Our go to for a martial arts facility management system

Pros

displays all the information i need with easy to use navigation and simplified interface.

Cons

certain settings are hard to find. It would be nice to have them all in one tab called "settings" with tabs within that to separate payments, memberships etc.

I want to like it more than I do

GymDesk is overall a really simple software and offers a lot of potential to be one of the better ones out there. I've used a lot of different gym CRMs, and no software has ever offered everything I needed; GymDesk is in the top 5.

I think the best feature of the system is the member management, specifically because we have multiple age groups, programs, and rankings. We can customize all sorts of rank and program requirements and associate those to belt testing and grading, etc.

There are apparently updates on the way to improve their event management side, allowing for variant pricing options. Until then, the only option is to make every event free, and then charge appropriately in the POS, but then the rosters are not connected.

The Growth charts are a nice touch but the details are not adjustable and running custom reports is not really a function, despite being told you can filter lists...not enough. Lead management gets the job done, and the automation section has a lot of potential but is limited in scope.

I really want to like this software and I've been patient for updates to improve the little things but it tends to be almost great at a lot of things, yet not great enough at most.

Pros

member profile management is thorough, rank and program management is great, contract setup is really simple, and the interface is easy to navigate. Customer Service is friendly and has good response time.

Cons

Reporting is extremely limited and not entirely clear with the information it presents. Event management is poor.

Usable but I would recommend different gym software

Gymdesk runs and works in the many essential areas but there are many obvious flaws

Pros

Nice looking interface, easy to use dashboard. Very easy initial set up compared to a competitor service I was also using. Many things just work. Staff responds to problems quickly enough for what I imagine is a small company, but the company doesnt have the resources to continue development to deal with what I feel are obvious issues.

Cons

Very few customization options. No integrated parent/guardian option on sign up forms and waivers (has to be done custom), which for software catering to martial arts businesses is a little ridiculous. Cumbersome to set up document and membership options and difficult to individualize membership options outside of the template you've created (although you can discount or add signup fees, etc). Students uploading profile pictures from all webcams come out with wrong aspect ratio and make my business look unprofessional. Cannot disable capchas on signup forms (among other elements that cannot be customized). Essential membership documents are not required to be signed right away and add an extra step for staff that can easily be missed when I feel the software should be able to automate this task.

Best Gym Owner App on the Market

It is an easy-to-use and modify application for any gym.

Pros

Gymdesk took me 2 days to fully set up for my new gym. As I grew and needed to change and adapt certain aspects, I could do it on the computer or from the app in a matter of minutes. When I had a question about merging clients, they were super responsive and gave easy instructions.

Cons

I like it all. I have not had any issues.

Simplified our lives SO much!

Pros

We were looking for a software to manage our small personal training gym that supported the features we needed without the bloat of larger softwares. We also wanted to more easily see our sales, scheduled payments, missed payments, and attendance at a glance.

We also LOVE being able to integrate emails and texts within gymdesk so all communication is visible to all staff. The tasks and automations are also crucial for helping us stay organized.

Cons

So far nothing has been a dealbreaker at all! A few features we wish could be implemented (better recurring appointments, slightly more easy to view calendar, etc) but nothing that overshadows the simplicity and ease of use.

Roots Mixed Martial Arts review

Pros

We love everything about it other than the website builder. Managing leads, students, emails, waivers, pretty much whatever has been super easy..

Cons

Our only issue with website builder is that it downgrades our quality of photos and images don’t fit properly and are not scale able to fit.

Awesome software

A Taylored Body

Top Value

I am very pleased with our choice to go with maonrails. This system was initially meant for our yoga and fitness programs, but the benefits we are seeing in our karate programs is amazing. The students love how easy it is to use, they love the portal and payment option. The free website is easy to set up, with lots of choices to customize. We run a number of different classes using this program and it keeps us organized so we can focus on the classes rather than the back office. The report features are very helpful to keep each program separate. Overall, using this program has saved us hours of paperwork each week. It is the program we didn't know we needed until we tried it! Definitely would recommend giving it a try. Great customer service, great website and amazing tool to keep ranks, dates, payments, attendance and schedules organized!

Pros

The price was the selling point. Not the cost of the program, but the fact that there was not a tiered system for pricing. You know exactly what you are getting from day one! The program is also very easy to setup and use. The support is fantastic. Not being one that is up on all the latest technology, they took the time to walk me through things, step by step. They were answering my questions and assisting right away so I never had to wait.

Cons

Being in Canada, there are some features that cannot be used based on the payment processing company we use. There is none that allow same functionalities as in the US. I am sure it will be in a future update.

An up and coming top notch tool for martial arts schools

So far so great! Very few complaints/frustrations from members during transition as opposed to previous softwares used like zenplanner etc... where every step was met with crashing apps and the like. Here we have a program that works right in every smartphone/computer’s browser. Just log in and access everything, including remote training videos, which right now are crucial.

Would love to see some more features surrounding support for remote training, but considering the relative “newness” of the product and how great everything else has been for myself and my students - a solid A-!

New gym owner

Overall our experience has been extremely positive and have not once considered seeking out other software.

Pros

Gymdesk is a powerful tool that has so far met most of our needs as a new gym. Customer service is extremely fast and helpful. We have on multiple occasions inquired about features not present in the software and these have been rapidly implemented.

Cons

The gym scheduling can be a little confusing to manage and this can also affect the attendance tracking.

Martial Arts In rails

It’s cuts down tons on paperwork and allows the use of a card for recurring monthly payments. Those are huge. We also keep attendance and rank in this and it helps tons as well. I was skeptical at first but will say that we highly enjoy its function.

Consistency Bjj and Gymdesk

Pros

Gymdesk Software for BJJ Gyms

I really dont understand how I get so much spam (up to 20/day). If there could be a block to enable them not to resend emails. I would like it a whole lot more.

Pros

It like that it comes with its own webpage that can later be integrated with your own. It suits my gym perfectly accounting for all of my needs. I would recommend this for anyone setting up a BJJ Academy. It also has an easy to view, "how to" that helped me out. My emails initially to the Gymdesk Team, were answered quite quickly and after a while of using it, it became so much easier.

Cons

Being in Australia, it was annoying that only Square can be used for the POS. But Square isnt too bad with its low fees.

Great for the price

Pros

Very customizable and full of neat and useful features. Attendance tracking, session allotment, booking are all done really well. Friendly and clean UI. If I wanted to do what I'm doing on Gymdesk on Mindbody (or other big names), I'd probably spend double and with more headaches.

There are some features that could be added (like an IOS app!) and some that could be more intuitive, but the Gymdesk team is very responsive and helpful, so I'm sure that regardless of your studio's style of doing things they could help calibrate the software to your situation.

All-in-all, great software and major bang for your buck.

Cons

1. Sometimes the sign-up page will glitch out or be clunky, which can be embarrassing when dealing with a client.
2. Although it isn't the job of the software to do your math, I do wish there were more numbers that tracked different info about leads, demographics, attendance, new/old/returning students, and accounting stuff like revenue growth, average spent per student, number of paid/unpaid per month, etc.
3. To my knowledge, there is no easy way to upgrade or downgrade memberships. You have to manually cancel their current membership, add the other one, and then figure out the prorated difference (which can be somewhat confusing, especially on the fly).
4. No app, which is fine, but it is definitely easier to use the software on the computer than on the Ipad or phone.

The Best Martial Arts Software out there!

I had started with a competing product and while it kind of did what I needed it was just... meh. I switched to GymDesk and could not be any happier - it does exactly what I was looking for in a school management software at a very reasonable price!

Pros

- Easy to use
- One stop shop - the creators have thought of everything
- Simple for members
- Website is connected directly to the back end which is connected to the online shop and Point of Sale which keeps everything simple

Cons

- Would like a little more flexibility on the Design templates for the website
- Sometimes the help can be a little tricky to navigate but jumping on the Live Chat solves things in minutes!

Straightforward and intuitive as long as you don't have to deal with families

Cons

Dealing with families:
- no separate inputs for parent/guardian (let alone both parents) if student is a minor except under "Emergency Contacts"
- cumbersome and inflexible mechanisms for grouping students under a family accounts and how family discounts are priced
- no simple way of toggling a student between memberships without cancelling entirely
- no way to list custom fields on members overview
- no way to see on members overview screen which customers have credit card on file

No integration with small receipt printer - huge waste of toner and paper when customers ask for receipt

Client management software for martial arts

We needed client management software for our martial arts gym; I switched to MA on Rails based on the recommendation of another gym owner. The author has been incredibly responsive about small changes we needed. Overall, it does what we need well and with a simple, clean interface.

Pros

It is simple to use and handles all our needs (managing clients, gym shop sales, attendance, scheduling). It's very flexible about types of membership options, from drop-ins to monthly. Makes My Life So Much Easier

Using Martial Arts on the Rails has made my life much easier. With the last management software I was using I had to spend hours on the phone and honestly just dreaded going in to the gym to work on the computer. I now have a lot more confidence in the way that I am managing the business, our programs and our memberships and I am more organized.

Pros

I have found that this software is easy to use. It is pretty intuitive as how to navigate through the system. It is easy to add, cancel and manage memberships. I like the simplicity of running attendance and financial reports. I have found the support to be great, I always get a quick response. I also like how it is easy for me as an owner to control what kind of access my other gym staff has access to.

Cons

The only one thing I have found that I have had trouble with is when I search for a member if they are frozen their name doesn't come up in the search. I have to go to the frozen tab to find them.

Transformed our Club

Prior to using Martial Arts On Rails we operated a manual system and as a consequence we were losing track of payments, grading, etc. For our club to continue to grow and provide the type of service our students deserve we did some extensive research of automated systems and opted for Manonrails as we found it to be a feature rich system which not only manages the basics very well but also allows you to monitor trends and provides a variety of metrics on the clubs performance and tools to help you grow the club. The sytem was created and managed by CEO who himself is a Martial Artist and therefore uniquely understands the needs of a martial arts club. In the event of any issues or queries the responsiveness of their customer support is nothing short of exceptional, we are on a different time zone here in Europe but that has never been an issue. Maonrails has totally transformed how we manage our clubs and we would have no hesitation in recommending them!

Pros

Ease of day to day use...Does not need additional hardware (works off a smartphone, tablet, pc, etc).... Feature rich... Dashboard providing a snapshot of key metrics...

Cons

Nil - anytime we have identified a new feature that would benefit our club they have modified they system to add the desired feature.

Great product

Fantastic really. We really jumped feet first when deciding to take over a gym with very little prior experience with back-end knowledge and this program really made it so much easier.

Pros

We love how Gymdesk makes life so much easier for our business. The overall look of the program is great and the functionality of it has exceeded our expectations. Customer service has been excellent to work with any time we run into a snag.

Cons

We would like to be able to schedule members in "spots" in class (like movie theater or plane seating) to incentivize early booking for classes. It would help us be better prepared and discourage last minute booking.

Gymdesk nailed it

Excellent. I would highly recommend any gym owner give gymdesk a shot. Even if it wasn't for you (and I'd be surprised if it wasn't), you lose nothing by trying.

Pros

Very easy to use
Lots of built in features
No upsell
No sales team/sales pitches
Excellent customer service. You email, they get back to you quickly. Simple as that.
Tons of online content: youtube videos, articles, podcasts, etc.

Cons

It does not pair super well with Square. There are some limitations to how you can use the physical POS with it. I hear stripe is the better option in this case.

Awesome software

Awesome software. Everyone finds it easy to use. No real complaints at all.

Pros

Easy to use, logical UI, helpful staff. It's very enjoyable, and leagues ahead of the others I tried.

Cons

Checking in history isn't saved.. I guess if you use the front desk app it might, but that's a whole load of overhead for us.

Also seem to have 2 waivers being signed sometimes somehow, dunno how or why there are two 😄

If you see duplicate waivers, that’s usually because the document is assigned to both memberships and the sign-up form. You’ll want to remove the waivers from your memberships to prevent this.
To remove the documents from memberships, click on the “Members” tab -> click “Memberships” -> click the pencil to edit the membership -> under the “Documents” section, uncheck the document. Do this for each membership.

Small to medium gyms highly recommend.

Very good, streamlined everything so far. Daunting task of a new gym, kids members, uniforms and sales all simplified with gym desk.

Pros

Simple, easy to use platform. No crashes, lagging or interruptions between client and gym. Underestimated this software, worth the price.

Cons

We are using our own website portal which means another cost for us but have not had enough experience with the provided website to use yet.

Great ongoing support

Great, highly recommended. I've used it for over a year and plan to continue on it as my gym grows and expands.

Pros

The support is great. I usually will receive email replies within the day if not within 1-2 hours if enquiry is sent in their timezone. This is extremely important sometimes as members may be waiting to make payment or book classes etc. Also it is web based so I can pretty much do everything with my smartphone browser. They provide a pretty decent website along with the monthly subscription which is vital to small business owners like me as I didn't want to sink in website design and start up cost.

Cons

There are some functions which cannot be personalised or changed but can find ways to work around it. For eg, credits are deducted upon booking and not attendance. Just have to adjust our policies around it.

Fairly priced and full of features that we need

Pros

Managing capacities per class is crucial. I want to places can do auto billing but to be able to reserve the amount of spots per class and be able to see how many are taken incentivize users to book their class is ahead of time. One thing I would like to see them implement is allowing me too cut off the window. 15 minutes out. They allow intervals of hours or days, I would like to see them add minutes so that I can close the window. 15 minutes before class starts so that people can’t register or cancel in that timeframe.

Makes operations smoother

Simple to set-up and use, provides commonly needed features, making it easy to communicate with students, handle memberships, take payments, waivers/contracts, track prospective students, as well as provides small details that software we used in the past have overlooked (ability to close your gym operations for a period of time, so you don't have to manually freeze each member)

Excellent! Highly Effective Gym Management Tool!!

Overall, I am VERY happy with the decision to begin using GymDesk for our membership management. It is easy for us and our members, the price is very reasonable, and the value is DEFINITELY there!

Pros

We struggled to find an effective tool for tracking our members, memberships, and leads within a single tool. The ability to input leads and walk through the onboarding process with them and follow them through to membership and renewals has been a game-changer for our administrative functions. Additionally, the ease with which we were able to integrate our existing payment processing systems has been nice (since we don't need to get multiple processors). The website templating is also a nice tool. We are not particularly skilled at making and managing websites, so having this template has been super nice. Well done!

Cons

There are only a couple of tools that don't have quite the robustness that I would like. Specifically, the skills tracking tool is a great idea, but I would like to be able to customize it a little bit more that I can now.

Dojo, Done Easy!

Its been an absolute breeze to run my Dojo from start to finish. My experience has been wonderfull and I would definitely recommend Gymdesk to any Dojo or Fitness business.

Pros

Gymdesk allows me to automatically send my invoices and generate new ones without me needing to amend or change anything.
I save so much time through Gymdesk and I love that i can do everything from a mobile device.

Great so far, customer supper is excellent!

Pros

Modern interface and features are good. Many automations available which is also great.

Cons

I find the main navigation and page navigation could be simplified and made a little better for the user experience - but still better than all other softwares! Some issues with setting up family-plan flat-rate pricing for limited class memberships.

A Must have for Gym Owners

Gymdesk is a lifesaver. I am able to organize all of my work flow in one system. I love the membership renewal, the personalized website, the group text message marketing, the online store for selling our products, and so much more!! It’s definitely a must have for all gym owners. There are so any features to use. I love Gymdesk and will never change. They are truly the best!!

Really please with Gymdesk.

The support is really, really responsive. I am impressed with that. Almost always within an hour or two, or quickly next day. The best.

Pros

It 'sings' to me. So much software is not 'ready out of the box.' There was such a learning curve. Many charge, demo required etc. As a busy gym and yoga studio owner with some capacity to learn on my own, I was up and in this in less than 5 minutes...and understand most of it. From there, it has served me well on customer management, communications, booking and payments.

Cons

I could use some more specific things pertinent to how I run my businesses, but perhaps others don't. So I could use some customization on a few things. I also get confused from time to time on the forms/sign up/membership connections...I think that could be better explained. Again though, it may be how I run my business not necessarily what makes sense for most consumers.

'Martial Arts on Rails' is worth your attention. Try it out!

Overall experience to date has been very good. I have received excellent customer service. Due to COVID-19 temporary shutdown of my gym/dojo, I had some time on my hands to do a detailed review and trial of this software. I have looked a several systems over the past couple of years in detail and used another system for 12 months prior to moving to Martial Arts on Rails. Although it doesn't do 100% of what I wanted, it is very close and improving all the time. Remember there is no such thing as a perfect system. This software does a good job of majoring on the majors and is growing and adding new features and feature improvements continually based on user feedback. Keep up the fantastic work Martial Arts on Rails!

Pros

- Ease of use.
- Ability to easily communicate via Text Message or Email in bulk to members/database without leaving the system or having to export to another system.
- Member Portal very useful.
- Overall features combined equals a great product.
- Support has proven to be very responsive.

Cons

- At time of writing, there are limited integration options e.g. No 'Zapier' integration. However, for most users I believe you won't need another system. That's one of the benefits of this software.
- There are work arounds, however at time of writing there is no customised tagging system for member database.
- Even though I believe they have an easy Family management feature. At time of writing there is no easy way to communicate directly with a parent/guardian of a child student. For example, currently the email would be addressed directly to the child, not the parent/guardian.
