Great Option For Swim Schools

Very positive experience with iClassPro overall. Easy setup process and information transfer with help of customer service reps. The cons for the system are minimal compared to the pros. Cloud based system keeps information safe and available from anywhere.

Pros

Constantly evolving and improving and adding features. Wonderful customer service. Comprehensive solution for scheduling lessons and birthday parties, customer management and online access for parents and staff.

Cons

Notes are difficult to work with because there isn't one simple place to see or search for them for account related information, student information, enrollment information, etc. There isn't a designated option for managing private lessons. Mass text messages can't be sent from the 'classes' page and filtering specific classes or days is cumbersome at best in the 'family' and 'student' pages and that is important for contacting specific classes for cancellations, make-ups, etc.

GREAT SWIM SCHOOL MANAGEMENT SOFTWARE!

Overall it's positive. But when things dont work right, or as they should & customers are getting upset at you for something you can't control it's frustrating

Pros

Easy class scheduling, parents app access and dashboard, website integration.

Cons

New features or changes to system arent announced. So sometimes there's a new learning or we have to change how we used to do things.

Amazing. Always easy and helpful. Product does what I need and then some.

Cons

No phone number to call only email. [sensitive content hidden] would call me on my cell when he needed me but the ONE time their server was down for multiple days and I wasn't able to contact through support for several days I called his cell to find out what was going on and he told me to never reach out on his cell again for support to use the site (Which was down) Showed me zero compassion for my business being dead in the water for multiple days because of their software. We love iClassPro, and all the support you get with it.

Pros

We love the ease of use. The reports feature is a plus, as the financial reports are my favorite because everything is one place.

Cons

The quickbooks integration feature is great, but it does not break down the individual families and their payments. It is hard to track without inputting all the information into quickbooks.

iClassPro Review

Overall, we are extremely happy with iCP. There are several things we wish they would implement and we will continue to ask.

Pros

The ease of enrollment and processing is great! Parents are able to enroll, pay, request to unenroll, etc all without staff. The online portal is great for ProShop as well.

Cons

NO AUTOMATED BILLING! Having to manually bill is a time consuming task that should have been automated long ago. The parties function is great, however if you want to book a party that isn't set in the system for that time it is difficult and frustrating. Their roadmap is great, however, some things they say are coming have been coming for years. Be honest about your progress with things. If you want to do them, great! Just don't say that it's coming with minimal updates

The best gymnastics gym management software out there

Pros

We have been with iClass for over 15 years and it just keeps getting better and better. We recently integrated our website and got our branded app up and running with them and they have already paid for themselves! We run our entire operations with 2 locations and over 1500 families using iClass pro and we would be lost without it! We also love their support line - everyone is so helpful and they have long hours so someone is always available for you.

Cons

We love almost all of the features - we wish they had a better birthday party waiver system but hopefully that will be coming soon!

iClass is Crucial to Class Management

Pros

I appreciated iClassPro's user-friendly interface and intuitive features. It made it easy for us to manage our class schedules, registrations, and payments all in one place. The ability to automate certain administrative tasks, such as sending reminders and generating reports, was particularly helpful in streamlining our operations. Additionally, the customer support team was responsive and knowledgeable, providing assistance whenever we encountered any issues or had questions about the software.

Cons

While iClassPro offered a comprehensive set of features, the only thing I would say is that the system can run slow on some occasions. Other than that, it is has been great. Looking forward to seeing more customization options, membership plan incorporation, and more utilization options for their new automation feature.

Overall Program Review

In the beginning, no bad experiences. Started out nice and easy to use with user guide to refer to. Then, multiple changes came, where everything changed and I tossed the user guide out as the changes came every day and were very hard to follow.

Pros

Your staff is always pleasant and the basic iClassPro program is good.

Cons

There is constant change is how things are done, making it hard to teach to staff.
In asking for something I feel is important, it takes a long time for it to change, if it changes at all, ie: formatting phone numbers and names. Sometimes the updates you do actually make things more difficult, with multiple changes that are the same as what we have, but just like extra ways to do things.
The support system is basically good, your techs are always very sweet but there have been 2 things, you were not able to fix and so I'm just stuck with glitches, ets.

Great Program with minor Flaws

We have really enjoyed the program overall. It beats our last program hands down. Even with all the issues I would not go back to what we had before. Pretty easy to use and I love the platform/ portal for the parents.

Pros

I love the ease of access once everything is set up. Coaches can take roll and keep up to date on student info rather easily. Skills tracking is available on the app, but not quite as easy to use.

Cons

As the person responsible for printing out the reports, I have an issue with the format of reports. They are not always easy to get looking like they should and some are hard to get what you want. There are also little issues I do not like. The entering of payments is a little tedious at times. We have also had a few issues with the time clock not working correctly.

- Wish you had the option to blind copy on emails.
-wish the most outstanding charge that hasn't been paid to be first on the full ledger rather than way deep like it shows on the payment screen.
-Want there to be a colored payment alert to show on the full ledger screen if there are notes created about the account. So that we don't have to click back and forth to check if there are notes or payment arrangements made. We often miss those because they are not accessable to the ledger page.

I'm sure there are many more features that could be tweaked but this is what I have right off the top of my head. Please contact me for more or details if you would like.

Pros

I like that it is easy to use for the most part. It is easy to keep track of payments, delete, add charges, pull reports. I like that the system is quick and runs with few problems (as a rule) I like the new Trial and Wait list feature as well.

Cons

- I do not like that you have to change the setting to see all charges when you get to the full ledger page. Wish it would automatically show all no just 20.
-Wish there were alert boxes at the middle top of the full ledger screen to access notes or alerts.

-The mouse left click will not give you the paste option when copying and pasting from other places to iclass. You have to use control V.
-When you have a child enrolled in two different programs-- for example After school care and Gymnastics. There is no way to pull a report that shows where the money for each and every payment is applied to differentiate payments applied to after school care vs gymnastics for fsa reports to parents for tax purposes. iClass Pro is easy on the eyes.

I like being able to see who still owes money and how much is owed total. Emailing statements is quick and easy. I've had people not pay and then eventually quit without ever paying. But overall, I feel like this software has helped me stay on top of things. I feel I have lost less money with this software.

Pros

This software is really easy to use. I like how easily I can switch from students to classes and back again. Adding students and creating classes is a breeze! It is easy on the eyes, I am not straining to find things. Everything has an image to make it easy to find...a star for skill tracking, check mark for attendance, etc. I feel like the other programs out there have words everywhere. I like the images.

Cons

I really like the Skilling Tracking, but I do get frustrated using it. I like that I can choose between 1-5 stars. I wish I could change the color of the stars...or choose a check mark and a star (or other images, like a smiley face.) When I look at a class and their skill tracking, visually to the eye it is hard to see where they are. There are a bunch of yellow stars with numbers in them. I recently changed to two stars just to make it easier on myself. If there were different images or colors, it would be easier to see when looking at their charts who is ready to move up!

Creating class is easy, but private lessons is a pain. I usually list them under camps and have to tell people they are private lessons. If someone is going to do a private lesson every Monday 3:30 - 4:00 for 8 weeks, then they can't make one...going back and changing it is a disaster. I can remove them from the camp for that one day, that is easy. But changing the price isn't as easy. This program isn't really set up for private lessons. (Or maybe Im just doing it all wrong)

We L O V E iClass!

I have worked with many software companies before this and have LOVED what you guys offer. The Knowledgebase is something I frequent as I am constantly learning new things about iClass I didn't know about - which makes our lives easier here at the gym. I LOVE that I can put in suggestions as I come up with them, and every time I have had to reach out to support, I've gotten great feedback and they have helped resolved my issues. Customer service is a BIG deal to me, and this is why we continue to use iClass!

Pros

LOVE the user interface - we've explored the "other" options out there, but continue to absolutely adore the interface that iClass offers. I have also starting using the party booking software - which has saved me a lot of time and energy! The ability to have parents book their own parties online has increased our business as well! Customer service has always been a deal breaker for me personally. I will always continue to use a company/ business if they offer amazing customer service, and I have always been impressed with iClass' customer support.

Cons

There are some pretty big things we would love to see happen the next couple of updates, and I probably submit a new idea a couple times a month. One of the biggest things is the waiver.. We LOVE that parents can do it online, but having a kiosk interface that parents can quickly update while they are here at the gym, and having the ability to QUICKLY look up (during busy Open Gym & Birthday parties) whether or not it is current/ valid would be HUGE. Another big thing we are dying for: being able to send out the fun certificates that say the child has passed the class, but being able to type in/ select the class that they should move into next!!

Easy and Efficient

We have had great success with iClassPro. Our experience has been very positive.

Pros

There are so many positives about this software. One of the features we enjoy most is the parent portal. Allowing parents to register on line for classes and events has saved us time and increased revenue. Additionally, the parents are able to see their child's skills in the skill tracking and stay on top of their account. Basically, the customer can look at their account and always know what is going on with their payments and their child's progress. We also love the attendance features, the financial features, emailing and texting features, and the ability to generate many types of reports.

Cons

The pros definitely outweigh the cons. I wish a Quickbooks type feature was integrated so you could put your expenses in and generate complete financial reports in one place (P&L, forecasting, etc.) .

Fantastic class management software

Overall, using iClassPro has been a great benefit for us. Customers can clearly see which classes their children are enrolled in, add medical information, and request make-up classes. The Parent Portal and associated app make it easy for them to access too.

Pros

iClassPro helps you organise your classes and organise your students in those classes! In addition, there are many other features to help run a business smoothly like billing customers, and distributing newsletters.

Cons

Some features are very useful but could be better. The skill tracking for example, is a great addition as it helps track athletes on their journey. But the skill tree can grow very quickly. Billing can be a bit complex too, as there are a lot of different billing methods.

iclass is simply the best for all Fitness and Gymnastics Management

I have had a great experience with iclass. All customer service encounters have been helpful, guides and resources are great and overall programming is straightforward and constantly updating with great features!

Pros

iclassPro is designed simply and efficiently. This makes it easy for everyone to use. From Instructors, front end and management it helps streamline multiple processes in a few easy steps.

Cons

The invoicing system. I would love to be able to customize individual invoices and send them directly through iclass. Being able to add an invoice number or add specific services and change pricing amounts would be so helpful to our services. I would also love to see a training on basics of iclass and how to use all functions from a basics training level for new staff to get an overview.

Great Features, Great Program

Overall, it has been great. iCP has worked out well for our business and the customer service team helps us when we need help.

Pros

- Excellent customer service (phone, email, chat).
- Activities that come multiple days/times each week have the ability to have correct times.
- The portal can be branded in detail at no additional cost.
Mobile app has no additional cost.
- Autopilot feature to automate workflows/manual tasks we were already doing (or possibly weren't because we didn't have time)
- Option to do enrollment REQUESTS or AUTO-APPROVE online
- Online activity hub so you get notifications in one spot whenever someone does something through the portal.
- Verified for proper functioning on mac, windows, etc.
- Use of email variables for auto-generated names, balances, gym info, class info, etc. when sending mass emails (which can also be scheduled to be sent later).
- No limit to the amount of accounts in the system --- it will be the same price.
- Background task frame to view sent emails/reports/tasks you've done and status updates on who has opened/clicked/not opened/etc. emails.
- Audit Logs to see history of emails sent on specific accounts and customer/staff history.
- Group enroll/transfer feature.
- Ability to limit online enrollment not just on age/gender but also on prerequisites.
- Search feature on the ledger.
- Attendance area tracks the percentage they have attended/missed along with the actual days.
- Internal messaging system to message specific staff members the next time they log in so you don't have to bother them at home.
- Ability to post mass credits.
- Has normal make-up feature but also an additional optional make-up token feature that the business can use how they see fit (we sometimes use it for when we want to credit a class within a timeframe/program as a courtesy/above our normal policy).
- Timeclock is easy to use.

Cons

(These are features that would be helpful if they were added, but it doesn't really affect how much I like it at this point. Everything it currently can do is done well).
- No staff certification area to upload certifications/track onboarding (unless you use custom fields w/o uploading images)
- Multiple policy capability to add certain policies to certain programs (ex: teams have more forms to fill out but the general class student does not need to complete this)
- More customization for online account registration so that you can mark more fields that are required, change wording, etc.
- No spot TV integration or their own camera system (any longer)
- Announcements area for staff
- Task area for staff so directors can add things to complete
- Show a drop list option for each class in date order always on the class page so that you don't have to go to the individual date to see if someone dropped recently (or run a report)
- Cannot schedule future epayments
- No lesson plan area

Reasons for Choosing iClassPro

ZipGym(NOT ZipBooks but there was no ZipGym option to select) was a software program we had to purchase and download. There were no updates for it, you couldn't email anyone (though you could keep email addresses on file), only hard copy invoicing, hardly any reports, nothing even came close to the technology we have in modern times though it was probably revolutionary to us at the time because before that we worked out of handwritten books lol --- It really was only one step up from a spreadsheet though...

Reasons for Switching to iClassPro

It is funny this survey came out now because a couple weeks ago we did a huge review of iCP and an alternate product to see what the differences were. We are finally getting an online merchant service account and just wanted to make sure we wouldn't be better off with the alternate product. When we initially chose iCP years ago, a large part of it was iCP felt more user-friendly. It also looked more appealing to us as staff and we felt it would to our customers also. iCP felt like a modern program while the other felt like a spreadsheet on steroids in all aspects. Reviewing the other program again recently, I still had the same thoughts. I mentioned above most of the reasons why we kept iCP over this other leading program. All of the positives are where I feel iCP has the "leg up". But I wanted to add reasons why we did not choose the alternate product. Some of these are my opinion, and my apologies if I missed something during my review of this other program that I am unclear on: Again, this is the ALTERNATE PRODUCT (iCP excelled in these areas) - In my research I found reviews (and experienced myself) many "bugs" with the other program with no fixes planned. - Inputting classes in the system was way behind how iCP does it. You are not able to input correctly an activity that comes at multiple different times throughout the week, like a team, if they come at different times depending on the day. - There are less design elements, which I think is important to staff and customers. There's less you can add to brand the portal also, just a small logo basically. - The mobile app costs additional money. - You are not able to have online class requests, only auto-approve or disable the feature. - You have to monitor how many accounts you have and take time to archive accounts that have not been here in X days so you don't have to pay more money per month. - Attendance is hard to read/get to and you have to create reports to see anything. - No internal messaging system. - No ability to limit class enrollment based on prerequisites. - Cannot schedule future absences through the portal. - Creating staff/staff accounts was difficult and I never got comfortable with the process. - Time clock couldn't show what I needed it to. We also factored out the merchant services account + additional costs like the program itself per month. It was less than a $100 difference (which doesn't include if the price of the alternate program increased due to an increase in students and if there would be a lot of cards that needed updated, which costs extra in the other program). iCP costs less per month for the software. Their merchant services may LOOK upfront like it costs more than another program's. But when doing the math, it's about the same. This other program does a lot of the same things as iCP and does have some features that iCP does not. I am sure it is wonderful for many businesses. But for me, the features that iCP can do better, plus the additional features that were absent in the other program, and the monthly cost differences being minimal, are big reasons why we stuck with iCP.

Credit card processing fees

I would say a i class is good minus credit card processing your force to use

Pros

Great software for gymnastics great financial system to track progress

Cons

I don’t like how they pigeon hole you into using their credit card processing it’s overpriced when there’s many other processors out there that are cheaper and I hear they’re raising the rights again

Pretty great experience, wish new features came out more often!

Pros

I like the ease of use and how easy it is to connect with service representatives at any time. I also love the way that we can do everything ourselves and do not have to wait for someone else to update it like other systems.

Cons

I do not like that we can not add pictures to Iclass classes without having to use levels.

There is more than one option out there

Better in some way than what we were using before. We've gotten so big that we really had to have software geared more specifically to gymnastics, otherwise we would've stayed with what we had.

Pros

Better than what we were using before and when I looked into Jack Rabbit, I was even less impressed.

Cons

Credit card processing fees, monthly fees, unable to use outside software to interface with processing payments, costs increasing, leasing the software instead of buying it

Great customer service

Great! We’re so happy we made the switch from proschool. This program is better for our business and much easier to manage for our office staff

Pros

Whenever we have a question, we can reach out to the live chat and have a solution in minutes. They’re always making valuable updates to their software to improve the product and fix bugs. It’s impressive to see a company that cares more about keeping customers than getting new ones!

Cons

I dislike the process of updating our waivers. I wish it didnt show in attendance that they were missing their waiver because it’s hard to get 2000 students to sign between their next class. Also a few of the reports are hard to navigate, but I eventually get it. Also blackout dates are confusing to set.

Extrememly user friendly for the customer

Overall we have been very pleased with iClassPro and look forward to further updates and features it has to offer.

Pros

iClassPro is very user friendly on the customer side. Potential clients can easily see what classes/times are available, and can add themselves to waiting lists for full classes with ease. This makes our admin task much more streamlined and easier to manage. The ProShop is also a great way to maximise sales of merchandise.

Cons

From the admin end it can be quite complicated to set up various features - often you have to have multiple boxes ticked in roder to have a feature work - and those boxes might be in completely different sections of the set up. It isn't always the most intuitive or logical set up

The Best in Cheer Gym Software!

iClassPro has been integral to the growth of our business. We started four years ago, right at the beginning of Covid. It quickly proved to be a necessity as we began to see enrollments coming in consistently. Customers no longer feel the need to call or visit in person; they can quickly and easily enroll and pay online through the parent portal, integrated website, and mobile app.

Pros

We love that the software provides our customers with a top-notch experience. They appreciate having the mobile app to track their students' progress, enroll in classes and private lessons, and manage their account by making payments. We also appreciate that the new website integrates with the parent portal, eliminating the need for parents to leave our website to access the portal.
My front desk staff can easily look up classes, private lessons, account balances, payments, and any other account information they need. It is easy to view the account history and quickly find specific information using the search tool.
We also love the new Autopilot/automation feature. It has been an invaluable tool in enhancing our customers' experience. We use it to market birthday parties, welcome new families, and encourage enrollment. Additionally, it has saved my staff significant time in our day-to-day processes. This is just the latest example of how iClassPro is constantly striving to improve the software, making our lives easier. I feel they understand our needs and provide us the tools necessary for success.

Cons

iClassPro has so much to offer that the only downside is my capacity to absorb it all. There are so many features that I have yet to explore, but I know that they will be valuable to my business when I take the time to do so! I am always mind-blown when I implement a new feature and often tell myself that I need to set aside time to do this more often, as it is almost always a business-booster and eventually, a time-saver!

A well presented, ambitious class management system filled with hidden flaws

Customer service response time is great, however they are unable to provide adequate support due to the flaws in their system and setup.

Pros

The presentation of the Class enrolment system to the customer is really outstanding which is what attracted us to move our 1000 + clients across from our old system to this one. The online enrolment system is visually appealing, easy to navigate and smart in the way it seamlessly integrates selecting a class with creating a new customer account.
The customer app is a great feature and makes it easier for customers to manage their enrolment, makeups and fees.
Setup was guided by iclasspro staff which made it a lot easier to get started.
New features are frequently being released which gives you hope that the software is always improving.

Cons

There are MANY significant, hidden flaws and technical breakdowns in Iclasspro which have really marred the use of it and have significantly impacted my business.

Whilst the actual registration system, class management and roll keeping is very solid and well planned, a lot of the additional features are "half cooked" and need further development for them to be fully functional. for the price point, I was happy to pay this amount for the additional features as they are great features if they work. Given that they don't, I'm not happy with the price point.

Whilst new updates are frequently released and cause some measure of excitement you soon learn that the update is just another 'half cooked' idea that needs a lot more work before it can be used properly.

Technical break downs:
I'm based in Australia. The payment processer integration is horrendous. Frequent outages occur particularly around the monthly payment batch processing for us or right on term upfront payment times. This means that:
a. A customer thinks they have enrolled & paid - the amount shows as 'pending' on their bank statement but eventually drops off after about a week, leaving them with no enrolment and no notification of this. They then show up for a class that they thought they were enrolled in but are not.
b. for existing customers we are constantly following up fees the customer thought they'd paid - but the processor had an outage at the time.

Trial class / Intro offers:
Iclass pro offers multiple ways for businesses to create trial bookings however none of them actually work well enough to use. This is the biggest disappointment of the entire software package, as trial bookings are key to our business growth plan. After seeing how amazing the online registration is I assumed that booking a trial would be similar. I have been waiting for 3 months for a fix for their actual trial booking process to work. Customers cannot complete checkout and they refuse to give me updates or a fix date.
I have been left with having to use webforms to take trial bookings and manually transferring these to the registration program one by one.

The punch pass feature:
This is very poorly executed. Clunky, hard to read and follow, a new customer gets looped out of it to create an account and not brought back to the pass so gets lost. If you use recurring billing for your session classes, then this means that at checkout the punch pass requires a customer to save their payment method on file rather than just checkout. This is a massive deterrent.
Also after checkout there is no prompt to book your classes - it just says 'go to account'.

The Pro Shop:
If you have a larger store, it takes absolutely ages to load images. Even just landing on a page with 2 options can take more than 30 seconds to load images. At checkout customers are forced to 'save card for recurring billing' if you have session classes that have recurring billing enabled. The suggestion to fix this from Iclasspro support was to turn off the force save card option for recurring billing which is completley inadequate.

Couldn't run my program without it

Pros

I can't imagine trying to do all of the things ICP does without a system like this in place. It keeps everything I need together. It does have a few issues every once in a while, but customer service is very responsive.

Cons

I often send group communications and see many people don't get them even though they are signed up to receive my emails. Same issue with group billing. Several cards just won't run when I do batch billing.

IClass Review

Overall, we've had an excellent experience with this program, and can't imagine running a large facility without it. The phone/online support is one of the best features. If I can't figure out how to implement something, or have issues...the staff is always friendly and helpful. I typically get very prompt answers to my questions. When an issue is complex, someone always follows up once the issue has been resolved.

Pros

iClass is very versatile. There's usually more than one way to achieve specific, detailed information for reports/research. It makes it possible to oversee a large number of tasks in a variety of areas simultaneously. (Registration, payments, accounts receivable, class/party/camp management, etc.) Having separate staff and office portals is another great feature, along with the ability to assign specific permissions to each staff member.

Cons

We opened a second location with a second iClass account and tried having them on the same website. It did not go well. We eventually closed the second account and are now operating both locations on one account. This means we have to be very diligent about communication with our members as to which location events/classes are being held at.

Pros

I like the ease of use & how easy it is to train staff on the system. It's very intuitive.

Cons

The reporting feature of iClassPro is very detailed, but it can be extremely difficult to pull what you want & can take a long time to figure out what some of the filters mean. I wish there was more reporting on email open rates as well. More reporting for Sales & Marketing would be very helpful as there are really only a few reports that directly relate to marketing.
