About When I Work

When I Work is a cloud-based employee scheduling solution that helps organizations track time and attendance, create and edit employee schedules, add new jobs to the calendar, review timesheets and fill shifts. When I Work lets users manage schedules and track time on mobile devices using native and browser-based apps. Employees get mobile alerts when their schedules change and can request shift changes or time off using the app. Managers are notified when employees make time-off requests, and they can approve them online. Users can import employee data from spreadsheets or CSV files and help avoid schedule conflicts. Communication methods such as group email services and custom texting are also supported. When I Work integrates with payroll providers such as Gusto, QuickBooks and ADP and is suitable for businesses of multiple sizes. Pricing is per month. Support is offered via online videos, documentation and ticket.

Great software for teams of all sizes

I've been using this software for 5 years, first as an employee then as an employer. Ease of use for both parties is fantastic and it's well worth paying for to save the time. When I change places of business, if I have a choice, I will choose When I Work again and again.

Pros

- Shift templates, makes scheduling a lot easier
- The ability to copy and paste any shift, even faster than clicking and choosing
- Simple to add and remove employees
- App is fairly easy to use
- Time clock is awesome, easy to use

Cons

- Looking at the full staff schedule on a particular day can be tedious.
- For those making schedules, it's so much easier to do on a computer
- In order to have a printed schedule, it downloads the PDF which you then have to print. I wish this printed right off the website.

Reasons for Switching to When I Work

The hourly staff scheduling that comes with Gingr leaves a LOT to be desired and has a lot of catching up to do to even be basically useful.

My favorite scheduling app that I've used so far!

I have used When I Work at two different places of employment and prefer it over other scheduling applications, such as ADP.

Pros

When I Work is very simple to use and easy to navigate. My current or upcoming schedule always shows up as soon as I log into the app, and I can easily view my upcoming shifts and approve them. Putting in requests and setting my availability is also very straightforward. Finally, I enjoy the messaging feature, which is helpful for communicating with a whole team or with individuals whom I haven't shared contact information with yet.

Cons

Sometimes When I Work logs me out of the app and I am forced to log in again, which can be inconvenient if I don't have my password saved or written down. When I cancel a shift, it still shows up in my Concluded Requests, as well as my employer's requests for me, which I feel is a bit unnecessary. I would prefer if it just showed up in mine but not in my employer's requests. I also wish my shifts from previous weeks were still available to view.

Great

I just like that it eased the duty of writing the employee schedule

Pros

It functions as it is intended. Its convenient and you can auto schedule as well. It could take sometime

Cons

The support staff isnt always available and its sometimes complex to use. Some of the auto schedule features are obsolete

Using native and browser-based applications, When I Work enables users to manage schedules and track time on mobile devices. When their schedules change, employees receive smartphone alerts, and they may use the app to request time off or shift changes. When staff members request time off, managers are informed and have the option to approve it online. Users can prevent scheduling conflicts by importing personnel data from spreadsheets or CSV files. Additionally supported are forms of communication including customized messaging and group email services.

When I Work interacts with companies that offer payroll services like Gusto, QuickBooks, and ADP.

Pros

The simplicity of scheduling and accessibility appeals to me.
They have a great customer service crew that is always willing to assist.
I had a good overall experience with When I Work, and I would highly suggest it to other Business owners.

Cons

My only negative experience was having to repeatedly reset my phone due to GPS issues when attempting to clock in, which was unpleasant and time-consuming.

Excellent scheduler to communicate with your team on daily basis

Love the product overall. Does the work it is supposed to do.

Pros

- Create schedules quickly for the team
- Easy to communicate with the team
- Mobile friendly
- Tracking the progress

Cons

- Did not like the attendance and leave management
- Did not like the payroll features
