Customer support. I went through THREE account reps before deciding to find someone else, and NONE OF THEM would answer the phone, return calls, or respond to emails. I finally got the retention team on the phone, who assured me that my rep's supervisor would call me on a specific day at a specific time. That phone call never happened. When I spoke with the retention department again, they informed me it was because it was the supervisors last day in that position, as he was getting a promotion. A supervisor with at least 3 team members who cannot be bothered to speak to a customer and couldn't be bothered himself got promoted.

Paychex Flex: The Most Flexible Payroll Solution around
I enjoy using Paychex Flex because it is simple to use and provides me with all the information I need to know about my payroll and employees. I can easily access my payroll information and run reports. The customer service is also excellent and they are always available to help me with any questions I have.
Pros
The most impactful features in Paychex Flex are the ability to manage all employee information in one place, the comprehensive suite of payroll and HR tools, and the ease of use. Paychex Flex is very easy to use, and integration with existing business processes is seamless.
Cons
The least favourable aspect of Paychex Flex would have to be its payroll processing. Reports have surfaced of payroll being processed very slowly, and in some cases, not processed at all. This can obviously create a lot of problems for businesses that need their employees to be paid on time.

An HCM system that simplifies difficult tasks
It has been a good experience overall. The payroll account manager I have is efficient. But Paychex does seek to elevate these positions quickly. Every time I get a payroll account manager who is knowledgeable, they always get promoted, it seems. My concerns about the reliability of customer service are raised as a result of this.
Pros
The ability to use the phone application makes it incredibly handy to get information and even manage payroll from any location. You may track the non-exempt employees' hours with the addition Stratus time, which integrates with your payroll software. Without a doubt, it is a big relief to be able to be in compliance with all local, state, and federal laws thanks to access to a comprehensive database from a company that has been doing it for decades.
Cons
Certain benefits, which would be useful if you knew what you wanted, cannot be manually set up. We are presently ironing out some problems with a PTO benefit that WE have. Upon entering the dashboard, Paychex Flex requests a fresh verification code. Depending on the administrative access required to do such an activity, users identified in the Paychex Flex may not be erased. Employees might not be able to update time cards electronically because Paychex Flex might only give administrators their usernames and passwords. The administrator is able to make time card adjustments with Paychex Flex. The administrator is able to make payroll modifications using Paychex Flex.

My Experience Using Paychex Flex for Payroll Management

Everything we need and more
Paychex Flex has cut the time we spend processing payroll requests in half, if not more. Giving employees the ability to make most changes on their own allows our Payroll Admin to focus on other parts of the business that require more attention.
Pros
I love that I can get new employees set up as users during their onboarding, then this becomes their one-stop-shop for all things payroll. They can access this site to get their pay stubs, make changes to their direct deposit, enroll/change health benefits, and even make adjustments to their 401k plans.
Cons
The only real con I have found with this system is that employees can not make changes to their mailing addresses themselves. They are still required to fill out a form for our Payroll Admin and he has to call Paychex to make the change. This seems like something simple that employees should be able to do themeselves.

Sold on features that never worked correctly
Previously, our payroll was completed in house. We were sold on Paychex being a one-stop shop that would save us time and have everything flow seamlessly in one system. Unfortunately, that never happened. We had issues with the payroll implementation that were never actually resolved. We switched to Paychex for employee insurance, and spent over six months trying to correct the errors.
Pros
I enjoyed the ease of using the software and report options.
Cons
Our biggest issue with the software was based on the needs of our company. As a non-profit we have multiple funding streams in which employees may work. After communicating with the payroll implementation team, we set up the system as advised. Several months after we went live, the inaccurate setup caused errors in our general ledger reports, and I personally had to key journal entries of over 1,000 lines bi-weekly just to get the information accurately recorded in our general ledger software. This added one to two days of work onto my already hectic schedule. When we asked to change the setup, we were told that it would take too much time and wouldn't be possible, even though we were paying thousands of dollars a month for this service.

Cons

Paychex has been around a long time and there is a reason for it. Still the gold standard in HR with the number of features in their flagship product and comprehensive suite of HR systems from payroll to benefit tracking to staff database.

Many features, great value, options to expand capabilities
Paychex Flex seems to do it all: You can access all your HR forms, sick and vacation time, timesheets, if you're a manager you have access to your team, complete HR actions, and much more. The mobile app runs basically the same, although it isn't the most touch-friendly app, it gets the job done. All the features work well, and while the app isn't the most user friendly, it is more than serviceable. There are also features that would be great for our team if we used them, like integration with other HR apps, but that's more an organizational issue. We switched from a different HR app which was completely unusable, and we've been happy ever since.
Pros
It does everything we need for the organization: payroll, time clocks, tracking, coding time, HR benefits, vacation and sick time, organizational forms, etc. There are also a lot of features that we just don't use as an organization. For instance we use a scheduling app (Homebase) for some of our employees and you can integrate Paychex into Homebase to handle the payroll. We came from another system that was very clunk and difficult to use, so the simplicity of Paychex was a breath of fresh air.
Cons
The biggest issue I have, and just a disclaimer I might not be the best trained, is that employee management is time consuming. It's not super difficult, but I often have trouble finding employees on my team, checking and modifying their time, etc. Also signing forms is a bit cumbersome because you have to click around the document yourself, something more like Verisign would be very helpful when dealing with forms.

Easy to use as an employee
As a user, Paychex provides an easy-to-use platform for time tracking and paycheck information. I downloaded the app but chose to stick with the website due to the straightforward nature of being able to clock in and out quickly, request PTO, and approve employee time tracking with a few clicks in a web browser.
Pros
Paychex is easy to use as an employee. Being able to clock in and out is simple - there is a button to click that records the punches. I've also used the timesheet to manually enter time, which is also straightforward. As a supervisor, seeing my direct report's timesheet is handy. To approve, it's a matter of checking a box for approval - I feel like it could not get any simpler as an end user.
Cons
While easy to use, I'm not too fond of the feature for switching between the employee (self) details and supervisor (direct report) details. A switch role function in the upper corner is not necessarily intuitive. I would love for there to be a way to have it all on the same "home" page rather than having to switch roles. While I personally do not have anything to do with the setup of Paychex, I am going to assume there are some issues from there, as our HR department seemed to have difficulty making updates to the system regularly.

I love that Paychex Flex is very user friendly.
Pros
I use Paychex Flex to clock in and out daily, check my time card, request time off and for retreiving an W2. I love that this portal is very user friendly. Nothing is hidden. You can easily find what you are looking for using the tabs on the side. You can also customize your home screen to display what you are needed. As soon as I login in I'm able to clock in and out, view how many hours of PTO I have as well as paystubs.
Cons
I would improve being able to have more widgets in the home screen so you are able to see your time card and attendance right on your home screen. It would be easier to track.

Paychex has FINALLY gotten it right
Payroll reports for my clients are at my fingertips!
Pros
Paychex FLEX is easy to navigate, fast at loading reports and pages, and gives you access to what you need. As an accountant it is vital for me to be able to have access to the reports and items I need to get accounting and taxes done without having to jump through hoops to get that information. Many payroll firms make this task frustrating and time consuming. With Paychex FLEX I have one log in for all of my clients and can easily navigate to the company and reports that I need every month or at year-end within a few minutes (including the login process).
Cons
One thing I don't like is that the default view for reports is set to the last 90 days. Many times, especially dealing with tax forms, I need reports that were created more than 90 days ago. Also, since the newest reports go to the top of the list you already have the most recent reports at the top. Why not default to the past year and then just let me filter down to a smaller group of reports if that's what I want?
Other than that small gripe, they have done a lot to improve their FLEX format. When it was first released everyone hated it but it has finally been improved to the point that it is extremely usable. The problem is that it seems like every time they get things just right they move to a new platform and "upgrade" their systems. I understand that this might be a necessary evil but it sure does cause a lot of growing pains for the end-user.

Paychex Flex is a robust payroll solution that can accommodate almost any payroll need.
Pros
Together with the company's team of payroll specialists, Paychex Flex is an effective payroll solution for small and large companies alike. As administrator for a small company, I appreciate having permissions to manage my company's staff in the tool while allowing the payroll specialist from Paychex to key in the biweekly payroll data. This delegation of duties gives me control over the the job functions that are most important to me.
The General Ledger integration with QuickBooks Online is configurable and works well once set up to meet your business needs. The 3rd party integrator's staff is professional and diaplays an expert knowledge of both Paychex Flex and Quickbooks.
What I like most about Paychex Flex is that our tax returns and payments at the Federal level and for most states are done for us automatically.
Cons
The browser interface is unattractive and not always self explanatory. The client id, which is needed on all email correspondence with your payroll specialist and is displayed on the banner at the top of the screen, cannot be copied and pasted into emails.
The filter feature on the Person screen doesn't work consistently, and I frequently have to reapply the same filter so that only active staff appear.
Online help for the software can be misleading or inaccurate. After following instructions for 1) giving access to staff and 2) adding a new state for withholdings, without success, I learned from my payroll specialist that I didn't have the ability to perform either task through the software.

STAY AWAY FROM PAYCHEX
Terrible- each Paychex employee has provided the bare minimum servies, has not been accurate in the information they provided regarding the services, and once their job is done in their eyes they dissappear. Only the HR Rep who wrote our handbook was straight forward and honest regarding the services to be provided or not. It has been a nightmare trying to terminate our relationship with Paychex. They could care less about us as clients until they realized we were terminating their services- now they just don't answer questions and won't follow through closing out our 401K program and returning our money to us.

NOTHING. We thought we were buying payroll services that would support this firm. From the marketting rep who outright lied about the review services to the 401K rep who lied the servies was" practically free" we feel we have been scammed or ignored for years
Cons
There is NO SUPPORT from this firm. They don't know who their clients are and they don't care. We terminated their services Jan 1, 2021 and they have dragged their feet in closing out their business with us, their automated termination program doesn't work, and they are still billing us for "administatin servies" on the 401K program which we are no longer contributing to- Paychex is making interest on our money and refusing to efficiently close out the program

Not very happy with Paychex Flex
I was exited to work with them. The system seemed simple for my small operation and pricing seemed to be right. Sales Rep was very helpful and confident.
They quoted a flat monthly fee of $40.00 plus $4 per employee regardless of the number of deposits per month. Then from month 1 they began billing me per payroll period. I complained several times, and they credited a few bucks back, but each month was the same. After 1 year they'd forgotten of their original quote and denied the whole thing. Then pricing started to go higher.
I went from a $44 per month promise to a $51.00 per payroll period (bonuses processed separately)
In the end my annual budget tripled for 1 year. At times I would pay up tp $153.00 per month for 1 employee.
They also warned payroll should be turned in 48 hrs ahead, but I would always get a reminder from my payroll specialist. However, in one occasion there was a holiday in between. It was one of those holidays where most people work. Paychex did not send a reminder so I figured they'd work just like me. Next day, we get a $150.00 fine for not submitting hours on time (72 hrs in advance). Apparently, they were among the fortunate ones to get the day off. Only they forgot to give us the heads up. It soon became my job to be asking them at every upcoming holiday.
Finally one day I submitted my hrs but they forgot to deposit my employee's paycheck.
At that point it was time to go.

I run 2 companies with 1 employee each. I really liked the simplicity of submit the payroll. It didn't take much of my time. But then they started sending formatted charts to fill and more information to submit. Still, it was simple enough. Not much to complain about.
Cons
Customer Service is terrible.
I'm not the kind of person that requests to talk to the boss of your boss, but a payroll specialist can only do so much; So when you have a billing concern or service complaint because you employee did not get his pay, expect that no one will be in charge.

Look Elsewhere
As much as I would like to write something positive about this product, it really is hard too. The only positives are the people that are assigned to the account. I like who I work with.
The product is another story. We have timekeeping associated with Paychex Flex and we have an issue with an employee every single day. Often times they cannot get in to clock in, lunch out, lunch in or clock out. Sometimes it's all time punches, sometimes it's one. There are times when the system just won't let you in period. Calling in for assistance, of late, the wait is about 5 minutes, but have been on hold for over 30 minutes. The reports, that's another story, the way it's sorted, it's sometimes hard to figure out where to go to get a report. The one thing that drives me nuts, is creating a report. I don't think you can do an ad hoc report.
