About AestheticsPro

AestheticsPro is a cloud-based, HIPAA compliant medical spa management software solution that offers staff and calendar management along with client management, a point-of-sale and marketing tools within a suite. The staff management feature allows users to manage employee timesheets, payroll, commissions and tips. With staff calendars, users can manage staff scheduling and avoid instances of overbooking. AestheticsPro enables users to store all client information in HIPAA-compliant charts. Users can sign in from any device and access records from any location. The software also offers marketing management, which allows users to track leads and run targeted email campaigns for customer acquisition. With the accounting module, users can generate real-time updated sales and profit reports to make informed decisions.

Beyond frustrating. I starred it a 5 so it would be seen.

Pros

It seemed efficient when we first started with it, read all the reviews which were great...that makes you wonder...

Cons

Having to chart the same thing multiple times, the info doesn't save half the time, some days I've charted 3-5 times on the same chart, if you love charting and love to do it muptipe times on the same chart then this is the program for you.

In the middle of typing it logs you out 'due to inactivity'! In the middle of typing.

Having to ask customer support for the same thing over and over again with no resolve; they would consistently get back to you , without an answer asking about your browser, settings etc even though this was answered every time and set up in the way they asked us to, almost like they were evading an answer as it was rare an issue was ever resolved. They'll then close your ticket if you don't respond in enough time for them, like they expect you to serve them vs them serving you for the service you've paid for.

They did a major update, we thought this was going to make it better, unfortunately this didn't fix any of the issues we were consistently had and made for more issues with the functionality of what was previously working.

Too many bugs and glitches to name

Aesthetics Pro Review

Slightly below average. The software has holes that don't allow for efficiency in daily tasks.

Pros

The support team. They are helpful and knowledgeable about the product.[sensitive content hidden] has been very helpful.

Cons

I dislike that you cannot remove items from quotes prior to converting them to invoices.

Pros

Price - always a factor. Times are DIFFICULT w/economy right now, everything matters!

Cons

texting for help (support tickets), many cases would best to speak w/help. But in my experience, I can't speak w/someone relatively quickly. They'll call back - but I have no idea when - difficult when I'm seeing patients. Or call comes in when I'm not in front of computer.
Or, I'll schedule a call/meeting (GoTo), but it's days ahead.

Would be GREAT if you had some tech folks on-call, for more immediate access or if we could have a window to choose from for a "call back" so we could be prepared? Just some ideas.

Our Business' Experience with AestheticsPro is 10 out of 10!

Overall our business is very happy with AestheticsPro! We came from using an outdated software that was not cloud based, and the ease of using AP is a tremendous difference for us. AP support is top tier and always prompt and helpful with any issues that come up. We have 3 locations for our business and the new Aurora update has made it easier to customize our settings on each location individually. We have regular check-ins with our account manager [sensitive content hidden] to make sure our business is doing well and letting us know about new features, and Daija is always available for assistance when needed. The new AP app that is available with the Aurora update is great to let us view our schedules anytime on the go, or if our computers are having any issues it's great having the app available for us as a backup.

Pros

What I like most about AestheticsPro is the ease of access. It's easy to access our environment from any computer or mobile device at any time without having to connect to server databases or worry about database updates etc.

Cons

What I like least about AestheticsPro is if I have different locations open on multiple tabs in the same browser, it will glitch having multiple locations open and show you the schedule for just one location on both tabs.

How easy it is to maneuver. You can really teach yourself just by using the program.

That it still can use some work done. As far as messaging, contacts clients, not allowing access to remove certain items.

Love AestheticsPro and the AestheticsPro Team!

I chose AestheticsPro because of the reviews written about how great their customer service is. Their customer service is indeed excellent! The rest is bonus! They continuously improve the software and make updates. The new version Aurora is AMAZING! Now we have a true mobile app and that has been a game changer! I highly recommend AestheticsPro!

1. I love AestheticsPro (AP), however, it would be nice if some of the features, for example the client review option, was included in the price or at least be less than it actually cost. AP is not the most expensive, but not the least either. Some competitors include features such as the client reviews in their subscription price. the cost begins to add up and can make it a bit much, especially when starting out as a newer business.

Aesthetic pro for Medspa

Overall good once learning the program. The automated upgrade was extremely frustrating as no warning was given. Most info didn’t transfer over. When contacting customer service can’t really speak to anyone - put in a ticket and go from there.

Pros

An assortment of consents, instructions, ease of sending paperwork to clients before appointment. Ease of scheduling and payment.

Cons

Customer service is hard to get in contact with - actually speaking with a live person. Automatic upgrade is frustrating as no warning was given and most info didn’t transfer over.

Customer support was unable to update the system that I was using. They called it a legacy program. I was paying $470 a month for it. It was no longer a good fit. They have a product I would have used, called PatientNow Essentials but they would never call me back to get the job done.

Switched over to AP from a different System

It's been good so far, i like that support is quick to respond, there's videos to help too

streamlining check in to check out, staffing, products, etc.

Cons

Doesn't have medical friendly attributes ie. labs, Smart keys for SOAP notes, the ability to populate a patient's records into their next visit ( we do weight loss in our clinic, our current EMR populates their previous data we take on vitals to the next visit automatically)

Liked the old version better

I will say the response time for a support ticket is very quick. They are very helpful.

I had not decision making ability. It was in place when purchased business. Would love to find something that integrates with scheduling and google

No manual. Have watched every video but their are things I can figure out. No integration with google. Inability to change confirmation email when appointment changed. Have to be very specific when searching. Hard to up load photos to treatment record

Pros

Aesthetic Pro is very easy to use for both providers and patients. I highly appreciate their support team as they're always prompt in their responses. My account manager, [sensitive content hidden], is very responsive, caring and always willing to help. She always goes above and beyond when resolving issues in our access and billing. I highly recommend AestheticPro product!

Buyer Beware

Terrible overall - way too many bugs. Support is available but slow. They lock you into a contract because they know their system is terrible.

Pros

Quick setup. Form creation is pretty straight forward.

Cons

Very buggy and limiting. They lock you into a 1 year contract - hidden in the lengthy contract they provide.
Whenever you contact support, you have a lot of back and forth. Some things take months to resolve.

Notifications are not customizable for separate services.

Review After Two Years of Use

On a scale of 1 to 10, the overall experience has been a 3.

Pros

It has served it's purpose for us as a brand new spa, however, as we grow we will need to move to a different EMR system that offers more features & functions.

Cons

Reporting functions do not exist - retention, pre-booking, etc
Online booking function rarely works correctly
There is no customer service number to call
When charging for memberships there is no notification if a payment hasn't gone through
There is no confirmation text unless a patient schedules online
The character limit for SMS text is too low
Consent forms don't always save properly
Charting information doesn't always save properly
There are a lot of issues with the online consent forms, and patients have difficulty accessing them

Best in Market Comprehensive Platform for Medspas

Professional, customer centric, and strives to add new features to provide more value and benefit to their customers.

Pros

It is well thought out to support a busy Aesthetic medical practice. The videos for customizing the system are super helpful to get the most out of the comprehensive features. Customer support is responsive and informative to provide solutions that I couldn't navigate on my own.

Cons

The connection to credit card processing Clover device hasn't worked as reliably as I would like so I have to use the terminal directly or Virtual Terminal on Gravity Payments. I have had a few times when AP system went down all together with a full patient schedule and had to make do until the system came back up. Unable to get individual patient records in a simple download if and when I retire.

Terrible.

My experience was terrible. I wouldn’t recommend.

Pros

They did a good demo and are great at getting people to believe in their software.

Cons

I had a very disappointing experience with Aesthetics Pro. From the start, their system was not user-friendly, and I encountered numerous issues with my charting. My charts were messy and not in chronological order, making it difficult to keep patient records organized. Accessing consent forms was particularly challenging, as I had to dig through the system just to confirm they were even there. These were only a few of the issues that I encountered. There were many more.

I was with Aesthetics Pro for only one month before deciding to leave due to these issues. The transition was horrible—Aesthetics Pro was not helpful, and they created many hurdles for me to terminate my contract. Despite their resistance, I was finally able to end my relationship with them.

However, the most concerning issue was their refusal to provide my EMR records once I terminated my contract. Despite federal laws and HIPAA regulations that require a software company to make these records accessible to healthcare providers, Aesthetics Pro informed me they could not fulfill this request. This is a clear violation of federal regulations, and their unwillingness to comply is unacceptable.

Overall, Aesthetics Pro was extremely difficult to work with, and I would not recommend them to anyone seeking a reliable and compliant system for managing patient records.

Excellent software for Estheticians

So far Aesthetics Pro provides me more quality features for the price of the service. as long as this system continues to evolve it will continue to be a valuable and integral part of my business.

Pros

I love the form creator and that I can attach forms to specific services. I also love the card on file to reserve appointments

Cons

I want the weekly view calendar to be like MINDBODY! I want to be able to assign a color to each service and I want to have each one showing on the weekly calendar and it want it to be like the daily calendar where they are positioned on the schedule based on the time of the service. I would also love to see you guys knock off MINDBODY's reports! I want to be able to filter reports right in the program not have to export to excel to cut and slice them.

Can’t 2 way text this would be a great addition - look at Textline as a model. You could just pass the name and phone number.

Glitchy, not worth it

Bad experience. I am on a look out and scheduled some demos with competitors. My main issue is constant glitches: eblasts not being sent when scheduled or come out crooked, by the time the clients receive monthly eblast promo it is end of month, and why so long?- because their support is not resolving issues but only dragging time to seemingly look they are trying to help. Other issues I encountered: records dont save, appointment reminders fail, no gift card option, vital functions for medspa managing are absent making it a barely charting program. The worst is also their support, but really- lack of it. You need to write them a question you have in a ticket, by the time someone gets back to you can pass 2 days, just to read a sentence from them to clarify my question, than waiting again- nightmare. That is why it takes months to get answers to resolve a certain issue. Their support team i fins is quite incompetent and answers with premade learned generic sentences. I am not happy with them. It is the worst program I have used as a medspa owner. Charting- not bad, easy, medspa managing - non existent. You would still need to get Twillio, or 3rd party for gift cards such as Giftfly. Before Aurora there were no glitches, after Aurora- glitch on glitch. Their web developers need to be fired!

Pros

Charting is relatively easy, I can customize charting templates. Thats it.

Cons

Constant glitches ever since new version Aurora came out. I dont care for any new features if it is unusable due to glitches. The marketing is nonexistent, the eblasts are sent with a bunch of signs and symbols instead of attached photos, no 2 way messaging. Its pretty bad.

Artistry Aesthetics

It has been very pleasant so far and loving the connection from [sensitive content hidden] and the rest of the team when I have a question or a problem. It is definitely better than our old booking system which was Booker. I like how it tracks everything as well.

Pros

I really like the layout and all the functions that Aesthetics Pro has to offer. I am very please with our rep [sensitive content hidden] as she has always been there for me when I need her and checks up on me as well. She is very helpful and super nice to work with.

Cons

I am still learning they system. One thing I don't really care for is the deposits. I am still learning how to do it and it seems like a few steps I need to take, but then again I haven't messed with it much. I don't like how the credit card system is not capable to our wifi and I have to go in manually and input the information in and from what I am hearing I need to hard wire it, but it looks like it is hardwire already from what our tech tells us so not sure how to bypass that. It also takes a long time for the machine to take a payment and then I have to go into our IQ account to make sure that the payment was taken.

Not impressed . Their updates are not an improvement . They don’t fix issues or get recommendat...

Since 2015, we have collaborated with them, and I've had experience with their program since 2007, managing at various MedSpas. Despite our long-standing relationship, they consistently fail to heed feedback from users. Numerous simple fixes go unaddressed, and their mobile app has deteriorated, especially after the long-anticipated "update." For over a decade, I've been paying more than $70 more than their highest listed price for their service. It's astonishing how our company's input is so callously overlooked.

Pros

Simple booking system. Medspa specific , easy to learn , drag and drop options . Easy to ring in packages .

Cons

1. They don’t make improvements that are beneficial for a practice , they make good touch points to sound better to prospective clients .
2. Most recent update is horrible
3. Reports are limited . No way to measure important data to run the business more efficiently .
4. The program doesn’t easily integrate with other industry tools … ie Facebook , What converts etc……
5. Cannot do any admin tasks from the mobile since most recent update .
6. Appt reminder text message is too small for anyone to read . Cannot customize the message and reminders are not consistent / customers complain they don’t receive them .
8. Limited customization to the programs aesthetic. Ugly colors , hard to read the booking calendar .
9. They don’t work with you to make improvements . Their update fixed ZERO of our issues we have been calling to their attention for years !
10. Client invoices are now two pages when you print them .
11. Your FEEDBACK is ignored !

AestheticsPro has 5 star customer service with a great product and unbeatable price!

One of the great things about AP is the customer support. There are a plethora of videos available that help with issues you may have, and if you need more help you put in a support ticket and receive a response in no more than a couple of hours. Compare this to other platforms I have used where customer support would literally take weeks to get back to you and usually with a canned response that didn't answer your question.

Pros

*Easy to set up and very user friendly
*Easy to use in day to day operations for inventory, billing, photography, charting, tracking profits, etc.
*The cost is UNBEATABLE

Cons

We have one location, I have no experience with how AP works across multiple locations, but I believe it can be set up for that as well.

Best Software. Great support team.

Amazing customer service And amazing manager that helped me to go through all the details that I was looking for. Was patient and kind while working with me, I left the meeting looking forward to working with AestheticsPro in the future. All of my questions are always responded or resolved in a timely manner.

Pros

Easy E record, Text marketing, cost effective, very good communication. All of my support tickets have a quick resolution and I do not feel rushed while asking questions to the support team which is really important to me

Cons

Nothing , the service rep was the best part of the experience making the appointment efficient and very informative.

I highly recommend!!

It has been great, especially working with our account manager, [sensitive content hidden] She helps streamline the process each time we expand.

Pros

The support team is excellent; they respond very quickly.

Cons

I have multiple locations, and it doesn't allow me to open multiple locations simultaneously.

[sensitive content hidden] is the best!

Today's training session was great. Having the training sessions recorded is necessary because there is a lot of information. I think it is best for the trainers to make some changes as they walk you through the process and leave the changes that you approve.

Pros

[sensitive content hidden] was very helping setting up certain items. He did not just make suggestions and undo them. He asked if I'd like to make changes and he did them as we moved through the training. Therefore, I did not have to waste time returning and making those changes.

Cons

There were no cons with [sensitive content hidden] I do not like having different people walking me through the training sessions. But in this case, it worked out well because the second trainer was better than the first in my opinion.

I recommend Aesthetics Pro

it has been very good and whenever I run into an issue I receive a response back quickly.

Pros

it is very user friendly and easy to navigate. The system makes it easy for multiple users and I can do all features in one place.

Cons

I wish we could upload videos or have a more seamless POS built in.

Truth review

chart and booking it great. Working with worldpro and processing payments is near impossible. 24/7 care is not 24/7

Pros

Chart is nice, but uploading pictures is inconvenient and you can not save comparison photos. Scheduling booking online is friendly

Wickedly bad company with AWFUL customer service

Very unhappy -see above- but unable to change because I cannot transfer the data.
It is remarkably cumbersome, needing excessive clicks. For instance, when an appointment form comes up, why not automatically have the cursor in the name space? When checking out, when you have to click at the left, why does one have to click the words, why not the entire bar including the word?

Pros

I admire their ability NOT TO FIX flaws by saying" that is a very good observation, we will send your suggestion to the technical folk". ANd NOTHING HAPPENS-and no follow up with me as to why.

Cons

Yearly price increases.
The teaching seminars-done by somebody talking so fast it is uncomprehensible. When I brought that to the attention of Aesthetics pro I was told," yes, we hear that all the time". So I tried another webinar, NO CHANGE! it sounds like babble still!

Great experience!

Pros

I love the system itself, it is very user friendly and ticks all the boxes. The support provided has been top notch and such a great experience. Highly recommend!

Cons

A very minor thing but I don’t the view on the calendar is only shown for the opening hours you set. I often book clients outside my operating hours, so I needed to see that.

Not my cup of tea

I stopped using the year-long subscription after 4 months, and I would get a call periodically asking me how I liked the program. I didn't think Aesthetic Pro had my best interests in mind.

Pros

I thought it was aesthetically pleasing to the eye.

Cons

The IT staff made me feel stupid. I ended up using all of the templates that I created. It was cumbersome to use. In the end, I paid someone to use my own templates and since I uploaded them, now anyone can use them.
