Great solution to Manage your Expenses

Our experience with SAP Concur was excellent, we are really looking forward to keep using it for future projects

Pros

We needed an app to approve hundreds of consultant's expenses and match our accounting. SAP Concur solved this for us. We loved the remotely review and approve, solved 90% of our previous issues. One of the best user friendly UX we ever tried. The import into our accounting ERP was flawless.

Cons

The only issue we have with this app is the price, if they would offer an affordable plan for small businesses, that would be great.

SAP Concur

It was hard to get to customer services sometimes

Pros

When using concur I used it for travel bookings - I found it extremely easy to set up profiles of staff I would be booking for. It was very easy to search and book flights

Cons

While using concur to book hotels I found it a little more difficult as it would not necessarily be able to fine the intended hotel using a few choice words i had to put the name and hotel address in the search bar for it to be found but other than that it was great to use.

New updates increase the time to complete tasks - Expense Reports - Travel

Terrible. The new updates have increased the workflow time from users logging in, creating expense reports, approving expense reports, travel, expense report visibility. It all takes much longer to accomplish these steps after the update. The new 2FA is terrible and takes forever to login. Worst case, someone gets my login and what? Creates expense reports on my behalf or books travel for me. The 2FA is totally unnecessary for how we use the tool. Yes, the update looks "fresh" and "clean" but it now takes far longer to move around the webpages and the sizing is way off for laptop users.

Pros

Nothing. The updates have increased the workflow time from users logging in, creating expense reports, approving expense reports, travel, expense report visibility. It all takes much longer to accomplish these steps after the update.

Cons

The new 2FA is a time consuming and not helpful for iPhone users. It should not take more than 30 seconds to log into a webpage but now SAP Concur takes minutes. Also, the updated expense report takes forever now that you removed the feature of adding multiple expenses at once. The size of the page is not suited well for laptops and requires too much scrolling to see the page. Way to many mouse clicks now to move around the webpage. It used to be fast and easy, now it "looks" stylish but requires far more time to move around the webpages.

SAP Concur makes it easy for employees to upload their receipts

Prior to implementing SAP Concur, employees in the field were manually turning in their receipts to the office where they were getting manually uploaded into Quickbooks. Now we are able to improve this process and make it more efficient.

Pros

I like that it was fairly simple to teach to our employees and that there is an integration that allows us to import those expenses directly into our accounting system.

Cons

I wish that you could input all of the information needed on just one screen before moving the expense to an expense report. I also wish that each user would have the ability to set a default card instead of it being cash.

Online Accounting Conquerer of All Times

Accounts payable and receivable automation.Creation of expense reports.

Pros

There’s nothing tedious and time consuming like carrying out repetitive tasks. SAP Concur automate repetitive accounting tasks which save time and reduce errors. Mobile application help me work on the go from anywhere over the internet.

Cons

For a while now, I haven’t encountered issues on SAP Concur. I wholeheartedly congratulate SAP vendor for such move.

SAP Concur for Web Developers

Pros

The platform allows you to keep track of all types of travel and booking expenses and management. It creates invoices automatically based on all the data. It's a great software in general.

Cons

You require an initial training to learn how to use this software if you have no previous experience working with similar environments. It has a lot of different tabs, panels and functionalities.

Great way to automate and track spending

Consistent and dependable. Would recommend to anyone needing to manage the expense side.

Pros

Using Concur in the Professional Services world

We mainly use this app for our expenses and travel. It serves its purpose and needs some updates to make it more user-friendly.

Pros

The expense section of Concur has a welcomed UX upgrade, it was much needed. I like that certain apps can connect directly when I purchase something it links right to the receipts so I don't have to take a pic and upload. The UX is much more friendly in its simplicity and look/feel.

Cons

The travel portion of Concur needs some serious help. The mobile version is not friendly at all. The major problem I have with the travel portion is the user interface and the slow search functionality. It needs a complete overhaul in terms of the GUI and UX.

Great for booking travel through the company. Customer service has been amazing to work with when you need to make a change.

Pros

I like how booking is all in one place when doing business travel. You can get flights, hotels, and even car rentals.

Cons

At this time, I have not found one thing that I don't like about SAP Concur.

refused to cancel after failing to deliver working product

The concur setup person wasted weeks of corporate assets and CPA time attempting to set up. Getting a working setup failed.
We begged for help and a better setup representative, no response.
After giving up and needing to move on because we had wasted corporate resources to get the portal working with the app., we found that having the corporate CPA match transactions directly from corporate bank accounts was faster than the failed concur system.
We notified Concur many times via phone calls and emails that we wished to cancel because we never got a working product.
They continued to send collection notices no matter how many times we notified them that we never received a working product.
Now they are suing the corporation for the year they decided to keep billing us after we canceled. We, of course, are planning on vigorously countersuing.
Thankfully the corporate policy retains all phone call recordings and emails in our retention vault.
So the jury will get to sit through hours of corporate employees begging for help and sending notices to cancel after failure to launch.

Pros

we liked NOTHING. they actually only added extra work for our corporate CPA, they were supposed to make it easier. ha! #FAIL

Cons

they treated us like we simply did not matter. horrible support.

Not what was described but useful in some aspects for invoice processing

It keeps all of our invoices in one place.

Pros

Concur keeps all of our invoices in one place and allows all of our teams to review them without the hassle of invoices getting lost in the abyss of never-ending emails. Allows for comments from each user which can be viewed by all who receive the inv. Inv PDF can be downloaded and replaced, Inv extract captures each invoice line in excel which is useful. Duplicate inv. feature works great when OCR gets inv number right. Ability to edit invoices is great and we can see who changed what and the date using the audit trail but we can't export or capture this info.

Cons

It takes a min of 2 days to get an inv into the system but often takes longer and has taken up to 8, system often duplicates invoices or does not ever show up even though we get confirmation so we can't have them sent directly to concur, OCR sftw is not good, requires manual review. PO's don't work if you have to revise them. PO import also doesn't fully work and retains old info after updated. Thus PO/inv matching is useless. Does not offer inv. tracking so we still manually track them. No way to determine inv time w/ each employee or turnover time in a rept or export due to "system limitations." No useful/functional reporting. Auto routing does not work on project basis so we must manually route. No way to capture approvals w/ inv so we must screenshot every one and attach to PDF download. Can't use approval flows for projects and have to approve through comments and manually route. Employees can't see invoices after passing them to next person so finance still has to manually send copies upon request. System offers restrictions but all employees can access and change these settings eventhough they are not set as an admin and are supposed to have restrictions, which means they could bypass final review by accounting. Employees often chance currency type for other countries not knowing we pay in USD only, we can't lock this so the export fails if we don't catch it and finally; it took almost 4 months to get up and running w/ concur so we didn't even get to use free trial.

Not Really Automated AP

Horrible. We told the product would work for our needs and we specifically asked prior to using the product that terms discounts would be easily handled. That was a complete lie. We specifically asked if it could handle multiple discounts for one vendor as we have several terms for just one vendor depending on the purchase. We were told it could handle multiple terms, which in fact it can not. It does not even calculate terms. We asked a lot of questions and our concerns were met with positivity that the product would work for our needs. Not so much. This is a huge deal breaker.

Pros

Implementation was helpful and support was good, but the fixes from support were typically, "oh you will have to use this work around", or "no we can handle that".

Cons

Too many limitations and the work arounds make it not an "automated AP processing".
Has several limitation when it comes to the following items: Terms discounts, can not compute. Limit in invoice number extraction = 11 so we have several invoices where the invoice number was short by at least 1 digit and that is a problem when it comes to paying those vendors outside of Concur., since the vendor will now know which invoice # the payment belongs to. Too many mis match issues that are not easily fixed with vendor name/vendors codes and G/L codes. G/L codes need to be a certain number of characters so if you have an account with a sub account and another subaccount, they entire account needs to be reconfigured to Concur standards in order to be used. Can not post to ALL G/L codes, so the workaround was to create a "bogus" account so the invoice would post, then go into our ERP and change it to the proper G/L code, (thus eliminating the automated process). Invoice line level extraction is limited to 40 lines so if you have an invoice with 106 line items, it will lump it into one line item, which makes for PO reconciliation difficulties.

Various other limitations where sometimes there is a workaround, but if there is a work around, then it really is not automated to begin with.

i found I was babysitting invoices too much, so it really isn't automated for me.

SAP Concur user - Field Use

Excellent. Concur software and Mobile App has made expense reporting easy. Using the Mobil App to do most of my reporting has alleviated time spent in the office and more time in the field selling.

Pros

User friendly. As a sales Rep in the field, Concur allows me to easily log, identify, report and submit my expenses. Dashboards and reminders allow me to easily view what is open, submitted and or approved. Mobile app is well developed and allows me to do 99% of my expense reporting via my phone. The only issue i have had in the past was a receipt not attaching to an individual expense. Concur makes expenses an easy task.

Cons

Create a file for receipt pictures. Instead of saving to my phone photo storage - or having to look for a receipt picture in my photo file, Concur should create a photo file exclusively for expense reporting via Concur. I believe Concur makes different capabilities harder to use than they have to. Most users (in my capacity) are using the same features every time so i should be able to customize my dashboard(s) with those features i use.Lastly, i have had issues in the past with a picture of my receipt not saving with an expense. Not sure if this happens alot, but it is troublesome if i delete the picture and or throw away receipt.

It Will Get The Job Done, But Might Frustrate You Constantly Until It Does

Our entire firm just moved over to Concur Expense, and it has not been without it's issues. I think it will be a worthwhile transition in the long run, however, I need to watch a lot more of the help videos until I get there.

Pros

It is very thorough, and really very detailed. I don't have problems with the reports once I make them, and I feel like the expense process is very thorough. From a company's standpoint, the software makes sense and provides them with a lot of information. It also has a TON of user input checks which are incredibly tedious, but also ensure that everything is inputted properly The app is also really helpful, especially when taking pictures of receipts and uploading them to reports. If I wanted to ensure accuracy and completeness and was choosing a software, I'd definitely go with this one.

Cons

Sigh... all good things have their drawbacks it seems. I'd be lying if I said Concur Expense was user friendly. There are so many error messages possible, and it is not intuitive when trying to solve them all. The error messages are small, and contain limited information as to why they've occurred. Per diem is NOT self explanatory, and my firm had to put out an entire educational PowerPoint on how to input per diem expenses. And then additional help info on basically every other function. Sometimes the system will auto-populate when I don't want it to, and other times it will attempt to categorize expenses into categories that don't make sense. It's not the most intuitive software... and when I finally successful submit an expense report, I'm relieved more than anything.

this is the most comprehensive product on the market for expense report and travel booking with easy integration

Cons

The software tends to be expensive with the add on options to the basic set up, such as travel bookings and others
It may seems a bit slow to answer at time and the customization require some work with the SAP team , not always the best at customer service

Easy way to track and report expenses

Overall, the best expense tracker that I have used. I would say that the features are always updated to help manage daily work for someone who remotely handles projects and needs the latest and most efficient way to work. This takes away a lot of the old processes for handling expenses.

Pros

As a weekly traveler, my expenses add up quickly. This software allows easy import of receipts, tracking of projects, and submission of expense reports. You can use your camera to take a shot of a receipt so that you don't lose it (which is a great thing for me) Managing multiple expense reports, assigning the reports to specific projects, handling foreign tax exchanges, even the submission of the reports and tracking their progress, all made easy with Concur. I like having the mobile app that syncs with my laptop app as well.

Cons

Sometimes it is not so easy to match up specific receipts to the correct expense when you have multiple ones for the same vendor. Not sure how to remedy.

Software that gets the job done for users

Overall, Concur does its job well. I want to be able to book and expense travel easily and I have got that with Concur every time I have booked for the past few years. I would definitely recommend others to use Concur and, in all of my professional experience, have not used a software that performs better.

Pros

I have been using SAP Concur for over 2 years to book travel and manage expense reports for travel. I have always found it easy to use and navigate, especially when booking travel. For international trips, I have found the customer service team to be prompt and extremely helpful. For domestic trips, the user interface is easy to use and I have had no issues booking both plane tickets and hotel rooms. I find that the results are up-to-date and there aren't flights "missing" from the Concur results. Expensing travel costs is also easy and usually uneventful.

Cons

Occasionally there is some confusion with regards to reports. For example, some charges show up on a credit card as pending but never go through and Concur will keep them in perpetuity. Sometimes it appears there are extra expenses that need reporting. However, this is really minor and ultimately has never prevented me from using Concur successfully.

Mobile friendly and seamless expense tool

Overall, Concur has been a huge time saver. We used to have to use excel sheets to submit expense reports. Now, it can happen in real time, and it's much easier to process the reports and submit payment quickly.

Pros

The best thing about Concur is that the app user experience is fantastic and reliable. It's easy to take pictures of receipts, or even link your purchases to your Concur account to log automatically. When I use Lyft for work, for example, I use my "business account" to book the trip, and the receipt and trip log automatically in Concur. Another great thing about Concur is it's integration with TripIt and the ability to book work travel within Concur.

Cons

The travel booking is a bit clunky, and doesn't allow for integration of certain rewards programs, like Hotels.com. It also doesn't always catch all options for your search criteria. For example, when searching for a hotel in New York City on specific dates, the cheapest hotel I could find using Concur's Travel was $500 per night, but when I went on Hotels.com, I found one for $300 per night.

Easily the best program out there

Benefits of paperless expense reports is not only environmentally friendly, but the way to keep up in a busy never-sleep world of business.

Pros

Great program. You are able to upload receipts and even use your mobile for pictures and logging trips/expenses and even meals while travelling. The best feature of this is the mileage calculator. If you are like me, you travel for work. All you simply do is enter your starting point, and end point, and it does the rest! You can select one way trips or round trips, and the mileage gets calculated automatically. Reporting out of the software is great as well, and breaks everything down perfectly for those days in audit. Must have for any professional whom wishes to avoid paper expense reports!

Cons

I couldn't find anything I did not like with this software. I have used many before but hands-down this is the crème de la crème. I wish more companies used this program, it's easy, accurate and gets the job done in little time.

One of the most unnecessarily frustrating systems I've ever used

Horrible system and huge inconvenience, although it seems after many years Concur is finally starting to address user issues to improve their system.

Pros

My university requires us to use Concur to file all of our expenses for job-related travel. At first, it seemed like a nice system. I used to app to take pictures of receipts, which was handy. Also, it seems that they very recently upgraded their system to make it more usable.

Cons

Almost every time I submitted an expense report, it was returned with errors. I am a PhD candidate, and for the life of me I could not seem to get these reports correct. One big problem was that my departments gives us per diem for food expenses, but Concur would always create an error if our total expenses did not add up to the exact amount of approved funding. So I often had to worked with our department secretary to manipulate the expenses so that the system would accept my report. The business office at my university was no help either. In fact, they seemed to be purposely obtuse about Concur. In summary, using Concur was honestly one of the most frustrating experiences of my graduate career, which says a lot. There were multiple occasions where the business office made a mistake in an account number, blamed me for it, and then it ended up taking many months and lots of arguing before I finally got my reimbursement.

Effective

Overall, I'm so glad we switched over to this product. I used to dread expense reports so much because they were such a hassle, but this makes it a lot easier and is more efficient.

Pros

This platform is much easier to use than others I've worked with. The fact that transactions from your company credit card automatically load into this makes doing expense reports much less painful.

Cons

There's still some coding in there that I don't understand or fully know what to do with, but I just stick to the ones I do know, and that works for me. I also with it didn't save transactions that were refunds. It still makes you add refunds or over 60 day old transactions to your report.
