> Care Roster was built for the person who gets the call when something goes sideways at 9pm: the on-call coordinator, the director of nursing, the office manager who somehow became the keeper of every phone number the agency uses.&#10;&#10;That person usually has a spreadsheet. Sometimes it lives in Outlook contacts, or in a binder at the nurses' station that was accurate two years ago. It works right up until a nurse is standing in a patient's home on a Saturday night needing the after-hours pharmacy, and the number she has rings a disconnected line.&#10;&#10;Care Roster replaces that with one shared directory the whole agency can reach from any phone, and it is deliberately narrow: it holds the operational contacts your team calls, and no patient information at all.&#10;&#10;What tends to sell it&#10;&#10;First, on-call actually maintains itself. You set a rotation once and it cycles on its own, so the on-call page always shows who is covering right now, their direct number, and when the next handoff happens. Somebody swaps a weekend and you record the override rather than rebuilding the schedule. Nobody has to remember to update anything for the page to be correct at 2am, which is the only time it matters.&#10;&#10;Second, the directory holds three different kinds of record instead of forcing everything into one flat list. A person has a role, a department, a work mobile and a desk line. An organization is a company you call, and it can hold a main line, a fax, an after-hours number and several named people underneath it. And a key number belongs to nobody in particular: an answering service, a help desk, a 24-hour removal line. Everything is searchable at once, so nobody needs to know which kind of thing they are looking for before they can find it.&#10;&#10;Third, the directory tells you when it has gone stale. An editor marks a record as verified and the system stamps who confirmed it and when. You choose how often each record should be re-checked, and two reports list whatever is overdue. This is the part agencies underestimate: entering 400 numbers is a week of work, and keeping them right is the next five years.&#10;&#10;Beyond that you also get escalation paths that name the call order for each situation, including who gets called at the same time and who is next when nobody answers; an emergency sheet with leadership, emergency numbers and after-hours resources on one page you can print or copy in a tap; and the ability to send one operational text to every staff member for a closure, a weather delay or a coverage change, with personal numbers only reachable if that person opted in themselves.&#10;&#10;Getting your data in is usually the first question. You can import an existing spreadsheet through a guided CSV import that previews every row before anything is written, or connect Microsoft 365 and pull staff straight from your Entra directory, including the people who have no mailbox. That connection is one-way and read-only, and records your staff typed in by hand are never touched by it. Everything exports back to CSV whenever you want it.&#10;&#10;On pricing and support: one flat price for the whole agency with unlimited users at every role, so adding the whole night shift as viewers costs nothing. Every account starts with a free 45-day trial that includes every feature and needs no credit card, which is enough time to import a real list and run a live on-call weekend on it. Questions go to the small team that builds the product rather than into a ticket queue. And if a subscription ever lapses the account turns read-only instead of locking: records stay viewable and exportable, and nothing is deleted.&#10;&#10;One thing it deliberately is not. Care Roster holds no patient records. Monthly billing is available at $120 and $240. The annual price is ten months of the monthly rate, so paying yearly saves 2 months. It is never a per-user price, there is no setup fee, and no feature is held back for a higher package.&#10;&#10;Launch pricing&#10;&#10;Agencies that subscribe through December 31, 2026 pay $600 a year or $60 a month under 150 staff, and $1,200 a year or $120 a month at 150 and over. That rate is locked for life. The regular prices take effect for agencies that subscribe after that date.&#10;&#10;What "unlimited users" means here&#10;&#10;Three roles are included, with no limit on how many people hold each one. Administrators configure the workspace and manage users. Editors add and update records. Viewers search, call, follow escalation paths and print sheets without being able to change anything. Because seats cost nothing, agencies put the whole team on it, including per diem and night staff. A directory only the office can reach is a directory the field will work around.&#10;&#10;Emergency alerts are included&#10;&#10;5,000 texts a year on the under-150 plan and 20,000 on the 150+ plan. Each recipient counts as one text and a longer message counts as more than one per person, so 5,000 is roughly 50 all-staff alerts a year for a 100-person agency and 20,000 is roughly 200. A live counter shows the exact total before you send and what it leaves in your allowance. Trials include 25 free texts. Agencies that need more than the included allowance should talk to us. As a guide, the channel is sized for up to 10 alerts per staff member per month.&#10;&#10;This is emergency mass notification, not a messaging app, and it is compliant by construction. Work numbers are opted in automatically because they belong to the agency. Personal numbers require that person's own opt-in and it is never a condition of employment. The sender picks work, personal or both for each message. Your agency's name is in every message and cannot be removed, so an unexpected 6 a.m. text is credible. STOP is honored automatically, immediately and system-wide.&#10;&#10;The free trial&#10;&#10;Every new account gets 45 days with every feature turned on and no credit card required. That is long enough to import a real contact list, build your on-call rotations, and print an emergency sheet for a real shift before deciding anything.&#10;&#10;Billing&#10;&#10;Payments are processed by Lemon Squeezy as merchant of record, which holds the card details and handles sales tax. Subscriptions renew automatically at the published price for the term chosen until canceled. You can change your card, switch between monthly and annual, or cancel at any time from Settings, and plan changes are prorated.&#10;&#10;If you stop paying&#10;&#10;Nothing is deleted and you are never locked out of your own data. A lapsed subscription turns the account read-only: administrators can still sign in, view every record, and export everything to CSV. Reactivate whenever you like and pick up where you left off.

> **Pros**: I really appreciate how user-friendly the structure is. There are plenty of similar apps out there, but this is by far the easiest one I've come across. Staff have been able to pick it up and start using it right away.&#10;&#10;Another standout feature is how the app combines two of our needs into one, a staff directory and an on-call/escalation system. This happens with no loss of features from the previous apps.
