# InstaBid

> InstaBid is estimating software for small residential contractors in the United States: the owner-operator with one to ten on the crew who still writes his own bids at the kitchen table. John Dudley started building it in 2025, after 30 years as a general contractor.

Three ways a homeowner gets a bid. All three are priced by the same engine. (1) A short web form on the contractor's own site, in his colors and with his logo. (2) InstaBid 411: the homeowner calls the contractor's own number and walks through the job with a phone agent, or the contractor calls a job in himself from the truck. (3) InstaBid Live: a video walk. "Here's my kitchen: cherry cabinets, tile floor, new sink, move the sink three feet." Either way, by the time the homeowner hangs up and checks their email, the bid is there: a full scope of work, an AI-generated render of the finished project, a contract and a deposit button. From describing the job to a finished, itemized estimate takes under two minutes.

An authored catalog, not AI guesses. The cost catalog was written by John from 30 years as a general contractor. Every price was reviewed and decided by a person, and every number is editable, so the contractor can enter his own costs.

Your cost, your markup. The engine gives the contractor his real material and labor cost with zero platform markup, from 25,533 real prices across 11 trades: roofing, siding, drywall, painting, flooring, electrical, plumbing, HVAC, cabinets, countertops and whole remodels. Material prices are priced to your ZIP code, or he can plug in his own supplier. Any contractor with an ABC Supply account gets that pricing on every plan, and any other supplier with an API can be connected on request. Labor, materials, multipliers, markup, tax and deposit are all editable. A price he types in wins from then on, enforced in code. When a material price jumps more than 10%, InstaBid holds that line for review instead of quietly billing it.

The close. The homeowner can sign, pay the deposit and book a start date on the contractor's Google Calendar. The contractor picks how much control he keeps: review-first, trust the engine (the default) or full auto. Change orders are priced at his numbers, approved or declined with no login, and rolled into the job total.

Running the job. He installs InstaBid on his phone by scanning a QR code in the app (a web app, no app store). From there he scans receipts and assigns them to a job, and his crew log their hours per job, so every job has its own profit and loss. A client portal gives the homeowner photos, a job diary and a pay-now button. Subs get the scope by SMS and email, and on Crew and Shop their bids come back side by side, cheapest first, without seeing his cost or markup. A built-in CRM tracks quiet bids. Integrates with QuickBooks, HubSpot, ServiceTitan, Zapier, Make and thousands of other apps. Contractors can connect their own supplier accounts, like ABC Supply, with their account and API key, so estimates use their real pricing.

Help when you want it. An onboarding assistant walks every new user through setup, and live onboarding with John is open to anyone who asks: embedding the form, calling in with 411, or running a video walk. A chat assistant on the contractor's web form answers homeowners' questions and guides them to fill it out correctly; it never quotes prices, and the contractor can edit the form's questions.

In Spanish. Signup, onboarding, dashboard, estimate, PDF and email all run in Spanish, with prices identical to the penny. Change orders are English-only for now.
