Very easy and works well for our needs. Our needs being able to have reactive work orders for immediate attention and regular PM's on equipment and maintaining an asset list with pertinent information.
Pros
The user interface is so easy. Works well on both the computer and cell phone app. Setup was really easy and the initiation team support was very helpful. The software has the ability to make graphs and dashboards very easily. The photo/document upload is super easy. We had very few issues with the transition to the system from our previous work order system.
Cons
We wish that it would notify work order requesters with comments on the status of the work order. It only sends an email with "completed" once done and does not show the comments on the work order to the person who entered it. Unless that person signs into MaintainX as a general user and clicks on the work order they never see what was done. Not sure why it couldn't just send an email back that included the comments since it already sends a "completed" email.

Excellent system, Excellent support

Pros
MaintainX has allowed us to streamline our old paper-based maintenance procedures by creating new digital, dynamic MaintainX procedures. Users can easily complete procedures on a device at the point of use, upload photos and provide accurate, real-time updates on work orders. Procedures are incredibly versatile and customisable and can be used for so much more than just basic maintenance activities.
Our dated excel-based asset register has now been replaced with a detailed asset management system that automatically links any Work Order with its associated asset. This provides an accurate history of any work performed for any of our assets and has saved so much time by not having to manually search through records to find the information we're looking for.
The meters feature has also now allowed us to track and monitor a wide range of readings accross our assets and facilities, providing real time visibility on equipment performance and the ability to identify negative trends before they results in a breakdown.
The MaintainX support team also provide a fantastic service. The live chat and ticketing systems put you in contact with a real person who can guide you through any troubleshooting with the system. We also have a dedicated account manager who catches up with us regularly to keep us up to date on upcoming improvements, supports system integration and answer any other questions we might have.
Cons
MaintainX is a great system and the team are constantly updating it with new features and bug fixes. While its great having such support and an ever evolving system, sometimes it can be difficult to keep on top of all the new updates. Fortunately the new changelog feature now allows you access to a full version history of all changes if you need more detail.

Brought Us Into the Future!
I can think of no other application I have worked with that has generated such huge gains for our organization. The support is outstanding and is something seen less from other applications business with. Their interest in what the customer sees and needs is evident in the way they dig into issues and try to create greater understanding before generating a thought or solution.
Pros
The ability to organize processes related to inspections, preventative repairs, and reactive maintenance of our facilities. The ability to have a record of completed work. The ability to track work and never loose track of a need. I also appreciated the ability to operate with a inventory list with directly connected supply vendors for ordering purposes. The ability to organize inventory, show when parts are used, and track available inventory, keeps us ready for the unexpected.
Cons
I don't have much if any cons about MaintainX. Nearly every question or need I bring up is addressed in some way or they identify it as a possible process improvement with their development team. About the only time I feel constrained by the system is when I create procedures or processes. This portion of the system seems a little less flexible than other components.

While the program is very extensive and covers a wide range of maintenance issues we require it is at the same time the interface is very easy for our technicians to learn making its integration into our maintenance department quick and easy. The sales team has also worked closely with us helping us choose the right package for our needs which we see growing as our familiarity with the software improves.

So far we have no complaints, we are still leaning the full scope of the program but are extremely happy at this point of its integration into our operations.

Powerful CMMS
We are currently using the software for asset consolidation, spare pares tracking, procedures development, preventive and corrective maintenance management and historical recording, without issues. It's very user friendly and has good information in their library to support small maintenance teams tpo conduct their job.

The most user friendly and modern platform to date
Overall MaintainX has been working well. My technicians have picked it up quickly and the migration from our old system went well enough. The team is receptive to feedback and improvements to the platform as well.
Pros
User friendliness and mobile app are by far the best on the market. My technicians were able to pick it up and run with it with little training. That is how easy it is to use.
Cons
Although cheaper than other CMMS systems out there, there are a few missing features that we would like to get added. Floating PM's should be a standard and not require extra implementation. I know the team is working on this. The purchase order module is fairly basic and doesn't directly talk to work orders.
It makes adding service calls by vendors take a little longer due to extra steps to add their costs to a work order and ultimately to an asset.

The implementation team knew exactly what they were doing and took care of every request I threw at them. The process moved very quickly. After implementation the users found the mobile application very easy and has had tons of success.
Cons
Since our business is not large enough for the enterprise option it didnt make sense to go in that direction. I do wish there was more customization ability without having to go to enterprise.

MX Review
MX was already operating when I joined the team as a manager. I believe within a few hours I could allocate work, review the status of current works and identify where there were areas of risk. So, in short incredibly effective and intuitive.
Pros
Maintain is very user friendly, and any of our staff at any level have the ability to use the tool. We work across a wide network of facilities, and MX allows us to communicate between our operations staff and customer service staff, so we know exactly the status of individual maintenance works. I particularly find the reporting function useful to share information with the wider team and provides us with the necessary information for our forward planning and will become more important as we move forward to utilise MX as our operating tool. MX assists us with Health and Safety so we can monitor and audit contractors' documentation for each particular piece of work.
Cons
I suppose the only Con is MX is Based in the USA so we are working across different time zones, but the staff at MX have been more than accommodating to work in with us. So not a huge issue.

MX has more than 500 employees at this stage and I've interacted with quite a few over the three years and they have all been awesome...
But I just have to give a shout out to [sensitive content hidden], my MX dream team and absolutely exceptional to work with.
Pros
MX is an ever changing program and it's constantly getting better. I signed up approx 3 years ago and they have launched feature upgrade after feature upgrade in that time. The system was already awesome when I got it and helped streamline a lot of the things we were struggling to get organized properly, but after three years they have launched so many more updates with features that make it absolutely exceptional.

I would like to see the ability for me regular staff that aren't on MX to be able to complete a daily check list without quadrupling my price.

The program is big with regards to ability. There is so much to learn, I look forward to growing with the tool.

I am able to independently collect data on every asset I had listed.

There is a limit to multi-tasking. I cannot run two timelines with two work orders open. Being a industrial mechanic, I sometimes have two or three projects going on at once in a day. If I start a job and wait for a part to show up, I tend to work on another machine until the part shows up. I stay busy and I want the program keeping track of what I do.

A Project Engineer's Friend
My overall experience has been great with MaintainX. I have assigned roles, completed tasks, and this has allowed me to create suggestions for FIP, 5S, and more GMP protocols to be implemented into our plant.
Pros
The integration of the time and work that are put into creating preventative maintenance plans, as well as spare parts indexes are now considered Automated at our plant. It is still in the works to get the software more integrated closely with our departments, but I do see the effect and the visibility that the software provides through our different departments helps with having these projects completed as well.
Cons
A few cons that I have noticed with MaintainX are integrating the project owners with the plant. It takes effort from multiple departments to align these new processes into place. I noticed personally, that I am working on one of the project owner's tasks regardless of us having this software. I am hoping in the future, once this program is more integrated into our company, our main MaintainX point of contact can have more time with performing organization with Spare Parts, as this is a necessity for MaintainX to work.

Pros
MaintainX's ability to customize procedures to cater to the specific needs of our company, while being extremely adaptive to help us comply with the ever-changing regulations in affordable housing, has been an integral part in our success in maintaining a smooth and efficient operation. The user interface is extremely easy to use and is a huge bonus for our staff that are not the most technologically inclined because they find it easy to use. Lastly, the extremely responsive customer service ties the whole product together and makes it one of the best investments our company has made.

There is not much, if even anything, to dislike about MaintainX. The only thing I would like different is another tier in between the premium and enterprise plans, to satisfy the need for slightly more features without having to pay the much higher price for enterprise when a majority of those features aren't applicable to us.

The customer support, price, and functionality is second to none. We've saved thousands of dollars by catching problems before they arise with repeatable work orders and tracking. All my staff catch on to the simple interface immediately and use it in their day to day because it isn't cumbersome at all.

Maintenance Supervisor/Planner
Compared to anything else I've use over the last 20 years, this is without a doubt the most powerful tool from an administrative aspect. The speed at which data can be retrieved improves communications and allows for analysis and further planning and total transparency.
Pros
Easy Set up, Can review asset history. No need to print and store paperwork. Access for non maintenance team members to request work. Can upload pictures, videos and PDF's directly to a workorder seriously improves communication.
Easy to edit or re-open workorders where follow-up work is required and comments get sent back to the original requestors.
Cons
When exporting lists of workorders, Limited to 200 entries requiring large lists to be manually parsed together.

A LOT Less Squirrel Moments
MaintainX has already transformed our company. We spent a lot of time unfocused and definitely unprioritized. Shiny objects would easily distract us. Now we simply hit the list by priority and attack the problems one at a time. As a manager, I was able to take vacation and my team just followed the priority list. If you take the time to set it up correctly, the system begins to run itself.
Pros
It is extremely easy to navigate. We uploaded Assets and were making Work Orders all in the first day.
Cons
It would be great if all new work orders showed up separate from existing ones. I have my list sorted by priority, so low priority WOs show up pages away. If there was an upper header where all new WOs showed up to read/acknowledge, and then go to their 'spot'.

Can't say enough good things
My experience has been great in every way. This system and the people who create, develop, and support it are amazing.
Pros
MaintainX is modern, easy to use, and highly functional. The system is flexible to accommodate a huge variety of locations, assets, equipment, systems, etc. The Procedure Generator is fantastic and has been essential in growing our preventative maintenance program.
What I like most about MaintainX is the people, though. Our account management has been stellar and we get great support on how we use the platform.
Cons
I haven't encountered a problem with MaintainX that hasn't been resolved or addressed. The system is adaptable and well designed.

If Google Created a CMMS system, This is it!
Overall, very positive. It's solved masses of issues for us. I like all of the functionality. It's nice to have work orders, jobs, reports, assets, vendors and parts all on one platform.
Pros
Very easy system to use and get used to. Lots of features, plenty for everyone. Very powerful tool with frequent use. But most importantly, it's well supported.
Cons
Some of the automated features don't seem to be accurate at times. Can be hard to get your head around an issue on the reporting side. Sometimes don't trust the reports.

MaintainX is the best CMMS platform on the market
MaintainX is the best CMMS platform that I have used in my long tenure as a Facility Manager! It's easy to convert to from another platform, the customer support is exceptional, and new users that may not have great computer skills can easily adapt.
Pros
MaintainX is mobile based first! Meaning all the basic user functions of the platform are geared toward mobile use. Users that aren't admins, really have no need to be tied to a desktop and anyone can use their smartphone or tablet. Also, my customers love being able to submit a ticket without needing pesky logins or passwords to keep up with! Scan the QR Code, tell us your problem, and the ticket is created. It's that easy!
Cons
The only con I've found is not being able to filter certain assets out of an asset report before it goes to CSV, but that data is easy to filter out in Excel.

Our experience has been wonderful! Our customer success manager [sensitive content hidden] has been amazing. She is quick to answer any questions or jump on a meeting to walk us through something that is new to us. I would recommend MaintainX a thousand times over.
Pros
MaintainX has allowed us to better track our assets and our preventative maintenance. We have gotten rid of our outdated Excel sheets and upgraded to a system that keeps track of everything for us and reminds us when we have missed something. MaintainX has cut down on our data entry time as everything only needs entered once and not new every year.

Maintain X
It has been great moving to Maintain X. They always work with us for our success!
Pros
Maintain X has such great features and after doing A LOT of research and testing of other platforms, out performs all that I have found. It is very user friendly (which is helpful for folks who are used to working on the tools and not as much with technology). The support we get is great - from chat to our account manager. They have always tried to work with us to find ways we can utilize the system in a way that works for us. We use it everyday all day for work orders (Reactive), and preventative (PM) and it has been a dream since we implemented it over a year ago now. We also use another app that has integrated well with helping us automate other jobs that we used to manually put into Maintain X.
Cons
Pricing is per seat - it would be great if there was a package price for unlimited users or even "up to 30 or 50" users. It would be nice to be able to access reporting on mobile. Would like more than just 1 level of hierarchy (parent/child) in assets and locations.

MaintainX Is a Must Have
I have had nothing but good experiences with MaintainX over the past 2 years. I was thrown into using the software on day 1 and developing our parts inventory. It was not difficult to learn or execute.
Pros
I like the ow user friendly the platform is as well as how quickly and thoroughly the account rep responds to questions we may have.
Cons
The price is a little steep but we received a discount for our last contract. Other than that, no cons.

Not the best for Maintenance
it has not been good they didn't give us enough training on the system before they rolled it out to my guys so I'm learning with them and I can't help them as I should. and the person who set it up messed it up so bad that I spend more time fixing pm, location, asset, etc. that I can't focus on any other parts of the program
Pros
you can customize the pm's to do all kinds of stuff, it is very easy to search for work orders and parts, and you can add files and pictures to the assets, it will be nice to be able to scan a QR code and it will show you the part or asset but we haven't gotten that part set up
Cons
I hate when you search for an asset when I type my equipment number it will give me every single asset that has any of the numbers For example if I look 1001 I am going to get every machine with any of those numbers and usually the one I typed in will be at the bottom. you can't search the history of an asset on the iPad what's the point of even carrying the iPad my guys troubleshoot by looking at the history of that asset. you can't add more than one asset to a work order so my guys have to fill out multiple work orders and that takes up their time they could be doing something else. You can't look up how many assets my guys are responsible for it only shows how many work orders they have so if they have 100 work orders it is counting if they have any duplicates that's not helpful when trying to see who has what asset

Everything I need in one place
I've been an industrial mechanic for over 25 years.
I've worked with shelves of parts catalogs with phone numbers and names scribbled on them, with faded faxes, photocopies and breakdowns stapled to the covers or stuffed into binders with manuals with missing pages. Spreadsheets with lines and lines of parts numbers and costs, inspection paper sheets covered in dirt and grease, static-y two-way radios for site equipment service calls, drawers full of half-used PO books with conflicting numbers that mean nothing (I can use YYYYMMDD-HHMM as my PO numbers now!)
And that was the trade life. Now there's MaintainX. ALL OF THAT in one easy to find place, at your desk or on your phone.
The job is still challenging. But MaintainX makes it easier.
Pros
It links suppliers to POs to spare parts inventory, which links to the assets, which links to inspections, which links to downtime tracking, which links to the mobile app so operators can call for service and automatically leave a record of it on the asset in question...
Cons
Seriously, the only thing that irks me a bit is when I order parts or supplies that have more than two decimal places in the cost. And I hear they're working on that ;-).

MaintainX - A superb CMMS solution for businesses big and small
I would highly recommend this solution to any company big and small. I think the more users out the more the product will improve for everyone. The team is great and the product is streamlined and very customizable and I am able to achieve everything I needed when I was initially looking for a solution.
Pros
I love the continued development of the product. I work very close with the MaintainX team, and they have developed functionality that we felt was required for our business needs. The customer service is top notch, and I don't worry about issues I run into because they come up with a solution quickly.
Cons
I would like to have the ability to customize fonts and highlight important text. Also, integrating with Excel would be a huge improvement.

Getting MaintainX in a Fed govt facility
Generally responsive and helpful. When we needed a software engineer to talk to the IT people at the EPA it took a while but it did happen.
Pros
Complete fairly easy to learn, its taken some editing and changes but nothing we haven't been able to do on our own
Cons
a bit more complicated to set up than I thought. You need to expedite getting FedRamp approval it would have made this whole process much better

Simplicity Through MaintainX
Pros
I really enjoy the simple user interface and the ability to customize reports, views, and settings. The instant feedback on work orders and field team progress is very helpful. I especially like working with the MaintainX team, they have been a pleasure to work with throughout the years! They've worked hard to bring out features as quickly as they can and really worked to develop an amazing platform.
Cons
There are some limitations with managing inventory in multiple stock locations. The parts management system didn't fit our use case super well and we found it difficult to fully utilize. I do wish the platform could just do more things in general, which I know they're working on, but it's hard to have a one-size fits all and that's okay.

Great system geared towards technicians for ease of use
Overall experience has been great so far. I have no regrets in switching to MaintainX.
Pros
MaintainX is a great system for technicians as it's very easy to grasp and train anyone one. Implementation was quick and near seamless for us. Support has been phenomenal. Overall it's a great system to scale with.
Cons
I have no real bad things to say about it. Just like any system you use there will be some road blocks on certain features based off how the program is written but it is not anything that hasn't been able to be worked around.

Excellent mobile fit for purpose tool
Outstanding customer service and support - I cannot think of a more positive experience from an IT platform provider (given that we only use 32 licenses - we feel like we are treated like a mayor/significant customer - well done)
Pros
Easy to use, easy to onboard and integrate, exceptional (virtually real time) customer service and query management, versatility of application, making information visible across the organization. We've had an extremely positive product and service experience thus far
Cons
Not a lot missing, perhaps if they could create better step-costing (i.e above 20 users/30 users and so forth) we would roll it out much further into the organization as (say) 20 or 30 users use it all the time but if we we had another 20 or 30 'restricted use' licenses at half the cost we would add this one (the ROI drops at a point when you add more and more licenses for staff that uese it less frequently for narrow uses i.e. part stock control/inventory)

High School Rennovation/Addition
Pros
I like that it is user friendly. We have a unique situation where we have turned over parts of a school and are still in site building new areas. MaintainX has allowed us to field maintenance requests from teachers for the entire school and it allows us to determine if it is new construction (contractor issue) or existing areas (school maintenance issue). Before MaintainX we were getting phone calls about the issues and now every teacher has access to MaintainX to submit a work order that we can track and get fixed without a middle man.
Cons
I wish that I could get a PDF print out of filtered work orders that has the description of the work order. There is a summary printout now but it only shows the title. I wish it were to show the entire work order, or at least the description/comments.

Great streamlined program
We have had a great experience with the program. I would love it if adding a new user it automatically went to a requestor vs automatically wanting to add them as an admin. We have had times when we accidentally tossed someone in the wrong category resulting in charges we didn't need.
Pros
the ease of use including the optional phone app!
Cons
we find the reporting side to be a little bit clunky but have had wonderful customer service in troubleshooting!
