About Mindbody

Mindbody is a cloud-based club management and appointment scheduling solution designed for the needs of small to midsize businesses. The product is primarily used by gyms, fitness and personal training centers, salons, spas and massage centers, wellness centers, dance schools and yoga studios. Mindbody offers features such as scheduling with wait list management, appointment booking through Facebook, automated scheduling of email and texts and online bookings. Memberships can be managed through MINDBODY as well. Mindbody also features a toolset for marketing management. With Mindbody, notifications and alerts can be set up for customers, targeted marketing campaigns can be launched and marketing reports can be generated and assessed. Mindbody also offers staff management features, which include check-in and check-out management, role-based permissions, payroll management and calendar integration. Mindbody offers custom API access that enables third-party developers to integrate their platforms with the solution. The product offers a marketplace for applications that can be integrated with Mindbody, such as Spafinder Wellness 365, Xero, Perkville, RelateLOOP, Zcubator and WaiverKing.

Time Saving

Pros

I can have all the different kinds of appointments for my Mary Kay on here easily. Easy to load and navigate through it. Helps keep personal appointments seperate from my businesse.

Pros

there is nothing worth for anyone to pay for Mindbody. They are big, they dont care about you little money every month. They have the good tech focusing on to make their review looks good but not doing they suppose to do.

MindBody - Incompetent and Greedy

MindBody operates with defective information, illegal rules and horrendous support. Their customer support is poor and inconsistent. Multiple service employees who spoke to us never had the same answer. I purchased the license and merchant account in 2012, and always paid the fees through my bank account. They refused to send the 2012 contract. I know the license and merchant account contract states I am the purchaser and owner. However, they dod not consider me the owner; they told me my employee who was hired in 2018 was the owner and was the only one who could make requests or changes. In preparing to close down the business, MindBody insisted she was the owner even though she was on her way out. This is outrageous and illegal. In addition, last quarter, MIndBody forced our clients to switch to the new app even though many did not want to handle their sign ups and payment on the app. Poor way to treat my customers; we get the blowback for MindBody decisions. They finally now recognize that I am the owner when I want to cancel the contract as studio is closing. MindBody makes cancellation of the license and merchant account almost impossible and outright improper. Here is a recent example. We were told that we would have 90 days after the termination of the contract to download our information. Now, they are claiming that we have only 24 hours to download all of the information. Some information such as liability waivers had to be obtained on each client separately. We have over 800 waivers. Their solution is that we pay them $500 to download the information and send it to us. Extortion! This is only a few examples of how bad poorly MindBody has treated us. Their only concern is to squeeze as much money out of the business. They could care less that the studio is closing down. This is an incompetent, immoral and greedy company. Stay away from them and find a different software.

In the last 3 years, there is nothing I would recommend with MindBody especially with all the different platforms available today

Poor and improper customer service to my studio and my clients. Inconsistent and totally incorrect information. We have called multiple times in the last two months, and we get different answers every time. MindBody’s modus of operandus is to protect themselves and their money stream. The customer does not matter.

Worst organized company NOT support whatsoever

Pros

Nothing....you can have the best scheduling app ever but without customer support that can take up to 10 hours a week to obtain answers, stay on hold, repeat calls, confusion among the corporation of not writing things down from last conversation, it is not feasible to do business.

Cons

Their customer support is non existent and you will waste more time on the phone than doing work. We had them for10 + years and finally gave up. When we tried to leave them, they made it impossible to receive our data which is our entire database. They lied to us and said our database was wiped out immediately but it wasn't. Our losses with this company were vast.

Mindbody is not for Small Studios - Don't waste your money.

Mindbody was great when I first opened my business over 10 years ago. However, I would not recommend it now to any small business. Mindbody pulled fees out of my account for a studio in Texas that I did not own that had a similar name. Thousands of dollars were taken out and it took months for the money to be received back into my account after their error. I had to call daily to get updates on my overcharged account.

Pros

It was easy for my clients to book classes on the APP.

Cons

Small businesses were quickly at a disadvantage to franchises. They had the ability to pay for ads and promos. The APP was continually full of competitors offering big deals. Many small studios including mine eventually left Mindbody to software companies that included an APP for individual studios only. It created customer loyalty.

Robust functionality, software has issues

My overall experience was not great. Software has issues and add-on services have MAJOR issues. After years of trying to get customer service to remedy issues with add-ons and no resolutions I finally dropped all those services and eventually wound up getting a 3rd party partner to provide the services I needed.

Pros

The core software has robust functionality, however the system is complex and not intuitive. I spent 6 years working in the software so I had learned over time how to accomplish what I needed to.

Cons

The system has a lot of issues and bugs. You will frequently run into issues where payment processing is not working. The core software functions okay, but the major issues lie in the add-on services like MessengerAI, Branded App, and Marketing Suite. I've tried all of these add-on services only to find that they don't function as promised.

I have now moved away from using Mindbody as a booking platform - found cheaper, and more user friendly alternatives.

Pros

Easy scheduling and visibility of class availability for customers, relatively easy use for studio staff.

Cons

Quite pricey for functionality. Multiple logins required for multiple studios. Frustrating limitations for custom reports.

Mindbody does it all!

Overall I'm very happy with Mindbody, having used it as a consumer in the past and now as an administrator/business owner. I have referred Mindbody to a friend with a business in Canada who was not happy with their booking software. They've since switched to Mindbody and are working on getting it set up to accommodate their business needs.

Pros

I love Mindbody for the ease of scheduling clients in for appointments and the analytics are fantastic! I use them weekly to report sales to my accountant and review where my sales came from during a particular quarter. I adjusted my marketing approach as a result. I also really like the automations we can create so that clients are being welcomed, notified and asked for reviews at different stages of their experience with us. Thank you!

Cons

It was initially challenging to get set up so that my branded website worked seamlessly with Mindbody. I had to switch from using the 'appointment' setup to a 'class' setup because my business is such that, I can have up to 11 people in my center for each 2-hour session I offer. It created a fair amount of work to re-do it all but once it was switched to classes, it's working fine.

A Disastrous Experience with Mindbody. I strongly caution against engaging with Mindbody for your business needs.

I strongly caution against engaging with Mindbody for your business needs. The support provided by this company is shockingly inadequate and will leave you stranded when you need assistance the most. When seeking software solutions for your company, robust and reliable support is crucial – an aspect that Mindbody sorely lacks.

The system itself is plagued with numerous flaws that will inevitably disrupt your day-to-day operations. Any initial support you receive during the demo or sales phase is misleading, as it rapidly deteriorates once you've committed to their services. Mindbody's choice to hire overseas support staff results in poor communication and a distinct lack of understanding of their own system.

Attempting to obtain assistance becomes a frustrating endeavor. The overseas support team often puts you on hold while they familiarize themselves with the system's issues before attempting to provide an explanation. Presently, the company fails to provide adequate training and support for the team responsible for assisting you, leaving them seemingly lost. Attempts to escalate the issue and speak with someone senior go unanswered, leaving customers waiting for hours.

Unfortunately, after committing to an annual contract, you'll realize that you've invested considerable time and energy in inputting all your data into a system that proves to be unreliable. Transitioning to an alternative software solution and retraining your team becomes a daunting task, consuming a significant amount of time and effort.

As a busy entrepreneur, I find it impractical to dedicate the time needed to decipher the convoluted information on their website or endure the lackluster customer service. I strongly advise exploring alternative options for your business software needs, as Mindbody may prove to be more trouble than it's worth.

Using Mindbody at New York Pilates

They are not the most inexpensive booking platform out there, but all my staff are very familiar with using the app which is really helpful.
I believe that they are currently very good value for money. I see other studios switching over to cheaper alternatives, and have been hearing horror stories after they've changed.
I prefer to keep calm waters and continue using Mindbody. It does everything I need and the customer service is totally worth it.

Pros

GREAT customer service. Whenever I have a problem, I can call and the problem is usually sorted out straight away.

Cons

I've been with them since 2008, and in the last 4-5 years the price went up considerably. They offered me a deal to re-sign and I was very happy with it!

Great tool to schedule classes

Pros

Mindbody is so incredibly easy to schedule classes and it keeps track of my schedule. I can find classes and cancel if something comes up and I cannot make it. I can also see who is instructing the class. Basically, I never have to call the gym anymore because all the information is in the app.

Cons

It is a little clunky when trying to schedule classes at multiple gyms. It is not easy to navigate between all of them but it is not impossible.

We've been using it for over 6 years for our business and will continue to use it.

We can schedule, run payment and keep track of all of our students in one place, it also integrates with our marketing system.

Cons

Every update the location of features changes somewhat drastically and all staff needs to start looking at where to find these features when it happens and get used to it all over again.

Does the job

I haven’t switched to something us so overall it does what I need to run my business.

Pros

It’s pretty easy to use. Our area uses the Mindbody app consistently for scheduling and I like that people can find us on there.

Cons

When you call for help, it takes a very long time to get your questions answered. The person who helps is offshore and sometimes is hard to understand or it’s difficult getting them to understand what you need. Mindbody is also very costly for credit card fees.

Horrific "Customer Service"

I would not recommend at all. After the sale there is absolutely no customer service available. They refer you to articles to read for help and if you do actually get to speak with a rep they tell you that it is not their department.

Pros

Cost, but if you want anything of value it is an add-on and they integrate with other companies.

Cons

They refuse to handle or solve any problems issues in house. They outsource staff with people who don't fully understand the issues and never solve anything on the first attempt.

MindBody is Perfect For Fitness and Wellness Management

I've loved using Mindbody, i like how I can see all fitness studios in my area and easily book with them! Really simple to use and makes it easier to book workout classes and get in the room!!!

I book all my fitness classes and appointments with Mindbody. I really love how all my favorite studios are all in one place and I can see when classes are and when appointments are open. It helps me stay organized with upcoming appointments and I can easily cancel an appointment when I need to. I store my payment method on Mindbody so it's convenient whenever I need to book an appointment. Mindbody makes it so much easier to actually attend my fitness classes and plan my workout schedule!

Cons

I haven't really experienced any issues with Mindbody to tell the truth, but it would be helpful to set notifications for upcoming classes within their cancellation window just in case I don't plan accordingly or forgot I had a class booked.

It worked until it didnt. For a single site studio perhaps its still possible but anyone with no knowledge on how to find your own solutions do not use this product at all.

Works to some extent. Seems to have all the basic functions a CRM should have. But in the most convulated way known to man.

A rather long list.

1. Manual release of scheduling if youd like to do a specific release timing. You have to PHYSICAL PRESS A BUTTON in order to have a schedule released at a specific time and date. In a world where CRMS allow you to prebuild a schedule and release it at a specific time and date that you select, having to PHYSICAL PRESS A RELEASE BUTTON makes absolutely no sense.

2. A membership system that makes no sense. Clients arent able to suspend their membership and book for a class until the day the membership is unsuspended. IE if a client suspends a membership until 16th they cannot book for a class on the 17th until the day of the 16th actually arrives. This makes no sense whatsoever when a simple code can fix this.

3. Over promises a products functions. I was sold a Cross Regional product with the promise that my clients can book across studios seamlessly. They could not book without 10 million manual inputs and believe me it was not seamless. After numerous attempts by them to fix it. It to this day is not fixed and they will not let me leave the platform even after being proven that their solution is not work. When told of the issues I am told : " Thats a known limitation and is on the roadmap". No such thing was limitation was made known to me prior to signing.

This list can go on and on and on. If youre reading this and have a desire to have multiple studios or a product that is easy to use / manage. DO NOT USE MINDBODY.

When it works, it's great

This software has literally 100% of the features that I need out of a software to run my business smooth and efficiently, but I would kill for all those features to work closer to 90% of the time for the price I pay for it.

Overall VERY Disappointed.

So far I have only been with Mindbody for 6 months. And it is a nightmare.

Pros

I like that they had a marketplace with other business', and that you can run a new client special that people can easily see.

Cons

I switched from wellness living to mindbody in January of this year. I thought it would make my life easier, but it has done quite the opposite. First off may I start with the fact that mindbody allows you to set up late/no show fees but does not charge the customer automatically. I would manually have to go in and do that myself. Also, the fact that they must be in a contract for them to even store a credit card to charge is ridiculous to me. Also, every time I call for help, I am told I must do everything myself in front of a laptop, half the time people spend forever trying to figure out what’s the issue and then just never solve it and send me a bunch of emails on step by step how to do it myself. Not very convenient. Another issue I have is that all my emails that get sent out for campaigns and advertising just go to all my clients spam folders. Which defeats the purpose because they can never see them, and apparently you must have a domain email instead of a Gmail for this to even be reversed. Having all my advertising emails go to client’s spam folder is HUGE and is super bad for the business. Their only advice is to buy a domain email, which Is much too late for my business to change my email now. OR to ask every individual client to add the email I have as a contact, which there is no easy way to do. You think oh just send them all an email to ask them. Oh, wait they still wouldn’t be able to see it. I also created a new client form that I wanted people to be required to sign just once for the remainder of their visits, and apparently, I would have to individually send it to ALL MY EXISTING CLIENTS for them to sign it. Which once again is a ridiculous request. To be honest I am highly disappointed with the software switch so far, and as a business owner I can't say I’m sure that I would recommend it. It has not at all been convenient for me, I must figure out everything on my own and every time I call for an issue I am placed on hold for an hour with the situation and then I get sent emails on how to fix it, and then I just never end up figuring it out. I think I spend even more of my time as an owner on the phone with customer service than I did with my last software, which is really disappointing. 90% of the time I get the answer from customer service, that they don’t know what the issue is. And I am like, well I don’t either considering I am just the owner of my own business? Then they just send me steps on how to fix it on their best guess of what the issue is. I don’t even see the point in customer service at this point.

One of the best but highly priced

was really excited at signing up to Mindbody and used every resource they offered me. After a year it was becoming costly. I could only put my own clients through and a few integrations didn't work. For a high-priced product - and they are the best they would be a good 1 stop shop for many. My own situation, it was too expensive for the features on offer.

Pros

Mindbody is feature-rich and takes away so many headaches with a booking system, payment system and holding client data. It freed up my time daily.

Cons

The price. They specialise in gyms, salons and studio classes, all of which must be small businesses but the price doesn't reflect that at nearly £100 a month on the smallest package

While the software design is lovely. Everything about the company, getting your own data from the company, how they run, and how they operate are absolutely horrendous and unethical.

The Worst Software Service Company!!

I am stunned to see even one positive review of this software and the company. We had the worst possible experience; nothing worked as promised. Customer service was rarely able to fix any of the issues we dealing with. We went from a completely booked schedule prior to MB, to a couple of appointments per day, almost all of which were booked over the phone. We lost thousands of dollars per month because of this software!!!! Our clients were so frustrated and the staff were beside themselves. After 4 months of trying to make this work for us, we finally gave up because NOTHING was fixed. To top it all off, we had to go with another platform and MB will not let us out of our contract even though we had such terrible experience, AND they won't let us drop down to a lower cost package even though we are no longer using them. We are stuck paying almost $1000 per month for their premium package that is not being used. I literally have never experiences such a complete and total disaster. We are now having to pay for two software platforms, MindBody, which is unusable, and then the one that actually works! BEWARE of this company!!!!

NOTHING, they are a disaster! Not a single thing worked as promised. We lost thousands of dollars per month!!

Cons

Customer service is abysmal. It takes 10 phone calls to find the one person who might be able to help, but then the fix doesn't work the next day. Onboarding, our guy missed our first two onboarding calls and then had the nerve to say, well you never took advantage of your onboarding. THIS SOFTWARE DOES NOT WORK as promised.

My goto app for searching classes that are available for the time that I have carved out!

MindBody is my go-to app for seeing what is available in local classes. It is also my go-to app when traveling; when I find a few hours, I can use it for self-care. I have explored many courses I would never have considered without using MindBody as my primary search. More minor business schedules do not populate a standard Google search, so I always use MindBody first.

Pros

I love that I can see many types of classes available during a time slot that I have available for self-care. My schedule is always shifting, and self-care time slots overlap with other obligations. MindBody shares what's happening now and in the future, allows me to explore options and book classes, and sends me a calendar link with mapping. I love this app!

Cons

Having a time slot - mileage willing to travel - and available search options would be helpful.

MindBody review

I like the design features of Mindbody and how clean the interface is. However, it's features are not designed for a solo practice, and more for larger studios with more than just massage going on.

Pros

I like that I could easily integrate the schedule with my calendar on my iPhone. I also liked the easy of customizing my schedule.

Cons

The price was too high for a solo practice.

Mindbody is comprehensive but you only get value if you use all of the features

We had a very good experience with Mindbody and stayed with them for almost 10 years. Their customer support and broad range of services worked well for our diverse training programs. In the end, we switched because more players came to market at a lower price point, with exactly the services we needed.

Pros

Amazing tech support both on the phone and online. A comprehensive suite of products that can handle many different gym setups with a wide variety of services. The mobile apps are great for trainers and clients to manage their training schedules.

Cons

Mindbody has become increasingly more expensive over time. The tiered approach initially worked, but you really need to pay for the premium to get all of the features - many of which were not necessary for our needs. There is value only if you can leverage the entire suite of products.

MINDBODY is Functional, But Not Great

Help Desk is responsive and generally very helpful, except when they guess at the answer and leave us spinning.
It's very expensive.
I don't like the app. The views are not a good representation of what is really going on with a client's account. The app is difficult for clients to navigate, yet they don't like to use the web version because it is inconvenient.
Sales Team is generally unresponsive.

Pros

Available across the country so clients can book in advance.

Cons

Expensive. Have to have an instance for each site.
Recent Upgrades were not Upgrades. They messed things up.
Inability to customize reports.

Great scheduling app for business

It was easy to be trained on I learned within a couple days how to easily navigate the application.

A good system that did not work as well for Canadian clients

Pros

Customer service was very good. We were able to easily put in our schedules and see the overall picture of our enrollment structure. Tracking clients was well done.

Cons

Mindbody at the time of our usage did not allow for online registration for clients, payment systems for Canadians not the ability for our clients to have a portal into their accounts to make changes and access information. It was very rudementary in its design. As such we changed systems entirely for ease of business.

Poor service, overpriced, don’t use them

Poor, very poor. In fact how this company is handling Client cancellation is so bad I question if it is even legal.

Pros

Biggest name. Expensive with huge amount of functions one does not know what to do with.

Cons

Over Pericles, 3-3.5 times the price of competition.
Poor admin support, you get everyone answering your questions without reading into any previous email exchange.
Extensive function but don’t offer the most basic one like sending an automatic payment receipt (invoice) to clients. “Sorry you need to do this manually” not for $470/month, I won’t be.
Impossible to cancel omg, they make you run around like crazy just for a cancellation. If you need to give 30 days notice to cancel, you will need another 30 days on top at least to get through the number of useless emails they keep sending you and the number of security questions they ask is more than a bank would.

Mindbody - great options in theory, very glitchy in practice

Mindbody was what we used when rolling out an online wellness program during the pandemic - in theory it appeared to have everything we needed, but in practice the system was very slow and led to dissatisfaction with clients in terms of booking, payments, and access to online offerings.

Terrible product w/ terrible customer service

It couldn’t be worse and I feel trapped because moving 1,100 customers to a new product is close to impossible.

Pros

There is one guy, [sensitive content hidden] that works for MBO who’s helpful. Everyone else at MindBody has no idea how to operate or provide guidance on their own product

Cons

I’ve used MBO for years and it is the bane of our existence. Monthly memento based Martial Arts and Fitness gyms are in dire need of a better product.

You get one stop shopping

Now that sone other softwares are starting to track package usage, they will need to stay ahead of the race or they may loose me. There is a limit that , when they will have priced themselves out of consideration.

Pros

MINDBODY has been the only booking software I have used. I left briefly and boy was I surprised. I know they are the most expensive but I was able to cancel other contracts that I used and put that money towards MINDBODY. Their system is the easiest to understand, work with, set up and use. Visibly easy to follow directions and very intuitive.

Cons

The price. When I started with MINDBODY, I had many benefits with my subscription. As the years have passed, they took away all of the benefits except the extreme basics and moved them into the higher priced subscriptions. I held off as long as I could before finally going to the higher subscriptions. They have done an excellent job in developing marketing, emails or texts. As a massage therapist I am not technically savvy so I welcome, not having to get other vendors to help market, manage my online presence.

What A Great System For Spas

Just an amazing system, customer support, quality of the product and how easy it is to use.

Pros

This program is very easy to use, we have multiple spas, and they inter contact, east to book clients, had membership and cand set any date to make it customer friendly. The have amazing customer support if you have any questions ever.

Cons

There was nothing we did not like about this system. This is the only system i would ever use.
