# FakturaFlow KSeF

> FakturaFlow is compliance software for KSeF, the Polish government's national e-invoicing system, which becomes mandatory during 2026. It is aimed specifically at accounting firms that file on behalf of many client companies, rather than at a single business issuing its own invoices.

The problem it addresses is volume. A practice with fifty or two hundred clients has to get every one of those clients' invoices into a government system in a prescribed XML format, confirm that each was accepted, and keep the resulting receipts. Doing that through the Ministry's free single-company tool means working client by client.

FakturaFlow provides one dashboard covering the whole client portfolio. Invoices are exported from whatever accounting system the firm already runs, in XML, Excel or PDF form, and converted into the FA(3) structure KSeF requires. Each document is validated against the schema locally before anything is sent, so structural problems such as a malformed tax identification number or amounts that do not reconcile are corrected in the office rather than returned as a government rejection days later.

Accepted invoices generate an official UPO confirmation, which is collected automatically and stored against the invoice it belongs to. When KSeF does reject something, the returned system code is translated into plain Polish explaining what to fix.

Access is role-based, so staff see only the clients they handle while the practice owner retains visibility across all of them.

Two deliberate limits are worth stating. FakturaFlow does not replace the firm's accounting software; it runs alongside it and reads its exports. And it does not process payments, since KSeF is a reporting and archiving obligation rather than a billing function.

Pricing is monthly and scales by number of clients, with a no-card trial of the middle tier.
