> Owl Practice is a secure EHR and practice management platform built specifically for Canadian mental health professionals. It's designed to be more than an administrative tool. Clinicians use it to run their entire practice in one place, including scheduling, billing, clinical documentation, secure messaging, and video sessions, so they can spend less time managing logistics and more time with clients.

Owl's newest feature, Smart Notes, is a built-in AI note-taker that helps clinicians turn sessions into documentation in minutes instead of hours, easing one of the biggest time burdens in private practice without compromising on clinical quality or compliance.

Practitioners consistently describe Owl as intuitive and easy to learn, even for those who aren't especially tech-savvy, and point to responsive, knowledgeable support that helps them get set up right from day one. It's this combination of an all-in-one platform, real time savings, and support that actually helps that makes Owl one of the most recommended EHR systems among Canadian mental health clinicians.

## Reviews

### "A great product with great service" — 5.0/5

> **Lindsay** | *15 July 2026* | Mental Health Care | Recommendation rating: 10.0/10
>
> **Pros**: It makes work seamless and easy and the best part is when there are problems, the response time from staff is quick.
>
> **Cons**: I think one feedback would be the cost of using a credit card on the system has felt high. Some things feel complicated to figure out, but as said always staff to help.
>
> It has been great. I have had no reason to consider switching over the past 7 years. Meets all my clinical needs.

### "Has helped make my practice simpler and saved time" — 4.0/5

> **Judi** | *15 July 2026* | Mental Health Care | Recommendation rating: 9.0/10
>
> **Pros**: Owl streamlines my practice, making connections between calendar, video links, and billing. It saves me a lot of time. Each client has their own area in which I can see the sessions, financial information and other data that is important to know. I can save documents for clients (e.g. referral information, letters). I can either type or handwrite notes (if you have touchscreen). I particularly like that it send out automatic reminders for clients of appointments. Since I started using it, I would guess that it has paid for itself by having more clients show up for appointments. It provides a way for clients to make credit card payments (for additional fees). The video platform usually works well and is initiated from the calendar. I like that there are clinical measures I can send to clients from the platform.
>
> **Cons**: I do wish it cost a bit less. There are occasional issues in which a certain feature does not work well. The team is fairly quick to respond to concerns but sometimes it takes awhile before the actual bug is worked out. It doesn't quite have the flexibility to adjust to the way I use it, which is to also help me track the room use of other therapists in the building (they are not in my practice but the room use still has to be organized). I wish there was more flexibility in the appearance of the calendar so that I could designate colours according to the criteria that is most helpful to me. While I like access to the clinical measures, the scoring of those measures is often unclear.
>
> Overall, I've had a good experience. I understood the way it works pretty quickly and have been able to get help on features when needed.

### "Choose another" — 1.0/5

> **Angela** | *22 September 2026* | Mental Health Care | Recommendation rating: 0.0/10
>
> **Pros**: The form customization feature is genuinely well-designed. You can build intake forms, consent documents, and clinical paperwork to reflect your specific practice, and the system tracks which clients have completed them and which have not. For a clinician managing multiple client files, that kind of automated accountability is practically useful and reduces administrative follow-up. The overall interface reflects some understanding of how mental health practices are structured, particularly around supervision and note-keeping.
I want to be transparent that it is very difficult to speak to the positives of a platform when you feel effectively trapped within it by the weight of migrating your client records, billing information, and clinical history elsewhere. The features that work do not compensate for what I experienced.
>
> **Cons**: My experience with customer support was deeply problematic across more than a year. I was automatically placed on the highest-cost subscription tier without any assessment of my practice type or needs. As a part-time student clinician asking repeatedly for a more affordable option, no one ever offered me the lower-tier plans that are publicly listed on their own website and clearly appropriate for my situation. The financial difference was approximately $300 to $400 over 10 months. When I needed to add a student clinician to my practice, the process required manual team intervention, took more than six emails to resolve, and caused real disruption to my practice and to that student's practicum. Throughout this, I experienced consistent delays, missed follow-ups, staff changes with no continuity, and ultimately received a message saying everything had "already been dealt with" with no acknowledgment, accountability, or apology.
>
> I came to Owl Practice with genuine enthusiasm for a platform built specifically for mental health professionals. The software itself has real strengths. However, being mismatched to an inappropriate subscription and then spending more than a year trying to have that corrected — through close to two dozen emails and repeated promises of follow-up that did not materialize — has left my trust in this organization significantly compromised. A company that explicitly markets itself as supportive of students and part-time practitioners, but fails to proactively match clients to appropriate plans and then becomes unreachable when concerns are raised, is not living up to its stated values. I am a one-clinician, very part-time student practice. I spent well over $1,000 in a single year, paid more than I should have, and absorbed considerable administrative and emotional burden trying to access basic, reasonable support. I am planning to transition to another platform.

### "Love it overall but SmartNotes has some room for improvement" — 5.0/5

> **Haeon** | *15 July 2026* | Mental Health Care | Recommendation rating: 8.0/10
>
> **Pros**: I like all the integrations including billing services, clinical notes, SmartNotes, booking portal, consent forms, etc. and that all this is PHIA compliant so I get peace of mind. I like that it's well-adapted for Canadian clinicians.
>
> **Cons**: The SmartNotes is limited compared to other options like GraceNotes. I'd appreciate the ability to record and summarize group sessions and for the AI to be able to recognize more kinds of interventions. I'd also like a way to adjust therapist availability right in the calendar view instead of having to navigate to the therapist profiles.
>
> I enjoy using Owl Practice and it makes managing my private practice a lot easier because everything is in one place.

### "Very satisfied overall with Owl Practice" — 5.0/5

> **Lois** | *13 July 2026* | Mental Health Care | Recommendation rating: 10.0/10
>
> **Pros**: I appreciate Owl Practice was quick to learn, intuitive and user friendly. They have great online help guides and their tech support is timely. It's nice to have the option of getting help with a real person if you can't figure it out on your own. They assisted me in my transition from using the Moneris payment system to their integrated Stripe system, and it was quick and easy. I was up and running in minutes.
>
> **Cons**: I don't have any complaints about Owl Practice. It suits my needs very well as an independent clinician in private practice.
>
> It's been great. I highly recommend it to anyone with an existing practice or looking to start a new one.
