Charm for DME Billing

Overall experience

Pros

The best use of Charm for us was having all our patient data in one location that was easily accessible, and well laid out. Ease of use was important in the decision to use Charm. Charm was easy to implement and setup. It is highly customizable and their support is great. It has almost all the features we need to run the practice.

Cons

There is no option for refilling orders for patients. We have to go in and create new encounters each time

Do not sign up. Take money

I signed up for a subscription with Charm EHR under Kenyetta Midwifery for $25. The original amount was taken from the account immediately at sign up. Several months go by and I notice a $245 charge has been deducted from my account. I immediately filed a dispute with my bank because I did not OPT for an automatic subscription for $245 nor did they have permission to deduct that amount. When they found out about the dispute, they tried to bully me and asked me to cancel the dispute amid their deceitful tactic to take money from me without prior knowledge or indication that they would be taking the money. I stood my ground and told them I would not be cancelling the dispute for the reasons above and I made them aware that I’ve seen several reviews on platforms where other businesses have experienced the same thing. My bank ruled in my favor and I never heard from them again. A few days later I called someone over the phone and cancelled the subscription. I was told because I filed the dispute the account would automatically be canceled and did not need any further action.

As of [sensitive content hidden] , they repeat the same offense. They took $175 from my account after I canceled the account months ago in November 2023 and I have not used the service since. I sent an email requesting a refund and was told I did not cancel the account. I told them to pull an audit trail of the account to prove that I have not logged in and/or used the service. I would like a refund in the amount of $175 and to stop charging my card for a service I cancelled and do not use.

Pros

The options to customize it to your liking is flexible.

Cons

Untrustworthy with taking money from you account.

Response from MedicalMine

Hi Nikita,

We sincerely apologize for the inconvenience you experienced. We are currently looking into your case and will ensure it is resolved promptly. We will update you shortly regarding the refund and confirmation of your account cancellation.

Thank you for your patience.

An Excellent EMR System

Pros

Charm is a user friendly, patient friendly, online EMR system. It has many different features that help to automate many tedious tasks and help take the burden off of smaller clinics/teams. We've had an excellent experience with claims and reimbursement working with their billers, RCM.

Cons

Charm occasionally has small bugs, and the specific team assigned to resolve can sometimes take a while to respond to the inquiry. If their investigation doesn't find any issue, there isn't much follow up-- I wish that they would schedule a virtual screenshare to see the issue happen in real time and help resolve user issue.

Very customizable

Really good experience. Other than occasional slow response time of technical team, I am pleased.

Pros

Intuitiveness. Easy to use.
Customizable templates, macros, user roles.
Integrated instant messaging for staff, text messaging for patients, fax, referral management.
Ability to customize automation of the RCM.

Cons

Onboarding is brief and not very detailed. However, the intuitiveness sort of compensates. Also, time to response when you reach out for technical support can vary. Sometimes immediately, at other times can take up to a week.

Terrible customer service

I regret signing up. I signed up in February of 2024 and do not have all features activated that they have charged me for. They also charge a fee for PDMP and its free to access in my state. They also charge to send text reminders.

Pros

It is easy for my collaborating MD to sign my charts. Ability to have multiple locations.

Cons

The customer service sucks! It takes them forever to address tickets. The erx and EPCS set up has taken more than 4 months for me. I trialed another EHR and I was set to go in a week. They seem pretty nonchalant about ehr issues.

I have been very pleased. The system has never been down. I always have access to reports and up to date billing records. The patients find the system easy to navigate and rarely do we have a patient complain they can't figure out how to get in the system.

Pros

The easy navigation of the entire system.

Cons

Sometimes I wish we could pick up the phone and call our billers. As they are outsourced to India we wait 24-48 hours for a response.

Overall Positive, could use some improvements

Pros

For the most part, Charm is user-friendly and easy to navigate. They have lots of settings to help customize your setup, and it has worked well for both the providers and administrators in our practice.

Cons

Messages are not searchable, so old messages among members get easily lost. The invoices tab in the billing page should allow more space for billing-related notes for each patient.

Speech Pathology use of ChARM EHR

My experience has been absolutely great!! This has been a real gift to me in being able to continue my speech therapy telepractice because it is HIPPA compliant.

Pros

The best feature of this system is that it is HIPPA compliant, which is an absolute must for using this for teletherapy for speech and language. It is reliable and does not have any glitches that I can see. It is easy to switch from a full screen that you can pull up other language apps. It also has a great white board.

The worst EHR for a medical doctor

This is the WORST EHR ever. Totally inefficient. Wastes hours of time day in and day out. Absolutely horrible help. They never call back or fix the issue. They might fix 1/5 issues after 10 days. DO NOT GET THIS EHR!!! I would change if I were not in an office of naturopaths who have used it before I joined this office.

Pros

Nothing good compares to the bad. This program is the WORST

Cons

This is the worse EHR I have ever used. It is clunky. It wastes so much time. it does not alphabetize drop-down lists. It accesses a database for ICD10 Codes that is completely unusable and a total waste of time. It has completely lost medical records that it should be saving after 1 hour of work. The customer service is TERRIBLE. They will not fix your program. You are asked to write them with your issue but the issues are NEVER fixed, nor does anyone ever call you back. It lists diagnosis codes that are incorrect and therefore put you at medical legal risk. And they charge you every time you ask a question or make a record to try something out during programming.

Loaded with Features, Expands with Your Practice.

Overall, I'd definitely recommend this to small practices looking for a work horse to help them streamline their practice. It's a bit tricky to use initially, but it's well worth figuring it out. They are also constantly updating and adding features to make my life easier.

Pros

I have been using Charm for almost 2 years now, and once you get it set up right, it generally saves me a lot of time. I'm a solo practitioner, so having all of the integrated features is a game changer for me. It meets HIPAA guidelines, generates personalized templates for supplement protocols, has templates for visit types/different charts, and it is free until you have over 50 clients regularly coming in monthly.

Cons

It has a steep learning curve initially, but it's easy to pick up by watching a few videos. Customer service is also great about getting back to you in a couple of days about any of your concerns or feedback.

Cost-effective full-featured EHR

Pros

For the price of the product, you receive a lot of features that are missing or outdated in other EHRs. The RCM team also can do a great job handling your claims.

Cons

Some of the features require you to exit your current window to add or find information and then return to the current window. This breaks the smooth workflow and adds some time to completing some of the encounters.

Customizable, Affordable, but Customer Service may take DAYS!

Outside of issues with electronic prescribing and customer support- which are SIGNIFICANT!, the EHR is otherwise almost perfect for my clinic. I am hoping they can figure our a more robust customer service, or better train their frontline employees to really make this a 5 star EHR.

Pros

Easy to use and get started. Customizable templates and a library of emails, consents, visit templates, etc are available to use from day one.

Cons

Customer service by phone is not available 24/7 as advertised. The support by phone is not knowledgeable to help on most issues, and frequently I have to figure the issue out myself. There can be a 2-3 day delay waiting to have your issue resolved from India. For some issues that's okay, but several times not my electronic prescribing has been offline for more than 2 days with patients suffering tremendously as a result, especially when it comes to pain management- even with my cancer patients. No rush or expedited service. Definitely almost kills the deal for me. This aspect in particular creates major ripples and has probably cost me 3 patients (roughly $6000 in income plus whatever bad reviews I get based on not being able to help them in a timely fashion). I have used 2 other prime time EHRs and never experienced such unacceptable support delays.

For a small medical practice it's a good investement

Having the billing and collections reports intergated to the EHR makes a huge positive differnece, and the price is very reasonable to services rendered.

Pros

I like being able to see waht colleagues are doing with my patinets, and also like the intergrated billing and messaging support. having everythign on one place makes patinet care easier. I also enjoy being able to see patient messages and appointment requests via my cell phone app

Cons

I can't pull up a patient chart on my cell phone app, which makes answering specific questions ont he go difficult. Charm also lacks larger intergration of hospital visits-- we ahve to have other doctors fax results/ notes and enter them manually which can be a bit of a pain and hinderance to patinet care

Psychiatry solo practice

Overall I love the software. It’s inexpensive and works better than something I used that was significantly more expensive. My patients love it and it’s easy to use from a computer, tablet, or phone.

Pros

The patient facing side of the software is so easy to use. My patients love it. I switched from another software and I’ve only had positive feedback. The portal, payment, and schedule are all very easy to use.

Cons

Charting is not as cohesive as I would like. Importing lab results, sorting the notes, and changing some of the format are a hassle.

Ease of use and comprehensiveness

Overall I am very pleased with charm. It is ease to use, offers lots of reports and analytics, and everything is contained.

Pros

I love that everything (records, charting, scheduling, communication within office and with patients, billing, supplement inventory) is all contained within charm.

Cons

Inactive patients are treated no differently from active patients. Once inactivated, a patient shouldn't be able to have an invoice or encounter created. Inability to relabel or change dates. Searching is also a challenge. If there were a way to have a search bar that searched the entire patient chart (messages, tasks and comments, quick notes, encounters, labs, documents), that would be extremely helpful.

Great when it works

If they had good customer support, some way to talk to humans in-real-time, and to escalate to support team members that actually understand the platform, it would be nearly perfect.

Pros

For reference, I am a solo practitioner - so I do everything myself. I know how to set up a hyper efficient clinic and I know clinical workflows from both the physician and admin ends. I am also a full-stack web developer, so I know code and I know tech.

I have done deep dive evaluations of most of the EHR's designed for small practices and functional medicine. Overall, Charm is one of the most flexible and customizable EHR's out there, and for a tiny fraction of the price, and it is the one I have used for 10 years. I was an early adopter (I think I signed on in their first few years). I have watched the platform grow and improve (though some parts have gotten worse).

If you are willing to put in the time to customize your experiene you can do a lot with templates and questionnaires.

Cons

Customer / Tech support is non-existant for real platform issues. They do NOT listen to or respond to feedback when they have made problematic changes to the platform. Customer support mostly regurgitates basic user instructions, and they do not really understand the platform. I usually know and understand the platform better than the support teams (or the onboarding teams). I can't even remember the last time I was able to get a human on the phone or chat... usually I am stuck with waiting a week or more for someone that barely speaks English to gaslight me over email, which means I end up just having to find my own workaround for whatever problem we are having.

I also really wish they would allow us to choose what credit card processor we want to work with. BlueFin is a nightmare and we can't take the risk of working with them (see BlueFin review of overcharging, refusing to close accounts, etc) - because that is the only option, we are having to use a completely different scheduling system so we can charge our cash pay patients. Again, they have been getting bad feedback on BlueFin for more than 5 years, and they just will not listen.

Reasons for Switching to CharmHealth

CharmHealth was very easy to set up and get started in terms of cost and customization. You can change things as you go and add on features the need arises. You don't need to pay for things you don't need. Customer service is easy to reach and responsive. Calendar and payment are built in, so you don't need different contracts/payments or programs to set up with and interface.

Cons

I wish the note was more customizable and labs autopopulated. I would love to use dot phrases because they are much faster than setting up then clicking through to get the right template. I wish I could design tables/flowsheets (ie to compare DXA over the years) that I could pull into the note.

Long Term Charm User

Pros

I enjoy being able to have access to multiple facilities, and the ability to customize appointments, encounters, and pt portal/demographics. Charm is also very user friendly.

Cons

We are a high volume clinic, needing a more personalized scheduling system. Ex: Max patients scheduled at one time, staff break time block offs where no one can be booked, switching patients to each facility from their appointments page.

Good program, bad support

Frustrating. The tutorials are useless and don't actually help you get up and going. I'm extremely grateful I have another source of income, or I'd be destitute after how many months I've had to go without reimbursement.

Pros

As far as EMRs go, as a solo provider this is a good option. It's affordable and fairly easy to get up and going. It's pretty bare bones, but I've liked it FAR more than Simple Practice, which I found to be so clunky I've switched to Charm.

Cons

The customer service!! You can only contact support via email, and it takes at least a week for any reply. They are NEVER proactive and if you don't know to ask every single minute detail in advance, it won't get done. It's been infuriating and after four months seeing patients, I still haven't been able to bill insurance, all because of Charm!! It has been AGONIZING every step of the way.

Charm EHR for a naturopathic medical practice

Charm offers many features that other EHR programs do not not. The cost is low for getting started which has been extremely helpful for me. As I scale my practice, I have been able to add in features as needed (and when I can afford it).

Pros

I like the ease of customizability. The support team is very helpful.

Cons

The e-prescribe feature is a challenge for prescribing compounded formulas.

Charm Review

Overall the experience was all right. I have used better emr systems, but I have also used worse ones.

Pros

I liked the calendar. It made finding patients and daily appointments easy. I also enjoyed that you could filter it by location or provider to get the most use out of it.

Cons

I disliked that it did not integrate easily with some of the products that we used and we had to upload somethings by hand.

Affordable option

Pros

This is the most affordable option out there and really provides you the option to grow. If you are a new practice and don't need a lot of bells and whistles, then this is a great option. Fancier features cost more.

Cons

My main gripe was with the online booking. There was no way to customize menus or offer links for one service so the patient is presented with every service available for online booking in alphabetical order. No way to change the order unless you get creative with naming of services. There is also only one option for integrated payment processing which was not good for me, especially since that company took 6 months to respond to me about opening an account.

Tricky to setup but once it's going it's great.

I was using a different eRx company who suddenly hiked their fees by a huge amount. Charm is free for the first 50 erx's per month, and I don't expect to do more than that.

Pros

Very easy to use, autofills most fields, easy to search on pharmacies and enter patient demographics.

Cons

Was very tricky to set up, had to verify my credentials using my credit agency report, and ran into a few glitches with the Charm software which had to be fixed by tech support who is very slow to get back to me as in about a week between emails. So it took about a month to get it up and running.

Review of CharmHealth from a solo practitioner

I really appreciate the online scheduling feature. As a solo practitioner (with no admin support staff), this has been an extremely helpful feature. My patients love it! It saves a lot of time for me and it encourages patients to schedule multiple appointments as they see the scheduling filling up. Thank you!

Pros

I really appreciate the availability of the support staff. I have used the online chat several times, and most of the time my question is answered in a few minutes. With more complex questions, I still get a response within a day or two. Thank you! I also really appreciate the ease of updating/personalizing my Charm account for online scheduling and appointment types.

Cons

I work with several compounding pharmacies and it is extremely difficult to write a prescription for a compounded prescription through Charm. Several of the standard pharmacies in our community do not like the way that the fax or e-prescribe feature places the electronic signature - it is difficult for them to determine if it is signed "dispense as written," or if it is signed as "substitution permitted." When I started to use the e-prescribe feature last year, I received several phone calls wanting to verify prescriptions after I sent them through Charm. As a result, I am no longer using the e-prescribing feature and I am calling in my prescriptions or using a paper prescription pad.

I like the options for customizing the templates. I would like it even more if there was a feature to "publish" the treatment plan before signing the full chart - sometimes a telemedicine patient needs the information quickly, and may not have time to wait until I finish my charting at the end of the day.

I would also like it if the sections for typing chart notes took up more vertical space. For example, I can only see about 10 lines of text as I am taking notes, and it would be helpful if those spaces were expanded vertically. Perhaps the patient info at the top of the chart could be condensed to the left side so that the charting space could expand vertically.

Great value for the price

Our practice partners want to practice medicine. They don't want to spend all their time on the computer. As a Telehealth focused practice we want the systems to ease our note taking burden and this EMR does that nicely.

Pros

CharmHealth has been a great find for our practice. The setup time was next to nothing and the ease at which our providers were able to learn the software was surprising.

Cons

The scheduling portion of the software is the one area I think the product owners at CharmHealth could really improve. The limitations are not insurmountable, but compared to the rest of the product, this area could use some updating. It isn't easy to set up block time and if you want the patients to be able to schedule the times at which the patients can see on the web are not customizable to the practice leaving very little options for the practice. I think this is the biggest opportunity Charm has for improvements.

The other improvement suggestion comes in the way of being Telehealth focused. There are several areas in the product that still focus heavily on having an office (like uploading insurance cards), however, if we aren't in the office that becomes a challenge,

Best EHR I've used

ChARM has been a great experience, with integrated billing, inventory, practice management, and patient scheduling.

Pros

Cons

User Friendly Effective EMR

An effective EHR for us as compared to other software packages that is easy to use and cost effective for a smaller practice. Many enhancements have been made over the past 2 years which has made it even more attractive to use.

Pros

We changed to CharmHealth about 2 years ago after using PracticeFusion which did not have the flexibility we needed to add information. This software is easily customizable and has a vast library of templates for pre completed notes. It was easy to customize and had all the features we needed. Calendar is very user friendly and integrates well with the EHR. Can easily print out hard copies of anything we need and especially immunization records which are frequently requested by patients.

Cons

Although it hasn't been an issue for us, for a very large practice the cost could get rather high as compared to other EHR platforms. Since I have a relatively small practice, the cost is not an issue.
There have been problems with sending eprescriptions - The software can not locate the particular medication and you must know the generic as well as the trade name on occasion to get it through. There have been issues with locating pharmacies at times although, I must say, customer support has been helpful and has tried to rectify these issues as they come up.
Minor problem exists with entering patient email addresses. Software sometimes flags as invalid email address with anything that ends in *.com. You need to enter the email address as ".net then got back and re-enter the correct email address. Customer service has yet to fix this problem.

Charm is agile and cost-effective

I have used Charm for almost three years now for my private practice and it is cost-effective and so powerful and customizable.

Pros

Charm can be customized and personalized. There is a steep learning curve, and it is worth learning and making your own. I bill, send invoices, schedule, use the website scheduling widget, chart, communicate through the secure portal. The support team is constantly innovating and improving the product.

Cons

I loved the Zoom integration when it was impossible to get HIPAA compliant Zoom for less than $200/month. Now, it is no longer as cost effective. Support sometimes takes up to a week to respond to an email, though I have had good results with chatting with support through the website. Like all programs with legacy code, some of the templates that I have used for years get a little buggy. I wish the patient portal was mobile-friendly; it works best on tablets and desktops.

Great for small cash practices, not so great for busier practices

It is OK for clinics just starting out. Once you get beyond 2 patients an hour, it takes too long to chart and bill appropriately.

Pros

Great small all-around software that provides everything a small company needs. You can see a patient's financials from right within the chart, which is excellent. As well as their prior appointments. You can copy over phrases or entire notes from prior as well. e-scripts are easy, but do lack notifications. Scheduling is good. And, patient is able to book their appointments from your website.

Cons

Charting can be combersome. Our main issue is that the billing isn't robust enough. You have to use their system and their billers to get any benefit out of it.

Big issue with billing, very difficulty to get responds from the company.

EHR was OK. Billing related is nightmare. Poor responds from certain people from company!

Pros

It looks clean, modern looking, more user friendly than my previous one.

Cons

Billing and customer service is a nightmare. I started using Charm Billing back to October 2020. I got a zoom training for about an hour or two, during the training, there was one or two insurance was put into the system. After that, I was told to do it myself. However, I could not login for a long time. Finally, I had to set up another login in order to get into the right place. Until March 2021, I finally was told that the first ERA from the first enrolled insurance company would sync data with CharmEHR. It has been 5 months for one thing to work. Even today, April 1, 2021, I still not get ERA for every insurance enrolled. I has been contacting optum and Charm for discount for the time that billing not totally function. So far, Optum told me it is Charm's issue, and Charm just not respond to this request at all!! When I contacted customer service for anyone who can handle this case, the only thing I got was "sorry", and then no more after, the chat was terminated.
Not accurate patient's due and reports
No emergency help! For customer service, yes, you can email or chat with someone. For email, sometimes take a day or two to get a reply, sometimes take several days to get a reply, not reliable. One day, I found that it took forever to open Charm website on Chrome, but my assistant who use Safari seemed OK. So I switched to Safari for a couple of days. Speed was OK after switch, however, when I edit patient's info, when update phone number, not working. So I switched back

Needs more updates for customization that makes sense

I like that telemedicine platform, that is easy to use, and the fullscripts it easy. That's the only thing that really makes it stand out from other EMRs.

Pros

Fullscripts integration, telemedicine, PMP integration.

Cons

There is no orders tab, no diagnostic testing tab. Everything that is a task, can be completed, but not deferred or deleted if not performed. There is no integration of software for diagnostic testing like EKG, Spirometry, or Holter Monitors. The process of customization is not very easy. When a lab order is connected with an encounter it can't be modified through the lab tab (makes NO sense). Billing needs to be updated, it's completely an obsolete system that is being used. More providers would use this if you would fix, incorporate, include these MAJOR items.
