The best CRM for email marketing in all sectors

Built-in support for email marketing was a big assist. The automation released me from the mental burden of keeping track of where people were in the pipeline and what they needed to do next based on the results of customer-facing tasks.

Pros

The level of automation is unparalleled. A common feature of CRMS is the lack of a "if/then" configuration option. If I tell Keap yes or no to a task, the program reacts differently depending on my answer. If you require robust automation that can do a wide variety of actions based on results, look no further. It's yours, Keap.

Cons

There was a lack of functionality in the mobile app. So that I could access Keap from my mobile device, I bookmarked the website. This method was effective, although it lacked caller ID.

Response from Keap

Hello Jennifer,

We appreciate you for taking the time to leave us a review. We're happy to hear that you find our level of automation unparalleled and that Keap makes it simple to automation processes. Thank you for your feedback regarding the mobile app.

Great Tool for Small Business Growth, But With a Learning Curve

My experience with Keap has been mostly positive. It's a solid tool for businesses aiming to automate their processes and centralize their customer interactions. After getting over the initial learning curve, I found it invaluable for managing customer relationships, automating marketing, and tracking leads.

Pros

Keap offers powerful automation tools that can streamline workflows, automate follow-ups, and enhance customer engagement. It’s a game-changer for small businesses looking to grow without needing to hire additional staff.

Cons

Keap’s interface can be challenging for beginners. Some features feel complex, and it may take a while to get comfortable using the platform, especially if you aren’t familiar with CRM software.

Alternatives Considered

ClickUp

Reasons for Switching to Keap

Keap’s automation features are tailored to nurture leads, engage customers, and manage follow-ups, helping to streamline the entire customer journey. This automation is key for businesses looking to build relationships and improve conversions, whereas ClickUp is primarily focused on task and project tracking rather than customer engagement.

Used it for more than 10 years!

Overall, I really liked Keap. I have been using it for my business for over 10 years and it allowed me to launch and scale my business over that time. I really liked a lot of their features, including how easy it was to clean out my list, to send emails and to collect payments.

Pros

All the features that were available, including their CRM system, email features, tagging features and how easy it was to clean out duplicate contacts and clean my list.

Cons

Their order form and sales page templates were lacking

Response from Keap

Thank you for being a customer of ours for over 10 years! We appreciate you and wish your business the best.

Not great for marketing, not great for sales

In general, I'm never a fan of these all in one platforms because they don't do anything nicely. It is really lacking for marketing, it doens't even add UTMs automatically in email blasts and it is very hard to keep track of opt ins. Cannot recommend for emailing marketing. Sales isn't impressed with it.

Pros

I guess their support is fast to answer. But that is about it

Cons

Missing basic features for marketing like:
- automatic UTMs on emails
- being able to organize opt ins easily
- just overall clunky
- some support people give wrong information and then argue with you about it

Great software that just needs some work on mobile stability

In general my experience with Keap has been positive and I've absolutely loved their core functionality and features. I'd hope to see them focus more on stability for existing functionality rather than rushing to roll-out new features.

Pros

Keap has a multi-pronged approach to client management that makes tracking and maintaining client communication easy. From automated pipelines, to texting, to an easy tagging system that keeps email lists clean and organized, they give you everything you need run a small to mid-sized business. Their customer service has also been strong, especially if you join their online support platform.

Cons

Mobile app stability, especially on Android, is low. I often have to reinstall the app to fix issues with it crashing. This is a significant issue if I need to use my business line urgently. The app freezes up and then takes a 10-15mins to uninstall and reinstall.

Alternatives Considered

Salesforce Sales Cloud, Mailchimp and Twilio

Reasons for Switching to Keap

Keap was superior in pricing and automation options compared to Twilio and Salesforce, while offering more client communication options/automation than MailChimp.

Response from Keap

Robust with many features, but too complex and too expensive for small businesses

When we first were looking for a system 14 years ago, the were the best, less expensive than Sales Force and were really geared for online sales and digital marketing... Creating a product, having an optin landing page, and an email marketing system. Unfortunately from the start, we over did it because we got very little guidance on the best practices for setting up for our business so we turned on every bell and whistle and created an operational night mare. We got better at turning things off, but then over time as they changed features our grandfathered in ways of doing things got messed up and no longer supported. And the price kept going up. For a while they honored our original price as a legacy customer but no more. Over $300 a month, not based on numbers in the database or emails sent. I held on to it for the longest time because I had nearly 20K contacts accumulated over that period of time, and could look up someone by industry and or where I met them or what area of the country they were in because I was traveling there. But then they started to limit my ability to send emails to my current prospects because of all the 'old' emails I had in my system. I had no choice but export and delete 15K contacts. And as my business changed the complex forms that had been such a golden ticket to my business, weren't necessary. Their wordpress plugin used to work great, even though you could not modify the visual effect of the optin box without programming, at least it connected into the database, until it did not. final straw was when I showed I had over 100K people visit the form yet none completed the name / email simple form... couln't figure it out... it was because it wasn't connected correctly and there was no way to get support from Keap. And the developer of the plugin responded to me... use another tool. They used to be called Confusion-Soft by the users. Always wondered if they changed their company name just to get out from under the negative nick name. I have enjoyed using their campaign management tool and their AI tools, and am not looking forward to learning a new system but with their latest increase in price, limits on how I can use their contact management system, and lack of ability to integrate with my website, I have no choice but to switch to Hubspot or HighLevel.

Pros

Their support is top notch. They are easy to get access too and usually not much of a wait.
Great training library and easy to find videos for how to.
Visualization for how a campaign will lay out and connecting the sequences.
Their integration of ai tools to help with sales letters and landing pages and offers
Large database of tools and partners, but not monitored to see if they actually work or are still supported and support staff can't help even when the tool is recommended by keap -- like to add your optin box and contact form to wordpress.

Cons

The COST. The minimum system if for 5 users and is pretty pricy.
They have a great set of tools that can really work well for a digital products company and managing the sales funnel process, but it isn't suited for straight customer AND relationship management because if you maintain contacts for relationship purchases and historic reference, you can't just make them inactive. So the system acts like the minority report and in case you might accidently send emails to old contacts it stops your ability to send current prospects emails until you delete old records. and old records to them are 4 months... if they haven't received an email in 4 months, opened one in 6 months they are OLD and limit your deliverablity. Only option is to delete or manually go in and remove every email in the primary so it is empty, even if you have coded as not.marketable.

Response from Keap

Thank you for sharing your experience and feedback. We’re glad to hear that you’ve appreciated our support, training library, and campaign visualization tools.

We’ll take your comments into consideration as we work on improving our offerings. We appreciate your long-term support and wish you the best.

Does what it promises

Keap is a mess, but is MY mess and I don't really feel comfortable getting away from it to use other CRM's that are incredibly complicated and take hundreds of hours to learn to use and even discover functions.

Pros

We have used and abused this CRM in our company with a lot of integrations. It's safe to say that it behaves as expected and offers multiple functions for our particular needs. The layout of the overall information is not annoying to read and you can find what you're looking for rather quickly and easy

Cons

It's not perfect, sadly. The main issues are automating emails for clients and not being able to remove them from suppression lists when they bounce without contacting Keap's agents, who most of the time answer incredibly slowly or don't understand requests. The quick search gets broken constantly and I don't know if it's a general thing, but it is also super slow to advance and process simple commands.

It is easy to use and effective for automating campaigns

For tiny, high-tech businesses, we leverage Keap's automatic lead follow-up features. It's an excellent method to keep track of leads and customers, stay organized, and know who to reach first thing in the morning. It can also be used to promote and follow up after trade shows, webinars, and the combination of text and email message marketing.

Pros

For times when I need to take a break from work, it's helpful to have a system in place that automatically follows up with leads. I really like the automated email and text message sending, lead scoring, and reports on who is signing up for webinars.

Cons

Keap is missing crucial functionality and customer support that are essential for any expanding firm. As soon as they left the CRM, all outgoing emails were flagged as spam. The interfaces for their template makers were equally unattractive.

Response from Keap

Hello Sarah,

We're glad to hear that you're pleased with Keap! Thank you for taking the time to share your experience. We love hearing from users who use automation to give themselves time back.

"Very complete program I highly recommend."

I have mastered it to the point of obsession and thoroughly enjoy it. It has helped me organize and maintain thousands of data while allowing me to create and send out countless unique marketing campaigns. It's been a long process, and it might be challenging to keep everyone who has to be involved in it well-trained. However, it serves its purpose as a sophisticated customer relationship management system.

Pros

Keap is a great tool for innovative marketing and commercial strategies due to its many compatible connectors. Keap not only meets but also makes it simple to integrate beyond our immediate needs, including lead management, email campaigns, VOIP, and Gmail.

Cons

There isn't anything I don't like, however it would save time if you could import numerous emails into a campaign instead of having to write each email from scratch. Also, a simplified contact view would be helpful for basic users who only need access to contact records. Lower-level Keap users get access to a very beautiful basic view, but individuals who need the full suite of features offered by the Keap/Infusionsoft integration will not be able to use it.

Response from Keap

Using Keap for almost a year for our Landscaping Company

It has worked well with our small landscaping company, giving us better management of marketing, automations we didn't have before, and better lead capturing and appointment managing.Keap has been pretty good with customer service as well, and that's obviously critical.

Pros

We really like the ability to have contact and lead management, group texting, email marketing, and automations all housed under one software roof for an affordable price point. Many other softwares have a really strong service offering, but competely lack other services.Oftentimes they try to accomodate that by stacking softwares, which can work, but creates a silo effect that can be time-consuming to setup and maintain, as well as being pricier than expected.Keap does a pretty good job of covering a lot of bases with one in-house software system. They do have some weaknesses, but overall they've got a good system that could easily be built out even further.

Cons

Our least favorite things about Keap would be the lack of a menu option for the business phone line. It does not work well if you have more than one person answering or making calls, and sending messages. We would also like to see more flexibility in terms of Zapier integrations. Zapier integration works pretty well, but there are fields such as contact status, removing a deal from the pipeline, and other fields/operations we would like to see available to Zapier.Lastly, their method of labeling phone numbers needs updated. Currently the "work" type is the option you want to choose for text marketing.

Response from Keap

Hi Jeremy,

Thank you for taking the time to share your experience. Wen understand the importance of having and all-in-one solution and are happy to hear that Keap has covered a lot of your bases.

Your feedback on the Keap Business Line and Zapier has been duly noted and will be communicated to our team.

The software offered a powerful CRM solution that helped me streamline my sales and marketing processes. The centralized customer data and automation features greatly improved my ability to manage and nurture leads. The user-friendly interface made it easy to navigate and utilize the various features of the software. However, the limited customization options and relatively basic reporting capabilities were areas that could be improved. Nonetheless, Keap proved to be a valuable tool for managing customer relationships and driving business growth.

Pros

One of the things I liked most about Keap was its robust customer relationship management (CRM) features. The software provided a comprehensive set of tools for managing customer interactions, tracking leads, and automating sales and marketing processes. The ability to centralize customer data, including contact information, communication history, and purchase behavior, allowed for better customer segmentation and personalized communication. The automation features, such as email marketing campaigns and lead scoring, helped streamline workflows and improve efficiency. Additionally, the intuitive user interface made it easy to navigate and quickly access the information and features I needed.

Cons

One thing I liked least was the limited customization options within the software. There were some instances where I wanted to tailor certain features or workflows to better align with my specific business needs, but the flexibility to customize was somewhat restricted. Additionally, the reporting and analytics capabilities, although useful, could have been more advanced and comprehensive. More advanced reporting options would have provided deeper insights into sales performance and campaign effectiveness.

Response from Keap

Thank you for sharing your review of Keap and highlighting its robust features! It's great to hear that the software provided you with a comprehensive set of tools for managing customer interactions, tracking leads, and automating sales and marketing processes.

Your feedback on the limitations of customization and reporting capabilities is valuable, as it provides insights for potential improvements in these areas. Thank you for sharing your experience with Keap, and we hope it continues to support your business's success.

Honest review

Overall, I’d rate my experience with Keap a solid 6. The platform has powerful automation and CRM features that can really streamline my workflow, but it comes with a high price tag that’s tough for small businesses. The learning curve is steep, which can be overwhelming at first, and I sometimes wish for more customization options. While the support team is helpful, I’ve encountered longer wait times than I’d like. The mobile app could also use improvement, as it doesn’t offer all the desktop features. Overall, it’s a good tool with great potential but has some areas that need work.

Pros

Keap has been a game-changer for me with its easy-to-use automation and CRM features. I love how I can customize workflows, track everything in one place, and get great insights to grow my business.

Cons

Keap can be quite pricey, which might be a stretch for smaller businesses like mine. The learning curve is also a bit steep; it took me time to navigate all the features fully. I sometimes wish for more customization options in reporting, and the mobile app doesn’t have all the desktop features, which can be frustrating when I'm on the go. Lastly, while customer support is helpful, I've experienced longer wait times when I really needed assistance.

Sales forecasting and automation saves us time and energy on repetitive tasks. Keap has raised our metric for success by matching our efforts with digital forecasting. Effective Tool For Task Automation

I was able to effortlessly monitor each client from start to finish. The system consolidates contact information, client interactions, emails, texts, and tasks into a single platform, allowing you to quickly understand a customer's status when they call. Client actions can automatically trigger various tasks, advancing each client through the sales funnel, with all relevant information easily accessible in one place. This really eliminates the need to juggle multiple programs, providing a much more organized workflow. Some cons include the need for a larger selection of templates and confusion with certain automated tasks. However, these limitations should not deter you from using this program.

Pros

My favorite feature was the ability to organize and access information seamlessly. It really made tracking each individual clients' progress easier and much more straightforward.

Cons

I believe that some of the automated tasks were confusing, and there should have been a larger selection of templates.

Keap Falls Well Short of Expectations

Pros

I had high hopes for Keap, considering its promising concept, but my experience with the software has been far from satisfactory. The numerous bugs plaguing the system make it a frustrating and unreliable tool for managing contacts and communication.

The most glaring issue lies in the phone and text features, which seem to have a mind of their own. More often than not, they simply don't work at all, leaving me in the dark when it comes to crucial communications. This inconsistency is not only inconvenient but also undermines the very purpose of the software.

To add insult to injury, the mobile app performance is even worse than the desktop version, making on-the-go management a nightmare. It's disheartening to see such a lack of attention to the mobile user experience, especially in an era where mobile functionality is essential.

Cons

Customer service is another major letdown. My attempts to seek help have been met with abysmal response times, and when I do finally hear back, the quality of support leaves much to be desired. I've resorted to contacting my assigned representative, [sensitive content hidden], and his manager, [sensitive content hidden], but their responsiveness has been shockingly slow. Waiting weeks for a reply is simply unacceptable, and when I do get a response, it's clear that the customer service team is still grappling with the basics.

In conclusion, while Keap may have a promising concept, the execution falls flat due to persistent bugs, unreliable communication features, a poorly designed mobile app, and a customer service experience that can only be described as abysmal. I would strongly caution anyone considering this software to explore alternative options with a more reliable track record and a commitment to customer satisfaction.

Keap Is Vital to My Business!

Overall my experience with Keap has been great. The company has a great vision and purpose and the entire community associated with Keap from users to partners has always been encouraging, supportive and inspirational. As a software, it has been instrumental to my business' continued growth.

Pros

Keap has become a vital part of my business. As a small business owner I did not have the money to hire a full time assistant to help me and Keap has helped fill that space. Being able to set up automations that not only help collect new leads for my business, but also help get those potential clients scheduled in my calendar without me needing to do a thing saves me so much time and energy. I have been able to create marketing campaigns that run like clockwork generating new leads and sales. I honestly could not run my business without it.

Cons

Keap can have a bit of a learning curve to it. As with any software it can take some time to get things set up and running the way you need them to.

Keap: A difficult app with lots of potential

We have used it for over ten years now and stay because it does work however, there are a lot of features that are missing or are just dated. Luckily, we have found work around for most but it is discouraging that they haven't updated these.

Pros

The campaign management element of Keap is absolutely fantastic and one of the main reasons we have kept it over the years. It also integrates with A LOT which is really useful for us.

Cons

They don't update very frequently and don't give features that their customers want. Their order forms and internal web forms are beyond dated and the landing page builder they sourced out to another company is one of the worst builders I have ever used. Their customer service is also a joke.

Keap Max Classic: Painfully powerful

Keap Max Classic: It does the job supporting our business. But none of us like using it. We have too many integrations and automations set up that it would just be too arduous to switch.

Pros

Keap Max Classic: It has a lot of features to support businesses that need the room to scale up. It is pretty powerful in what it can do.

Cons

Keap Max Classic: It is convoluted, complex, and confusing. We had to make custom forms and interfaces for our staff because everyone was too confused working directly within Keap. It is also SLOW. Most functions are not snappy. Creating and maintaining campaigns get really confusing really quickly once you graduate from the simplest of campaigns.

Response from Keap

Hello Lloyd,

Thank you for sharing your thoughts on Keap Max Classic! We appreciate your feedback on both the pros and cons.

It's great to hear that you find the software to be powerful and that it has a lot of features to support businesses as they scale up.

Our team is working to update Max Classic further to add more powerful features and improve ease of use across the board. We also offer free courses from our Keap Academy team, which may prove useful to your team members if they need extra knowledge on the software to make their day to day easier.

We encourage you to reach out to support so that we can get you in touch with your account manager. They should be able to get you some help and resources.

Thank you again for the feedback!

They used to be the only game in town

For years, it was a great platform but they just kept making decisions that really were not in the interest of their users and year after year of promises to make things better it felt like an abusive relationship.

Pros

Because they were the first real CRM/email system of its kind, I was an early user and advocate. They set the stage for a lot of platforms you see out there now and for the longest time it was the backbone of my business.

Cons

Thier support team has been almost useless. I've been a power user for years, and most of the time trying to get help if there was an issue was like dealing with a toddler.Sorry to be rough, but it's true. It got really frustrating, and I just couldn't take it anymore.I've been a user since 2007 and it was a hard day when I finally just couldn't put up with them anymore.

Probably the best CRM and marketing automation tool you'll find

Keap is an exceptional tool that we have greatly benefited from. It allows us to do many things that make our daily work within the organization easier; it allows us to very easily and accurately store our customer information, have efficient handling of email marketing and automations, create landing pages and funnels that help us attract leads and guide them on their journey from first interaction to conversion, and more. It has helped us automate our business and is excellent value for money for us.

Pros

In my organization, we have been using Keap as our main CRM for tracking our sales pipeline efficiently, but it has also been extremely useful for active engagement and tracking of all our marketing. It is a very versatile tool that allows us a great variety of actions; it allows any activity related to audience segmentation, communication control, and marketing automation, among others, to be done with ease thanks to all the features and functions it integrates. The marketing automation it provides has been one of the strongest points of this tool. It has saved us a lot of time and money.

Cons

There is a learning curve when starting to use the product, which is normal for a tool so rich in CRM and marketing functionalities. In terms of analytics, there is room for improvement. Finally, it could be more flexible to integrate with third-party tools, but that is more limited.

Response from Keap

Hello Steve,

We're glad to hear that Keap has saved you time and money! We love hearing about businesses that take advantage of a wide variety of our features.

All the finest at one convenient location.

Keap helps us streamline our CRM procedures, thus it's in regular use here. Keap aids us in solving company issues including lead management, marketing campaign automation, and client communication management. We want to use Keap to improve productivity and patron happiness by collecting and following up on leads, monitoring sales activity, and keeping in touch with patrons on an individual basis.

Pros

You may program your advertising push with keap. The system automatically stores the produced leads where users may access them. The administrator may monitor every aspect of the delivered emails, from when they were opened to which links were clicked and for how long. The information provided here will allow users to adjust their campaign accordingly.

Cons

There are per-customer and per-subscriber costs for integrating keap with other applications. In exchange for a restricted number of users and page views, it offers free data movement.

Response from Keap

Hello Saskia!

We're so happy to hear that Keap has been helpful to you and your business! Thank you for taking the time to leave us a review.

A great all in one marketing and client relations system.

Overall it has been a good experience. Keap does so much and it can feel overwhelming at times to stay up to date with all of the features.

Pros

I like that you have a business phone number that you can call and text from. This is what we use Keap most for. It allows all of my employees to use one phone number.

Cons

I wish that I wasn't constantly being logged out of the app. I do wish that round-robin booking was available for scheduling links.

Response from Keap

Hello David,

Thank you for taking the time to leave us a review! We're happy to hear that you enjoy using the Keap Business Line, it truly is a game-changer for small businesses.

We appreciate the feedback regarding round robins and being logged out. Regarding being logged out, we recommend not leaving multiple tabs of Keap open so one doesn't end up timing out.

On the topic of staying up to date, we recommend checking out our Keap Academy. They have courses and events that can help you and your team feel confident in all parts of Keap.

Very good workflow automation but lacks many basic features

Pros

The campaign builder is incredible. If you're creative enough and know how to use the software (takes time) you can automate ANYTHING for your marketing strategies. One thing that doesn't get much attention is the Actionsets module. It's a legacy tool in the system but man does it do a lot! Actionsets expand all possibilities but are very hard to manage. It requires a lot of third-party softwares for most campaigns, especially the integration ones such as PlusThis, Zapier, LeadsBridge.

Cons

The Email Broadcasts interface should offer more options to customize the marketing emails. Right now it does enough but there's so much more it needs. I often have to add my own code to the email to make things look a certain way.The Legacy Email Templates deserve a little upgrade too, the interface looks very 2000s and often breaks the formatting if you don't know how to use it.

Reasons for Choosing Keap

Zendesk Sell (at the time it was called Base) didn't offer enough automation functions, the email marketing used our own email server and costed pretty much the same. Infusionsoft expanded our world of possibilities and as of now I don't we'll ever switch to another CRM/Marketing Automation system

Switched From

Zendesk Sell

Reasons for Switching to Keap

Infusionsoft offers all the automation we need and with a good drag-n-drop interface. You don't need to code anything and there are so many third-party plugins to make it even better

Response from Keap

Thank you for taking the time to leave us a review. We're glad you enjoy the Campaign Builder and Action Sets.

We appreciate your feedback regarding our Email Broadcast interface. We are working to add more updates to it, some of which should be out soon!

Keap İnceleme
