it is ok to use

As an employee, it was okay to use and made it easy to have conversations about work or other matters. I did not have any issues to use it

Pros

It reminds me of my shift that I like and it's easy to remember. If there are any changes to the information regarding the work, it notifies me quickly.

Cons

It frequently reminds me of something I don't like. Sometimes, if the owner doesn't change or remove me from a shift, it keeps emailing me about it.

When I Work Review

Overall, employers and employees appreciate the ease of usage and simplicity.

Pros

I like the ease of scheduling (including copying schedules from one week to the next), as well as being able to view employee's time submitted and notices when there is overtime. I also appreciate the integration with Gusto, our payroll service.

Cons

Sometimes there is a lot of detritus and repeated shifts that shouldn't be.

It's just fine

It has been fine but not great. For an organization trying to implement this software to staff that are used to doing schedules in other ways it has been difficult for people to learn and difficult for people to assimilate into their daily routine because of how complicated it is.

Pros

It allows you to set up a schedule and color code it however you need it to best view it. It has a message feature in the time off request so that there can be a history of a conversation about the request.

Cons

Manager time off requests are automatically approved instead of needing to be approved by another manager or at least approved after created. This means that someone who needs the Manager status to create the schedule but is not the overall supervisor in charge of scheduling can't use the time-off request function. Time off requests can't be changed, only deleted and re-added. Why? Everything is generally more complicated than other similar scheduling software. I cannot copy and paste a range of shifts only individual shifts. Each time there is an update to the schedule made by another person you have to reload the website, which generally loses what you were doing, but this also leads to issues where employees who have the website up and are working on their schedules will not know that there are changes being made to the schedules. So two people could be changing things at the same time.

Easy program to use

Used it to manage 30 employees schedule for animal care.

Pros

Easy app based program that is very user friendly

Cons

This program has been easy to use. The feedback from the help has been good. May be nice to have settings that can be changed in part of the program and not other parts as we have several departments use it and it would be nice to be able to change things per deparment

Have had a great experience with When I Work, it’s helped the team to be more efficient as a collective

Pros

I like that it’s free for up to I think 50 employees. With all the features it presents it’s a great product

Cons

Payroll side isn’t fully there. For example, contractors don’t have a self service side for paystubs, etc.

When I Work is Easy to Use and isn't packed with bloatware

When I Work has been great, the UI is easy on the eyes and everything feels intuitive and up to date, and doesn't feel bogged down with a ton of stuff that isn't needed for scheduling purposes like you will find in most of the legacy scheduling softwares.

Pros

The best part about using When I Work is that people can drop, pickup and reschedule their own shifts. If two people want to swap it's easy for them to do it themselves without having a manager intervene.

Cons

The part I like least about When I Work is the inability to save my filters or views. We have multiple retail locations and employees switch back and forth between locations so it is nice to be able to open When I Work and be shown the schedules for all locations right away, instead, every time I open the webpage it defaults to only showing me the people that are at the same physical location as myself and I have to go in and manually select the other locations for it to show up. It is at most a minor annoyance and not a deal breaker.

Good for the Basics!

I'm happy that 'When I Work' wraps schedule and time keeping into one for a seamless experience. However online ticketing and live chat, and no phone support make it hard to address issues quickly as tickets take time

Pros

I really like the employee scheduling tools, easy to create employee schedules, with templates or past weeks, taking into account time off and availability requests. Also shift swapping on the mobile device give flexibility to the team

Cons

I wish proving was per location instead of per employee. If you have a small location its in your favor, but works against you if you have a large headcount.

When I work is going to be late

I don't think I'd recommend this to anybody else.

Pros

I liked when I worked for a business that you said for timekeeping that it was easy to trade usually.

Cons

I personally think there were a lot of bugs with the app and the website which cause more than a few misunderstandings and payroll and it work situations.

When I Work — our best HR rep

We have loved our experience so far with When I Work. It reduces the time and effort our senior staff have to spend verifying that each location is being properly staffed. It also provides us with the means to anticipate and identify potential problems before they materialize by reviewing attendance trends.

Pros

When I Work was an answered prayer for our personnel department. We recently underwent a large expansion that added several employees, contractors, and locations. By shifting to When I Work, we have been able to eliminate the need for a separate staff member to oversee employee attendance and productivity. Prior to implementing this, just checking in with each of our site managers took up most of the mornings. Now, within five minutes we are able to get a complete view of where our company assets are at any given time.

Cons

The only drawback we are facing has less to do with When I Work and more to do with the use of productivity software in general. We received some initial backlash from employees who felt we were being overbearing by not taking their word for hand written time sheets, time off requests, etc. However, the majority of our employees—including all of the “good ones”—have come to accept that this measure of accountability benefits not only the company but them personally.

Intuitive Scheduling Software with Mobile App Flaw

Overall, the experience of investigating the software capabilities with the sales representative to fully operationalizing with our team went smoothly.

Pros

Initial set up of user profiles and templates for shifts is intuitive and quickly completed. The strategy behind setting up multiple schedules and how to incorporate tags vs user roles needed extra training by our sales representative. Once we understood the output of these variables, the set up continued to be admin friendly.

Cons

There is continued frustration with basic users receiving notifications to their mobile devices. Despite multiple attempts with the online customer service to resolve, some users still do not receive the notifications. This was a high-value variable anticipated by our team that continues to give frustration to some users.

I enjoy the simplicity in a software that is capable of achieving so many different things.

Cons

The team communication aspect has quite a few bugs that do not seem to ever be fixed. Occasionally, messages and chats will disappear.

Restrictive, Burdensome Software

Pros

we purchased an existing business using this software so we kept it but i would not have chosen this software on my own because you can find better features for the same price with less restrictions.

Cons

I was forced to source a competitor due to WhenIwork pricing. I found and switched to Homebase mostly because they offered payroll which wheniwork does not. The main reason i'm dissapointed with the software is that if you pay for the next month on the 3rd of the month and cancel on the 4th, you lose access immediately AND they provide no refunds. I can understand no refunds but if you subscribe to a software and your monthly billing is the 3rd of the month...you maintain that software until the 2nd of the following month. For that reason, i will make sure to take a few minutes of my day and spread the news to others looking for a scheduling app.

Cons

When I Work can be very expensive especially since it charges per employee. For bigger organizations, it may not be worth carrying the variable fee structure to maintain annual budgeted expenses.

Still a Good Program, but Needs to Upgrade

They have an amazing customer service team who was always there for us. Overall it was a good program to help with scheduling but needs a more user friendly upgrade. Visually, average, looks a little outdated.

Pros

I liked the app, works really well. I also liked the message board to make announcements and communicate to the team.

Cons

The features seem a little archaic compared to a lot of the programs available today. Higher price points and lack of features when compared to similar options.

Critical Business Tool For The win

Solid. We continue to use this product and have not investigated other options.

Pros

It's quick, easy to use and works for both management and the employee side of our business. We have expanded across all of our locations.

Cons

I do wish customer service was easier to engage vs a series of links being sent my way.

When I Work Tells Me When I Work

Our employees enjoy being able to see the schedule for the entire organization, as well as breaking down the view into their specific location when needed. They are also notified in real time of any changes that are made, and have the ability to trade shifts with other employees through the app.

Pros

When I Work allows us to schedule for all of our locations in one place. We love that we can color code each location and positio, making it easy to break the schedule down into various views.

Cons

We once attempted to integrate When I Work's time tracking feature, but there were several issues that could not be corrected for our needs.

When I work solved our scheduling issues

Trying to share spreadsheets through Google and keeping up withal the availability of servers was difficult and we often missed scheduling for a shift. When I work solved these problems and has eased all our stress around scheduling and availability.

Pros

Real-time availability and ease of use made the adoption of this for scheduling so easy for us.

Cons

We did not see any cons with When I work. It has been a great experience.

When I Work works well

Overall I enjoy using the app. I very rarely has any glitches. I recommend using When I Work.

Pros

What I liked about When I Work the most is that it is very easy to use. The link to download app feature works great. Its great for scheduling.

Cons

What I liked the least about When I Work is the time tracking feature because it real time updates are not automatically available without refreshing the screen. Also sometimes new shift updates also lag and require refreshing the app as well.

One of the best

Overall I have had a great experience with When I Work.

Pros

I love how you can request time off and switch shifts on this program and that I receive all of the notifications. I also love the ability to run reports to tell me who worked which shift and it puts it right onto an excel spreadsheet.

Cons

It's not really with When I Work but the way that our shifts are named and the times, it makes it a little confusing but that's on our end. Everything about the program is really easy.

More accurate time management

This program is a God send for any business owner worried about employees clocking in when their not on the job. It's built in GPS tracks employees locations so you know if their at work or at home on the couch.

Pros

I love When I Work because it saves me time doing payroll. It adds all my employees hours up for me and even takes off breaks, lunch and has GPS built in to make sure nobody's trying to clock in at home.

Cons

The graphics could be a little better but the functions far out weigh the graphics by far.

Clear work schedule, easily accessible by phone!

I was helping an acquaintance start a small company in a nearby city. Work shifts were all over the place and last minute needs popped up constantly. When I Work made keeping tabs on all that was going on, so much simpler! I could easily schedule employees and know I could count on this app to communicate it to them.

Pros

Being able to access my schedule from my phone was super important. I remember working where schedules were posted on paper in the staff room. People would have to go in and either write down their shifts or put them into their phone manually. Thankfully, apps like When I Work have become much more popular and schedules can be sent to employees digitally. I appreciated how simple viewing and accessing schedules has been through When I Work. (It makes planning the rest of my life much easier!)

Cons

The interface of the app is not very visually appealing. It's simple, which is what some may need. But I really appreciate a visually appealing, well configured app.

LV loves WIW!

WIW is great! I would and have recommended over and over. I've used multiple scheduling software. WIW is hands down the best!

Pros

I like the web based system. I love the instant changes are communicated. I love the color coding of roles and the budgeting features on the schedule.

Cons

Reports are confusing. There should be more premade reports to choose from. I HATE that we can't report an absence without removing the employee from the schedule. When reported absent - the employees shift should be removed from the schedule as well as the labor hours.

Very easy to use, with all the features we need

We upgraded from using a Google Slide template (yes, really) so WhenIWork was a huge improvement for us. We like that employees can easily see their schedule in their own timezone, and request to swap shifts with each other.

Pros

Clear and easy to use, much better interface than its competitors, easy to review timesheets and organize schedules. The colour-coding lets everyone see their own shifts at a glance, and managers can easily spot any gaps in the coverage.

Cons

When scheduling, repeating shifts can be a little clunky and isn't the best UI. But it's overall fine to set up a schedule with recurring shifts.

The Best Tool A Manager Could Ask For

When I Work is very easy to navigate and makes scheduling, as well as communication, with employees efficient. There are never any pop ups or app speed issues. The company has though of everything regarding scheduling.

Pros

The feature I like most about When I Work is the ability to view employees hours. Often times, as a manager, we are required to cut shifts or adjust schedules. The forecast tools and the option on scheduler allow us to make fair decisions.

Cons

My only complaint about When I work is the inability to publish schedules on the app version. I often have trouble and even though I click "publish" in the upper right corner - I do not see any notifications sent or publishing done. The website does not look appealing either on mobile safari app.

Game Changer

It's been a huge change in scheduling each week. I used to dread it but no it's so much more manageable. The more I use it the more I learn how to be more efficient with the process. Our team loves it as well. Overall, just a great experience.

Pros

I love the ability to make changes right from the app on my phone. Also, to have the functionality to make adjustments as needed. The scheduler views and auto-assign feature has been a huge help to our organization. Also, the ability to put a begin and end date on availability requests. We tried 2 other scheduling systems and this one by far has been the most effective and easy to use for administrators and employees.

Cons

The cost is a little high and by paying on a yearly basis the discount isn't enough to really make a difference for paying in advance.

When I Work Makes My Scheduling Easy!

I was first introduced to When I Work when I started working here as a call-center agent five years ago. I've since moved up, and have been using it to schedule my team members for about four years. I find it incredibly easy to use, and I love the tiny details like colors and notations that can be customized down to the employee level.

Pros

I love the color variations, the employee preferred availability, and the ability to go back or forth in time to view schedules.

Cons

I honestly can't think of any. I love this product.

Works Well Enough

Overall it worked well for our first digital time clock. However as the price increased and the features become less focused on what we needed, we moved on to other programs. For retail or part-time employees this could be very useful.

Pros

It is easy to sign up for and simple to manage. The cost is very low and usually has a free trial before you buy.

Cons

The updates kept causing issues. Employees interface on a computer had to consistently be signed in again. The Kiosk feature needs improvement.

Simple and Easy Scheduling

It was alright. It did the job, it was easy to use for scheduling and organizing teams although I wish it had an option for clocking in and out and looking over timesheets

When I Work is great

This app is great. It's the easiest scheduling app there is. Not much to it but employees can message each other about any work related things or give shifts to each other. The schedule is easy to read and it even has time tracking so we can clock in on it.

Pros

I love When I Work and it's easy to follow app. All of the important things like schedules and taking shifts is easy to access and manage. It also has a team messenger so we can communicate on there.

Work with When I Work

Overall, this is a great app for busy people who need an on the go scheduling app. I can quickly check my schedule and make changes when I need to. I am sure this is a lifesaver for employers trying to schedule multiple positions, especially, with a lot of part time workers.

Pros

When I Work makes it easy to schedule around my available times. I can also pick up or drop shifts when I need to.

Cons

It seems like I get logged off too often. I want to stay logged in for easier access. I'd like to have the option to mark shifts I am interested in and get a text message if they become available. Maybe this exists, but I need a quick way to modify my notifications and receive alerts.

When I Work worked for us!

This was a very user friendly software for scheduling. It made the supervisor's job easier and helped to ensure coverage.

Exeptional App for Scheduling Workers

I find that When I Work is a seamless way to schedule shifts for my part-time job. With When I Work, I can view and pick up shifts quickly without being distracted from my full-time job. In addition, I can request to drop a shift or pick up a dropped shift. There are a lot of great features to assist with scheduling numerous part-time workers, but as a worker, the ease of choosing shifts once posted is what I like most. I also like that I can sync my shifts with my digital calendar.

Great software for scheduling of work

It was a great product, very useful, clear layout and great features.

Pros

Scheduling feature was very good, we could see very clearly availability of each employee and their schedules of work.

It did not link directly with our bookkeeping software.

Easy to Use!

Overall, a very easy & user-friendly app! I am sure some of the "bugs" are phone-related as well.

Pros

It is very easy to clock in & out, as well as request time off. A very easy & straightforward app to use.

Cons

Many times I find that my clock in or clock out submission does not go through - it's like the app glitches & doesn't allow me to do anything, so I have to reach out to my supervisor to fix my timesheet. But you can't tell that it glitched until you go back to the app to clock in or clock out again.

I love how easy it is to navigate the data and schedule employees and track their time.

Cons

On the mobile app, you can't find the clock in button, at least with mine you can't.

Stick to the smaller guys. Biggest companies suck

The larger the company got the less they cared.

Pros

Drag and dropping shifts and the colour coded job sites.

Cons

After being a customer for over a decade since the very beginning. We missed the alterations to the annual plan deadline by less than a week due to being off work with a sick child.
When I work doesn't care and will not support.
They have now lost one of their longest customers.
They used to care about their customers, now they don't.

User and Mobile-friendly Scheduling at a Glance

My overall experience has been great. Customer service is always generally available or responds in a timely manner.

Pros

It's the ease of use. You don't have to be particularly tech-savvy to understand the ins and outs of this app.

Cons

The schedule time input might be a little tricky sometimes.

LOVE LOVE WHEN I WORK

My overall experience was perfect I was able to achieve all goals set out with this product

Pros

The easy to use sytem, is cheap and able to integrate with multipe payroll applications

Cons

not much that I can recall not liking other than the information piece of imputting the schedules which cannot be avioded
