and understand. I really like how the screens navigate from one to the other and how I can customize what I want to see on each screen. The clicking on the column headings to view the information in varies ways is great.

We create about 50 - 60 invoices each month where the format may vary depending on the client for each one. BigTime does a good job of providing a base of invoice templates with the flexibility customize. The one thing that is really missing from the invoicing option is the ability to display the Total Cumulative Amount Invoiced as of the current invoice (prior amount + current invoice amount). I have requested this change and hopefully it will be added.

The last aspect is customer support. Two training sessions were included in the software subscription. The first one was good for the very basic information, maybe a little too basic. The second session was much more informative that gave us some good practices to use with BigTime (Brea was very knowledgeable in both). The day to day support seems short handed. Most of the time you have to send an email and wait for a response which could take hours or the next day. As a new user that was a little frustrating. I don't necessarily need to talk to someone on the phone but a live chat would be great to get an answer and move on. That is the one area that I would recommend BigTime address.

Overall we are happy with our decision to go with BigTime and I would recommend BigTime to others.

I cannot display a cumulative invoice total in the budget summary for invoicing (prior billings + current billings).

Implementation person assigned to us ([SENSITIVE CONTENT HIDDEN]) lacked good knowledge on the software and was vague and unclear on best practices of the software, did not have a full understanding of features, import capabilities, etc. We purchase the data import package and that process was bad, the numbers did not match ours, he just told us the import was done and provided not reports to show the numbers matched. Also the WIP import time was not able to be billed and he pushed us to support.

System is okay, but doesn't have as many nice shortcuts as our old system.

Pros

that it keeps the entries from last week so that we don't have to completely start over each week. It is easy to login to system.

Cons

That there are no short cuts for the comments. You can't create custom reports unless you are an administrator - it is hard to find stuff that you entered months ago

Regarding the "create report" con below - actually, your BigTime System Administrator can, if they so choose, create a user group which would allow this ability to be assigned to any user. The specific permission would be "Report: BigTime Report Administrator" and if you, as a user, are given this permission, then you can create and edit reports without being a System Admin. Of course, this is ultimately up to your company, however, but the ability to do so exists within BigTime.

Regarding the ability to find things that you entered months ago, we would love the opportunity to speak with you more about this. We might be able to provide some tips and tricks or some best practices that could help in this area.

Expense/Time Tracking Made Easy

Pros

That it sync with our Quickbooks account, makes tracking time and expenses easy and accessible to our employees who work in the field, and the support team is always prompt and helpful.

Cons

The mobile app can be glitching. I recommend to our staff to enter time and expenses on the app, but to review and submit them through the desktop version.

Outstanding Customer Service

BigTime helps us maintain time for everyone to bill. Setup is easy to sort for reporting.

Pros

Software is very user-friendly and easy to learn. Someone is always available to help with questions.

Cons

Reporting could use some enhancing. Some numbers come out as dates.
